Who it is for

Built for

A good fit

Sole-practitioner accountants, bookkeepers and firms of up to a handful of people whose site needs to qualify an enquiry before anyone picks up the phone. It suits the practitioner who answers enquiries between client work, the administrator who keeps the guides and deadline entries current and books calls, and the prospect who wants to know what an engagement includes and send a document without hunting for an email address.

Not the right fit

It is not for multi-partner practices that need a client portal with document requests, approvals and job scheduling, which the accounting practice portal package covers. It is also not for firms that want to publish fee tables generated from a calculator, or that need enquiries routed to different partners by business type; both are custom work through the service page.

The operational problem it solves

How it runs, step by step

A prospect searching for a bookkeeper for her café finds the practice at nine in the evening.

  1. The monthly bookkeeping service page tells her what is included, what she is expected to send each month and what is not covered, so she knows before she asks.

  2. The fee enquiry form asks her business type, turnover band, whether she has staff and which services she wants, and lets her upload last year’s accounts into a private area rather than attaching them to a message.

  3. The practitioner gets a notification with every answer already in it, and the files are waiting in the upload area with a log of who has opened them.

Next morning the practitioner reads the enquiry over coffee, decides it is a fit and sends the booking link; the prospect picks a discovery call slot from the diary that afternoon and both receive a confirmation.

  1. After the call the proposal goes out from the practice’s own tools, outside the site.

  2. Meanwhile the administrator updates the deadline calendar for the coming quarter, marks each entry with the date it was reviewed, and the clients who opted in receive the reminder a fortnight ahead.

  3. She adds a new guide on record keeping to the library under the right topic, and the qualifications block on the about page shows the practitioner’s current body membership from the record she keeps up to date.

Ownership, maintenance and pricing

After the build

Deployment and ownership

The package runs on your own hosting or on hosting we manage for you; the choice is made in the proposal and can change later. In both cases you own the code, the content and the enquiry records. Service content, guides, deadline entries and enquiry history can be exported at any time in standard formats, and uploaded files are stored where you can retrieve them in bulk, so nothing stops you moving the site to another provider.

Maintenance

Maintenance is optional and scoped separately from the build. When taken, it covers security updates to the platform and its dependencies, monitoring of enquiry notifications, upload storage and the booking connection, backups, and a monthly window for small changes such as a new service page, a change to the enquiry questions or a reorganised library. Larger changes are quoted as change requests against the original scope.

Pricing model

Priced per proposal.

The package is sold as a one-off setup and customisation, with optional monthly maintenance and hosting as separate recurring lines. The setup figure depends on the number of service pages, the add-ons selected, the diary and practice systems to connect, how much existing content is migrated and whether you host it yourself. Your proposal states each line separately.

FAQ

Frequently asked questions

Can we show our fees on the site?

You can write fees into any service page as your own content, or leave them to the enquiry. The package does not calculate a fee from the form answers; that is custom work.

What happens to documents a prospect uploads if they never become a client?

They are held in the secure area under the retention period the administrator sets, and removed when it ends. The access log shows who opened each file in the meantime.

Does the deadline calendar know the official dates?

No. It shows the entries your firm has entered, each with the date you last reviewed it. The package provides the editing screens, the reminder opt-in and the feed; the firm is responsible for the accuracy of the dates.

Can the enquiry go straight into our practice software?

With the practice system add-on, yes, where the system accepts new records through an interface. Otherwise enquiries arrive by notification and are kept in the site for export.

Does it work on a phone?

Yes. The service pages, enquiry form, upload step and call booking are designed for a prospect on a phone first; the editing screens are designed for a desk.

Is this a finished product I can see running?

Not yet. The readiness badge shows the real state: the package is a custom build assembled from our content, forms, documents and bookings modules for each practice, and the example on this page is a labelled concept demo rather than a live site.

We have two partners who handle different kinds of client. Can enquiries go to the right one?

The package sends every enquiry to one destination and offers slots from one diary. Routing by business type across partners or brands is custom work handled through the custom accountant website service.
