Readiness: Custom build Concept demo

Who it is for

Built for

A good fit

In-house HR and talent teams in organisations from around fifty staff to a few thousand, hiring enough people each year that email and a spreadsheet have stopped working. It suits HR administrators who run the process every day, hiring managers who want to request a role and review candidates without learning a system, interviewers who need a scorecard in front of them, and HR directors who are asked how long hiring takes and where candidates come from.

Also worth knowing

It is less suited to recruitment agencies, which need client fee notes and candidate ownership rather than requisitions, and to job board operators, which sell listings. Both have their own packages. Groups with approval rules that differ by entity or salary band, or interviewer pools shared across companies, should look at the custom service first.

The operational problem it solves

How it runs, step by step

A hiring manager in operations opens the system on Monday and requests a replacement team leader, choosing the role family and the budget line.

  1. The request goes to her director, who approves it from the email link, then to HR, who checks the grade and publishes the role to the career site and two connected job sites before lunch.

  2. Applications arrive in the pipeline directly, each with the answers to the four questions the team-leader form asks, and the two from the internal careers page are flagged as internal candidates.

By Thursday fourteen people have applied.

  1. The HR administrator screens them with names hidden, moves six to first interview, and the system sends the invitation template from her name.

  2. For the three who reach panel stage, she picks the panel, the system reads the three calendars and offers the candidates slots that all three panellists can make, with a video link attached.

  3. After each interview the panellists complete the same scorecard on their phones; the hiring manager sees the three sets of ratings side by side and chooses.

  4. The offer letter is generated from the team-leader template with the salary and start date, routed to the director because it is above her threshold, approved, and sent for signature.

  5. When it comes back signed, the hire closes the requisition and the hiring report records twenty-three days from approval to acceptance, with the source of the successful candidate.

Features

What the package does

The package is organised as modules that follow a hire from request to acceptance: requisitions and approvals, the career site and applications, pipelines and screening, interviews and scorecards, and offers, communication and reporting. Each module below lists what it does; the comparison table shows which package variant includes it.

Workflow and tasks

  • Requisition approval flowA hiring request goes through approval and every decision is recorded before a role is opened.
  • Configurable pipeline stages with move historySet the stages for each role and keep a full history of every candidate move between them.
  • Interview scheduling with panel availabilityFind a time when the panel is free and send a video link with the invitation.
  • Anonymised screeningHide candidate details until a stage you choose. Available as an add-on.

Forms and requests

  • Career site with application forms by role familyA career site shows open roles and takes applications through a form suited to each role family.
  • Internal careers page for staffA careers page that existing staff can use to see and apply for roles. Available as an add-on.

Ownership, maintenance and pricing

After the build

Deployment and ownership

The package runs on your hosting or on hosting we manage, chosen in the proposal and changeable later. You own the code and your data either way. Requisitions, candidates, applications, scorecards and offers can be exported in standard formats at any time, and the system can be moved to another provider. Candidate data retention periods are set by you and applied by the system.

Maintenance

Maintenance is optional and scoped separately. When taken, it covers security updates to the platform and its dependencies, monitoring of job site postings, calendar connections and email sends, backups, and a monthly window for small configuration changes such as a new role family, a scorecard question or a template. Larger changes are quoted as change requests.

Pricing model

Priced per proposal.

The package is sold as a one-off setup and customisation with optional monthly maintenance and hosting as separate recurring lines. The setup figure depends on the number of role families and approvers, the add-ons chosen, the calendar, job site and people systems to connect, how many open roles and candidates are migrated and whether you host it yourself. Recurring costs are listed on their own lines in the proposal.

FAQ

Frequently asked questions

Can each department have its own pipeline stages?

Yes. Stages are configured per role family, so a graduate scheme can have an assessment day stage that a warehouse role does not. Every move between stages is recorded with the person and time.

How does panel scheduling find a slot?

The administrator picks the panel; the system reads each panellist's connected calendar, finds times they are all free within the window set, and offers the candidate a choice. The candidate's selection books everyone and attaches the video link or room.

Who can see a candidate's details?

HR administrators see everything. Hiring managers and interviewers see the candidates on their own roles, and with the anonymised screening add-on identifying details are hidden until the stage you choose.

How long are unsuccessful candidates kept?

For the retention period you set per candidate type. The system flags records reaching the end of the period and removes or anonymises them according to your rule. Choosing the period is your decision, not the system's.

Can we send roles to job sites from the system?

With the job site add-on, a role published on the career site is also sent to the connected sites, and applications from those sites arrive in the same pipeline with their source recorded.

Is this a finished product I can see running?

Not yet. The readiness badge shows the real state: the package is a custom build assembled from our forms, bookings, documents and messaging modules for each organisation, and the example on this page is a labelled concept demo rather than a live system.

Our approval chain depends on which company and salary band the role is in. Does the package handle that?

The package ships a single configurable approval chain with offer thresholds. Chains that differ by entity, department or band are custom work handled through the custom applicant tracking service.
