Readiness: Custom build Concept demo

Who it is for

Built for

A good fit

Nail, brow, lash, waxing and skin salons from a single salon with two or three therapists up to a small group sharing a client base, where treatments need different qualifications and some need a private room. Daily users are the receptionist who runs the diary and checks forms at the desk, therapists who want their own column and their clients' notes on a phone, and the owner who maintains the skills matrix and watches room usage and course balances.

Also worth knowing

It is less suited to hair salons, which need staged colour appointments, and to aesthetic clinics, which need clinical notes, versioned consent and cooling-off rules that this package does not attempt. Both have their own packages.

The operational problem it solves

How it runs, step by step

The receptionist opens the diary at nine.

  1. Columns are therapists on today's roster; across the top, the three rooms and four stations show what is free.

  2. A client phones for a Brazilian wax at two.

  3. The system offers only the two therapists qualified for waxing and only the slots where one of them and a private room are both free, so the booking cannot land on a station or on the lash specialist.

  4. A deposit is requested and the confirmation carries a link to the contraindication form, which the client completes on her phone that evening.

At one-thirty the arrivals list shows her form as complete and her previous visit notes.

  1. A new client arrives for a lash lift without a patch test; the system flagged it at booking, so the receptionist booked the test two days ago and the result is on the record.

  2. A regular on a six-session facial course checks out: the therapist marks the treatment done, the course shows three sessions remaining, and a rebooking is made before she leaves.

  3. At close the owner sees which room was idle all afternoon, which therapist was offered least because her new qualification was never entered, and the total course sessions still owed.

Ownership, maintenance and pricing

After the build

Deployment and ownership

Runs on your own hosting or on hosting we manage; the choice is made in the proposal and can be changed later. You own the code and your data either way. Client records, completed forms, course balances and payment history can be exported at any time in standard formats, and nothing in the package stops a move to another provider.

Maintenance

Maintenance is optional and scoped separately from the build. When taken, it covers security updates, monitoring of reminders, form delivery and payment callbacks, backups, and a monthly window for small configuration changes such as a new treatment, a form revision or a therapist's new qualification. Larger changes are quoted as change requests.

Pricing model

Priced per proposal.

Sold as a one-off setup and customisation with optional monthly maintenance and hosting as separate recurring lines. The setup figure reflects the number of therapists, rooms and sites, how many treatments carry forms, the course types sold, the payment provider and the amount of client data migrated. The proposal states each line separately so nothing recurring is buried in the build.

FAQ

Frequently asked questions

What stops an unqualified therapist being booked?

The skills matrix. Each treatment lists the therapists allowed to perform it; online booking and the desk only offer those names, and "any qualified" picks from the same list. When a therapist gains a qualification the owner ticks a box and they become bookable.

How do rooms work alongside therapists?

Every treatment says what it needs: a room, a station or nothing. A slot is only offered when the therapist and the resource are both free, so two waxes can never be booked into one room, and a manicure never takes a room it does not need.

What if a client has not completed the form by arrival?

The arrivals list shows the gap. The receptionist opens the form on the tablet, the client completes and signs it, and the therapist sees it before starting. The owner can make a form mandatory before checkout for treatments where that matters.

Can we sell and track courses?

Yes. A course is a set of sessions sold once; each redemption is recorded at checkout, balances show on the client record and the owner report, and expiry and refund rules are set by you.

Does it handle patch tests?

A treatment can require a patch test within a set number of days for first-time clients. Booking without one prompts the receptionist to book the test first, and the result is held on the record.

Is this a finished product I can see running?

Not yet. The readiness badge on this page shows the real state: the package is currently a custom build assembled from our booking, capacity, forms and orders modules for each salon, and the example screen is a labelled concept demo. Requirements outside the listed options go through custom beauty salon development.
