Readiness: Custom build Concept demo

Who it is for

Built for

A good fit

Small law firms and litigation teams of two to around twenty handlers, in-house legal teams inside companies and public bodies, and paralegal services that manage dates on behalf of several clients. It suits a supervisor who wants one board of everything due across the team, handlers who need their own list and reminders, and assistants who maintain checklists and attach evidence that a step was taken.

Also worth knowing

It is less suited to firms that need time recording, billing or client money in the same system; that is practice management, which is a separate package. It is also not a general project tool: its rules, calendars and audit assume legal deadlines and the question of who was responsible when.

The operational problem it solves

How it runs, step by step

On Monday morning a handler opens a new case: a claim served on Friday.

  1. He picks the case type and enters the service date, and the rule set for that type produces the chain of deadlines, each adjusted for the working-day calendar, with the first acknowledgement date already carrying his name.

  2. The checklist for the case type appears with its steps; the assistant takes the first two.

  3. On the supervisor's board the new deadlines sit alongside everything else due that fortnight, colour-coded by days remaining.

On Wednesday a reminder reaches a handler who is off sick.

  1. She does not acknowledge it, so on Thursday it escalates to the supervisor, who reassigns the deadline to a colleague; the audit shows who held it on each day.

  2. On Friday the other side agrees an extension; the handler records the new date with the email attached, and the dependent deadlines move with it.

  3. A hearing listed for next month goes into the shared diary and into the handlers' own calendars.

  4. At the end of the month the overdue and upcoming report goes to the head of legal with every deadline, its status and the person responsible, without anyone opening a spreadsheet.

Features

What the package does

The package ships as modules that follow a case from opening to report: the register and calendars, deadline rules and reminders, responsibility and checklists, the hearing diary and attachments, and reporting. Each module lists what it does; the comparison table shows which variant includes it.

Clients and records

  • Case registerEvery case is recorded with a reference, its parties, the case type and its current status.

Scheduling

  • Deadline rules on working-day calendarsDates are calculated from a triggering event using rules and working-day calendars, rather than counted by hand.
  • Court and hearing diaryA shared diary shows court dates and hearings for the whole team.

Messaging and notifications

  • Multi-level remindersReminders go out by email and on the dashboard at several points before a deadline falls.

Workflow and tasks

  • Responsibility assignment with auditEach case and deadline has a named handler; reassignments are recorded so it is clear who held it when.
  • Task checklists per case typeEach type of case starts with its own checklist, so routine steps are not forgotten.

Documents and cases

  • Documents attached to deadlinesAttach the relevant paperwork to a deadline so it is to hand when the date approaches.

Reporting and insights

  • Overdue and upcoming reportsEach handler, and the person supervising them, can see what is overdue and what is coming up.

Integrations

  • Calendar feeds to handlers' diariesHandlers can subscribe to their deadlines from the calendar they already use.

Ownership, maintenance and pricing

After the build

Deployment and ownership

The package runs on your own hosting or on hosting we manage for you; the choice is made in the proposal and can be changed later. The team owns the code and its data. Cases, deadlines, audit history and attachments can be exported in standard formats, and the package does not tie you to a provider.

Maintenance

Maintenance is optional and scoped separately. When taken, it covers security updates to the platform and its dependencies, monitoring of reminder delivery, backups, and a monthly window for small changes such as new case types, rule edits or calendar updates. Larger changes are quoted as change requests.

Pricing model

Priced per proposal.

The package is sold either as a one-off setup with optional monthly maintenance and hosting as separate recurring lines, or as a subscription bundling hosting and maintenance. The setup figure depends on the number of case types and rules, the number of users, the add-ons chosen and the hosting choice. Your proposal lists each line separately.

FAQ

Frequently asked questions

Who writes the deadline rules?

The supervisor does, through a form: the triggering event, the count, whether it counts calendar or working days, and the calendar to use. We help load the first set during setup, but the rules are the team's own and can be changed at any time with the change recorded.

Which holidays does the working-day calendar include?

The calendar is maintained by the supervisor and ships empty apart from the entries you load at setup. Teams working in more than one jurisdiction need a calendar per jurisdiction, which is custom work.

What does escalation look like?

Each rule carries reminder intervals. If the responsible handler does not acknowledge within the configured time, the reminder goes to the supervisor and then, if still unacknowledged, to the head of legal. Every escalation is recorded on the deadline.

Can it also record time and send bills?

No, and that is deliberate. This package tracks dates and responsibility only. Teams that need time, billing and client money alongside deadlines should look at the law firm management package instead, or scope a combined build through the case tracking development service.

Does it pull hearing dates from court systems?

Not as a ready feature. Hearings are entered by handlers. Where an external listings portal offers a supported interface, connecting to it is assessed as custom work and the assessment may conclude that no interface exists.

Is this a finished product I can see running?

Not yet. The readiness badge on this page shows the real state: the package is currently a custom build assembled from our tasks, calendar and documents modules for each team, and the example on this page is a labelled concept demo rather than a live tracking system.
