Who it is for

Built for

A good fit

Agricultural cooperatives and producer groups that take in members produce, sell it pooled and settle back to members: grain and oilseed groups, livestock marketing groups, fruit and vegetable packhouses run as cooperatives, dairy producer groups and machinery rings with member charging. It suits a cooperative manager who wants to see pools, sales and what members are owed without a spreadsheet, intake clerks recording weights and grades at the store or weighbridge, a finance person running settlements and payment files, a secretary managing shares, notices and votes, and members who want their statement and their supplies orders on their phone.

Also worth knowing

It is less suited to buying groups that only order supplies and never take in produce, to growers selling their own produce direct, who have the farm produce shop package, and to trade associations whose main need is subscriptions and events, which belong to a membership platform.

The operational problem it solves

How it runs, step by step

Harvest, a Thursday in August.

  1. At the main store the intake clerk opens the intake screen as a trailer comes onto the weighbridge: the member is selected, the gross and tare weights come across from the bridge, the clerk enters moisture and the grade is set by the rule the cooperative configured.

  2. The ticket is saved against the member and allocated to the feed wheat pool, and the member receives a receipt on his phone before he has left the yard.

  3. By evening the manager sees tonnage in each pool by site and the advances due at the rate set for this season.

In November the manager records the sale of a parcel from the feed wheat pool to a merchant at an agreed price and tonnage.

  1. In December the finance person runs the first interim settlement: the pool proceeds so far are spread across members by tonnage and grade, the storage levy is applied, the advance already paid is netted off, and the fertiliser a member ordered through the cooperative in spring is deducted in the order the rules say.

  2. Each member statement shows every ticket, the allocation, the levy, the deduction and the payment, and the payment file goes to the bank.

  3. A member phones to ask why her tonne paid less than her neighbour's; the finance person opens her statement and shows the grade difference on ticket three.

  4. In February the secretary issues the AGM notice from the register, proxies are recorded against share classes, and the vote on the storage levy is counted by weighted shares with the result stored against the resolution.

Features

What the package does

The package ships as modules that follow produce from intake to statement: members and shares, intake and grading, pools and sales, settlement with levies and deductions, supplies ordering, statements and payments, voting and notices, and the document store. Each module lists what it does; the comparison table shows which variant includes it.

Memberships

Concept demo

Concept demo of a cooperative member statement showing intake tickets, pool allocation, sale shares, levy, supplies deduction, advance and interim payment lines.

A member statement as the finance person sees it: intake tickets with weights and grades, allocation to the feed wheat pool, the share of two parcels sold, storage levy, the spring fertiliser deduction, the advance netted off and the interim payment, each line linked to its source record.

Ownership, maintenance and pricing

After the build

Deployment and ownership

The package runs on your own hosting or on hosting we manage for you; the choice is made in the proposal and can be changed later. The cooperative owns the code and its data. Members, shares, intake records, pools, settlements, statements and documents can be exported at any time in standard formats, and the package does not lock you to a provider.

Maintenance

Maintenance is optional and scoped separately from the setup. When taken, it covers security updates to the platform and its dependencies, monitoring of settlement runs, payment file generation and notices, backups with restore tests, and a monthly window for small configuration changes such as a new grade rule, a changed levy rate or a new share class. Larger changes are quoted as change requests.

Pricing model

Priced per proposal.

The package is sold as a one-off setup and customisation with optional monthly maintenance and hosting as separate recurring lines, or as a subscription that bundles hosting and maintenance where the cooperative prefers one recurring charge. The setup figure depends on the number of members, sites and share classes, the settlement and deduction rules, the add-ons selected, migration volume and the hosting choice. Your proposal states each line separately.

FAQ

Frequently asked questions

How are settlement rules set up?

The manager configures how pool proceeds are spread, by tonnage alone or by tonnage and grade, the advance rate per season, the levies and the order in which deductions apply. The rules are written in plain words in the setup and every settlement run shows which version of the rules it used.

Can an intake ticket be corrected after the member has left?

Yes, with a reason. The correction is recorded against the original ticket with who changed it and when, the member is told, and any settlement that has already used the ticket shows the adjustment on the next run.

How do supplies orders get deducted?

With the supplies add-on, a member orders from the catalogue the cooperative publishes, the order is invoiced to the member account, and the balance is deducted at the settlement stage the rules name, shown as its own line on the statement.

Does the AGM voting handle proxies and share classes?

With the voting add-on, the secretary issues the notice from the register, members appoint proxies that are recorded against their shares, and each resolution is counted by the weight each share class carries. The count and the proxies are stored against the resolution.

What does the document store do with scheme certificates?

It holds them per member with the date and a lapse date, and warns the secretary and the member when one is due. The documents are records the cooperative keeps and shows to buyers; the package makes no claim about any member being in a scheme.

Can it read the weighbridge directly?

That is custom work. Weights are entered by hand in the base package; reading them from the bridge or a grading instrument is scoped through the cooperative management development service once we know the equipment at each site.

Is this a finished product I can see running?

Not yet. The readiness badge on this page shows the real state: the package is currently a custom build assembled from our memberships, inventory, orders, multi-vendor, forms and documents modules for each cooperative, and the example on this page is a labelled concept demo rather than a live client system.
