Custom cake ordering package

A step-by-step cake configurator, a product list with lead times, daily production capacity with blackout dates so you never sell a day you cannot bake, deposits for custom work, order status the customer can see and wholesale standing orders that build the bake list, ready to set up around your kitchen.

Readiness: Custom build Concept demo

Who it is for

Built for

A good fit

Bakeries, cake makers and patisseries, from a home-based decorator taking a dozen celebration cakes a week to a shop with a kitchen behind it, counter staff and a few wholesale accounts. It suits owners who want to stop pricing cakes in message threads, bakers who want to see what is due on which day before saying yes to another one, counter staff who need to know which box belongs to which name, and wholesale customers who would rather adjust next week\'s order themselves.

Not the right fit

It is not for cafés that need a daily menu and pre-orders for coffee, nor for restaurants, and it is not a general online shop for packaged goods, although a short list of standard loaves and boxes sells happily inside it. It does not try to manage ingredient stock, recipe costing or the till.

The operational problem it solves

How it runs, step by step

Sunday evening.

  1. The owner opens the production calendar for the week: Tuesday shows two of five celebration cakes booked, Saturday shows five of five and is closed to new orders online, and the Thursday before Mother's Day is blacked out for everything except the standard range.

  2. A customer on her phone works through the configurator for a birthday cake: eight inch, two tiers, lemon sponge, raspberry filling, buttercream finish, a short message.

  3. The date picker offers Wednesday onwards because tiered cakes carry a four-day lead time, and skips Saturday because it is full.

  4. The price is shown, the deposit is taken through the connected card provider and the order lands in the book as confirmed, counting two units against Friday's decorator capacity.

Another customer uploads a photo of a cake shaped like a tractor.

  1. The configurator cannot price that, so the request goes to the quote queue; on Monday the owner replies with a price and a sketch, the customer accepts online and pays the deposit, and the thread stays on the order.

  2. On Monday night the bake list prints: the daily range for the shop, the two celebration cakes for Tuesday, and the standing orders for the three cafés on the round, one of which raised its sourdough by four loaves before Thursday's cut-off last week.

  3. On Tuesday the baker marks a cake in production and then ready; the customer's phone tells her.

  4. At the counter the order shows the name, the box label and the balance due, and the allergen declaration the bakery recorded against each product is printed on the ticket.

  5. Nothing is written on the wall calendar.

Ownership, maintenance and pricing

After the build

Deployment and ownership

The package runs on your own hosting or on hosting we manage; the kitchen uses a tablet or a printed bake list and customers need no app. You own the code and your data in either case. Products, orders, configurations, standing orders and payment history can be exported at any time in standard formats, and nothing stops you moving the system to another provider.

Maintenance

Maintenance is optional and scoped separately. When taken, it covers security updates, monitoring of the configurator, payment callbacks and ready notifications, backups, and a monthly window for small changes such as a seasonal product or a new configurator option. Anything larger is quoted as a change request against the original scope.

Pricing model

Priced per proposal.

Sold as a one-off setup and customisation with optional monthly maintenance and hosting as separate recurring lines; there is no commission on orders. The setup figure depends on the size of the product list, how far the configurator goes, whether wholesale and delivery are switched on, the payment provider and how many open orders are migrated. Each line is itemised in the proposal so recurring costs are never hidden in the setup.

FAQ

Frequently asked questions

How does the date picker know what we can make?

Every product has a lead time and belongs to a production category with a daily capacity you set. The picker offers only dates that are inside the lead time, not blacked out and still have capacity, and a tiered cake can count as more than one unit.

What if a customer wants something the configurator cannot price?

The request, including any uploaded photo, goes to a quote queue. You reply with a price and notes, the customer accepts online and pays the deposit, and the conversation stays attached to the order.

Can we take a deposit and the rest at collection?

Yes. The owner sets the deposit rule for custom work; the deposit is taken online through the connected card provider and the balance is taken at collection or online beforehand, with both recorded against the order.

How do wholesale standing orders work?

With the wholesale add-on each account has a standing order per delivery day. Customers adjust it themselves before a weekly cut-off you set, one-off extras are added the same way, and the bake list and invoices are generated from the result.

How are allergens handled?

The bakery records allergen declarations against each product and the website, the order ticket and the optional labels show exactly what was recorded. The package publishes your own records; keeping them accurate is the bakery's responsibility and no compliance claim is made.

Is this a finished product I can see running?

Not yet. The readiness badge shows the real state: the package is a custom build assembled from our catalogue, configurator, capacity and payment modules for each bakery, and the screen on this page is a labelled concept demo rather than a live client system. Anything beyond the listed options is scoped as custom bakery ordering development.
