Dealership stock package

A dealership system built around the stock record: load a car once, publish it to your website and your marketplaces, take a reservation deposit that locks it everywhere, book test drives and queue part-exchange requests, all from the same screen.

Readiness: Custom build Concept demo

Who it is for

Built for

A good fit

Independent and franchised dealers and used-car traders from a single forecourt of fifteen cars up to a small group with a few sites and a central stock administrator. Daily users are the stock administrator who loads cars and photographs, salespeople who answer enquiries, take reservations and book test drives from their phone on the forecourt, the sales manager who appraises part-exchanges and sets prices, and buyers who search, reserve and book a test drive on the website.

Not the right fit

It is not for a dealer who only wants a brochure website with a contact form, for a leasing broker with no physical stock, or for a workshop that occasionally sells a car; and it does not try to be a finance underwriting tool or an accounting system.

The operational problem it solves

How it runs, step by step

Half past eight on a Monday.

  1. The stock administrator opens the loader and types the registration of the estate that came back from prep on Friday.

  2. The lookup fills the make, model, derivative and year; she checks the mileage against the dash, drags the forecourt photographs into order and sets the price the sales manager wrote on the appraisal sheet.

  3. She moves the status from in prep to live, and by the next feed run the car is on the website and on both marketplaces with the same price and the same photographs.

At eleven a buyer on the website pays the reservation deposit on the estate.

  1. The status flips to reserved on every screen at once, the website shows it as reserved, the next feed withdraws it from the marketplaces, and the salesperson assigned to the enquiry gets the notification on his phone with the buyer's name and the test drive she has booked for Wednesday.

  2. In the afternoon a part-exchange request comes in from the website with a registration, a mileage and six photographs; it lands in the appraisal queue and the sales manager values it before he goes home, recorded against the eventual deal.

  3. On Wednesday the test drive is marked out and back against the trade plate.

  4. On Thursday the sale is completed, the status moves to sold, and the listing page redirects to the search.

  5. The dealer principal sees cars live, reserved, sold this month, average days in stock and which marketplace each enquiry came from.

Features

What the package does

The package ships as modules that follow a car from arrival to sold: the stock record and status engine, the public website with listings and search, and the sales layer for reservations, part-exchange, test drives and feeds. Each module below lists what it does; the comparison table shows which package variant includes it.

Stock and inventory

  • Vehicle records by registrationEach vehicle is keyed by registration with make, model, derivative, year, mileage and VIN.
  • Stock status flowMove each vehicle through in prep, live, reserved and sold, so the site only shows what you can sell.
  • Multi-site stock poolShare one stock pool across sites, with each vehicle assigned to a site.

Listings and search

  • Listing page per vehicleEach vehicle gets a page with ordered photographs, specification and the finance example fields you supply.
  • Public search and filtersBuyers search and filter your stock to find vehicles that fit.

Catalogue and checkout

  • Online reservation depositA buyer pays a deposit to reserve a vehicle, which locks it across the site and feeds.

Forms and requests

  • Part-exchange valuation and appraisal queueBuyers request a part-exchange valuation and your team works the appraisal queue.
  • Aftersales enquiries and buyer recordsAftersales enquiries have their own route, and buyer records are kept for later contact.

Bookings and diary

  • Test-drive bookingBuyers book a test drive against the sales diary.

Integrations

  • Stock feed export to marketplacesExport stock to named marketplaces, with stock rules for each one.

Ownership, maintenance and pricing

After the build

Deployment and ownership

Runs on your own hosting or on hosting we manage; the choice is made in the proposal and can change later. You own the code and your data, including stock records, photographs, enquiries and reservation history, which can be exported at any time in standard formats. Nothing in the package stops a move to another provider.

Maintenance

Maintenance is optional and scoped separately from the build. When taken, it covers security updates, monitoring of feed runs and payment callbacks, backups of stock data and photographs, and a monthly window for small changes such as a new marketplace destination, a new site or a change to the reservation rules. Larger changes are quoted as change requests.

Pricing model

Priced per proposal.

Sold as a one-off setup and customisation with optional monthly maintenance and hosting as separate recurring lines. The setup figure depends on the number of sites, the stock volume and photographs to migrate, which marketplaces receive feeds, whether a vehicle-data lookup is connected, the payment provider for deposits and the add-ons chosen. The proposal states each line separately so recurring costs are never hidden in the build.

FAQ

Frequently asked questions

What happens on the marketplaces when a car is reserved?

The status change to reserved withdraws the vehicle from every feed on the next scheduled run, and the website shows it as reserved immediately. If the reservation falls through, moving it back to live republishes it the same way.

Can two salespeople take a deposit on the same car?

No. The first deposit, whether paid online or recorded at the desk, moves the car to reserved and the second attempt is refused with the name of the salesperson who holds it. The sales manager can release a reservation under the refund rules the principal set.

Do we have to type the specification for every car?

With the vehicle-data lookup add-on, a registration fills the make, model, derivative, year and the specification the provider returns, and the administrator checks and corrects it. Without the add-on the loader offers your own templates per model so repeated cars are quick to enter.

Can we show finance examples?

The listing page has fields for a representative finance example that you supply per vehicle or per price band, shown exactly as you enter it. Embedding a finance house's own calculator is custom work because each one is different.

How are part-exchanges handled?

The buyer submits registration, mileage, condition notes and photographs from the website or the salesperson records them at the desk. The request joins an appraisal queue; the sales manager records a valuation and it is attached to the buyer and to any deal that follows.

Is this a finished product I can see running?

Not yet. The readiness badge on this page shows the real state: the package is a custom build assembled from our listings, orders, bookings and forms modules for each dealer, and the stock board above is a labelled concept demo rather than a live client system. Needs beyond the listed options go through custom dealership development.
