Software package

Development agency package

A website and client platform for an agency: service and sector pages, case studies with permission records, a branching enquiry wizard, proposals that are versioned and accepted on record, a project portal showing stage and decisions, a support queue for maintained clients and recurring maintenance plans.

Readiness: Custom build Concept demo

Who it is for

Built for

A good fit

Software, web and digital product agencies from a three-person studio to around twenty-five people, selling mostly to their own clients and maintaining a growing set of delivered systems. It suits the director who wants to see the pipeline and the support load in one place, the project manager who posts stage updates instead of writing them in email, the developer who answers tickets from a queue, and the client who wants to know where their project is and how to report a problem.

Also worth knowing

It is less suited to freelancers with one or two clients, who need little more than a portfolio, and to product companies selling their own software, who need a product site and billing rather than an agency pipeline. Agencies that sell through partners or under other brands, or that route support by plan level, should start with the custom service.

The operational problem it solves

How it runs, step by step

The director opens the agency dashboard on Monday.

  1. Over the weekend two enquiries came through the wizard: a membership organisation describing its current system, its renewal problem and a budget band, and a retailer who stopped at step four and left a draft.

  2. The first is moved to triage and a discovery call is booked from the enquiry; the second gets a short note asking if they want to finish.

  3. A proposal sent last Thursday has been viewed twice by the client; on Tuesday the client accepts it in the platform, the version is frozen and a project opens automatically at the awaiting-deposit stage.

The project manager posts a stage update on a project moving from design to development, attaching the approved designs; the client sees the change in their portal and the decision they owe on hosting is flagged for them.

  1. In the support queue, a maintained client has raised a ticket about a broken export, marked as high priority by the client and set to normal by the project manager with a note explaining why, which the client can see.

  2. The developer picks it up, references the internal issue, and the client is told when the fix is deployed.

  3. At the end of the week the director reviews the maintenance plans due for renewal next month, confirms what each covers and exports the list for invoicing.

  4. A case study for a project completed in spring is published because the permission record was set at handover.

Features

What the package does

The package is arranged as modules that follow the life of a client: catalogue and case studies, the wizard and enquiries, proposals, the project portal, support, and maintenance plans. Each module below lists what it does; the comparison table shows which package variant includes it.

Content and editorial

  • Service and sector pagesEach service and sector has its own page, so visitors land on the one that matches their need.
  • Case studies with permission recordsPresent projects with the brief, approach and outcome, each backed by a record of what the client allows you to publish.
  • Insights publishingPublish articles and insights from the admin area.

Forms and requests

  • Branching needs-capture wizardA wizard asks follow-up questions based on earlier answers and saves drafts, so prospects can describe their project properly.

Workflow and tasks

  • Enquiry triage with statusesEnquiries move through statuses with notes so the team can see what has been answered and what has not.
  • Support tickets with priorityMaintained clients raise tickets with a priority, an assignee and a conversation thread.

Documents and cases

  • Versioned proposals accepted on recordCompose proposals in the platform as versions, see when they were viewed and record the client's acceptance.
  • E-signature on accepted proposalsClients sign accepted proposals electronically.

Portal and access

  • Project portal with decisions owedClients see stages, milestones and documents, and which decisions are waiting on them.

Billing and payments

  • Maintenance plans with renewal datesDescribe what each maintenance plan covers and track when it renews.
  • Deposit and plan paymentsTake deposits and plan payments through a payment provider.
  • Timesheets against projects and plansRecord time against projects and maintenance plans so effort can be compared with what was sold.

Ownership, maintenance and pricing

After the build

Deployment and ownership

The package runs on your hosting or on hosting we manage, as recorded in the proposal and changeable later. You own the code and your records in either case. Enquiries, proposals with their versions, project records, tickets and plans can be exported in standard formats at any time, and the platform can be moved to another provider.

Maintenance

Maintenance is optional and scoped separately. When taken, it covers security updates to the platform and its dependencies, monitoring of wizard submissions, proposal notifications and ticket emails, backups of records and documents, and a monthly window for small configuration changes such as a new service page, a changed wizard question or a new plan level. Larger changes are quoted as change requests.

Pricing model

Priced per proposal.

The package is sold as a one-off setup and customisation with optional monthly maintenance and hosting as separate lines. The setup figure depends on the size of the service catalogue, the wizard branches, the add-ons chosen, the number of clients and plans to import and whether you host it yourself. Recurring lines are stated separately in the proposal.

FAQ

Frequently asked questions

What stops a client accepting an old proposal version?

Only the current version can be accepted, and sending a new version supersedes the previous one. The accepted version is frozen with who accepted it and when, so the team builds from exactly what was agreed.

Can clients see other clients?

No. Each client organisation sees only its own enquiries, proposals, projects and tickets. Staff see everything. A partner who referred a client sees the enquiry status and nothing of the project itself unless you choose otherwise.

How does the support queue handle urgency?

Clients choose a priority when raising a ticket and the project manager can adjust it with a visible note. The queue sorts by priority and age. Formal response targets by plan level are custom work, because they depend on what your plans promise.

Does the wizard replace our discovery call?

No. It makes the call shorter and better prepared. The structured enquiry tells you the business, the problem, current systems and the budget band before anyone speaks, so the call can go straight to scope.

Is this a finished product I can see running?

Not yet. The readiness badge shows the real state: the package is a custom build assembled from our catalogue, enquiry, proposal, project and support modules for each agency, and the example on this page is a labelled concept demo rather than a live agency platform.

We sell through partners under their brand. Does the package cover that?

Not as standard. White-label proposals and portals, partner visibility rules and routing by plan level are custom work covered by the custom development agency service.
