Event listings package

A what's-on portal where organisers submit their own events, moderators approve them in a queue, recurring dates generate themselves, visitors search by date, place and category on a calendar or a map, and promoted slots start and stop on their own.

Readiness: Custom build Concept demo

Who it is for

Built for

A good fit

What's-on sites, destination marketing teams, local media groups, town and city centre partnerships and community organisations that publish events run by other people: a town's listing with forty venues, a regional site with several hundred organisers, or a themed portal for family activities or live music. Daily users are the editor who decides what goes live, moderators who work the queue, the sales person who sells featured slots, organisers who submit and update their own events, and visitors who search, save and get reminded.

Not the right fit

It is not for promoters selling tickets to their own events, which is the ticketing package, nor for a single venue listing only its own programme, which is a website with a calendar rather than a portal. Publishers who need several feed sources de-duplicated, a public data feed for partners or on-platform ticketing should look at a custom build.

The operational problem it solves

How it runs, step by step

Monday morning.

  1. The editor opens the moderation queue: twenty-three submissions since Friday.

  2. The first is a weekly quiz from a pub that has an organiser account; the venue is already matched, the recurrence rule says every Tuesday until the end of the year, and the category is right, so she approves it in one click and fifty-two occurrences appear in the calendar.

  3. The next is a craft fair submitted by a new organiser with a venue typed as a free-text address; the queue suggests the existing community hall record, she accepts the match, moves the listing from "community" to "markets" and approves it.

  4. The third has a ticket link to a site she does not recognise and no end time, so she sends a request for changes and the organiser gets the message with the queue note.

At eleven the sales manager books a featured slot for a theatre's Christmas show: a start date, an end date and the homepage position, invoiced through the payment provider.

  1. It will appear on the start date and drop off on the end date without anyone remembering.

  2. At lunchtime a visitor on a phone searches for free outdoor events within ten miles this weekend, switches to the map view, saves two and asks for a reminder the day before.

  3. On Thursday evening the reminder goes out with the venue address and the ticket link.

  4. On Friday the organiser of the craft fair logs in, sees the listing had three hundred views and sixty ticket clicks, and submits next month's date herself.

Features

What the package does

The package ships as modules that mirror the portal week: organiser submission and the moderation queue, venues and recurring events, visitor search with calendar and map views, saved events with reminders, and promoted slots with their own sales flow. Each module below lists what it does; the comparison table shows which package variant includes it.

Workflow and tasks

  • Organiser accounts and submission formOrganisers submit events through a form that uses your categories, venues and date rules, so listings arrive in a consistent shape.
  • Moderation queue with decision logModerators approve, edit, request changes or reject each submission, and every decision is logged against the listing.
  • Scheduled feed importEvents pulled on a schedule from one structured feed source, ready for the moderation queue.

Listings and search

  • Venue and organiser pagesProfile pages for each venue and organiser, listing the upcoming events they host or run.
  • Recurring events and festivalsRecurrence rules and festivals made of sessions generate each occurrence so weekly events and multi-day programmes are searchable by date.
  • Search with list, calendar and map viewsVisitors search by date, category, place and tags and switch between a list, a calendar and a map.

Messaging and notifications

  • Saved events with remindersVisitors save events, receive email reminders and export them to a personal calendar.
  • Weekly email digestA weekly email to subscribers built from the filters they saved, so readers see only what matches their interests.

Reporting and insights

  • Outbound ticket links with click countsEach listing links out to wherever tickets are sold, and the clicks are counted and reported back to organisers.

Catalogue and checkout

  • Promoted and featured slotsFeatured positions sold for set dates and invoiced through the payment provider, with a calendar showing what is sold.

Ownership, maintenance and pricing

After the build

Deployment and ownership

Runs on your own hosting or on hosting we manage; the choice is made in the proposal and can change later. You own the code and your data in both cases. Events, venues, organiser accounts, promotion bookings and visitor saves can be exported at any time in standard formats, and nothing in the package stops a move to another provider.

Maintenance

Maintenance is optional and scoped separately from the build. When taken, it covers security updates, monitoring of reminder sending, feed imports and payment callbacks, backups, and a monthly window for small changes such as a new category, a new promotion position or a change to the submission form. Larger changes are quoted as change requests.

Pricing model

Priced per proposal.

Sold as a one-off setup and customisation with optional monthly maintenance and hosting as separate recurring lines. The setup figure depends on the number of organisers and venues migrated, whether promotion and feed import add-ons are included, the payment provider and the amount of existing listing data to carry over. The proposal itemises each line so recurring costs are never hidden in the build.

FAQ

Frequently asked questions

Do organisers need an account to submit an event?

By default yes, so that they can edit their own listings and see their views. You can also open a guest submission form that asks for an email address and creates the account on first approval, which suits community groups who submit once a year.

What happens to a recurring event when one date is cancelled?

The organiser or a moderator cancels that single occurrence, leaving the rule intact. The cancelled date shows as cancelled rather than vanishing, so visitors who saved it get a notice, and the rest of the series continues.

Can we charge for featured listings?

With the promotion add-on, the sales role books a slot against a position and a date range and either issues an invoice or takes payment through the connected provider. The slot appears and expires on its dates automatically, and the admin sees what is sold per position.

Does it sell tickets?

The base package links out to whichever ticketing platform the organiser uses and counts the clicks. Selling tickets on the portal itself, with capacity and check-in, is custom work scoped through custom event portal development or combined with the ticketing package.

Can visitors find events near them?

Yes. Venues carry a location, and the search filters by distance from a postcode or the visitor's current position with their permission, with results shown as a list, a calendar or a map.

Is this a finished product I can see running?

Not yet. The readiness badge shows the real state: the package is a custom build assembled from our listings, multi-vendor, orders and messaging modules for each portal, and the moderation queue on this page is a labelled concept demo rather than a live client system.
