Readiness: Custom build Concept demo

Who it is for

Built for

A good fit

Small and mid-sized solicitors' firms, typically from two to around thirty fee earners, and in-house legal teams that run matters for one organisation. It suits partners who want a budget-against-matter view, fee earners who record time as they go, secretaries who manage diaries and documents, a cashier who posts and reconciles, and a compliance officer who needs reminders and the audit trail without asking anyone for a report.

Also worth knowing

It is less suited to firms that only need dates and responsibility tracked without time or money, which is a lighter package of its own, and to very large firms with multi-entity accounting and bespoke finance systems. It also does not replace the firm's accounting package; it posts office-account movements to it.

The operational problem it solves

How it runs, step by step

A new instruction arrives on Monday morning.

  1. The secretary runs the conflict search on the prospective client and the other side; the search matches a director of the other side against a former client under a maiden name, so the fee earner reviews it and records the decision before the matter opens.

  2. The matter is opened as a residential purchase and the property template drops in its tasks and key dates, each with an owner.

  3. The engagement letter is generated from the template, sent for signature and filed on the matter with its version.

During the week the fee earner records time from the matter view as calls and letters happen, and a search fee is logged as a disbursement.

  1. On Wednesday a limitation date on a different litigation matter reaches its first reminder; the fee earner marks it in hand, and the supervisor can see that on the diary.

  2. On Friday the cashier processes a payment on account: the fee earner requested it, the cashier approves, and the ledger shows the client balance separately from the office account.

  3. At month end the interim bill is built from recorded time and disbursements, reviewed by the partner, sent to the client portal, and the audit trail records every step.

Ownership, maintenance and pricing

After the build

Deployment and ownership

The package runs on your own hosting or on hosting we manage for you; the choice is made in the proposal and can be changed later. The firm owns the code and its data. Matters, documents, time, bills and ledger postings can be exported at any time in standard formats, and the package does not lock you to a provider.

Maintenance

Maintenance is optional and scoped separately from the setup. When taken, it covers security updates to the platform and its dependencies, monitoring of reminders, backups with restore tests, and a monthly window for small configuration changes such as new matter templates, rate changes or additional users. Larger changes are quoted as change requests.

Pricing model

Priced per proposal.

The package is sold as a one-off setup and customisation, with optional monthly maintenance and hosting as separate recurring lines, or as a subscription that bundles hosting and maintenance where the firm prefers a single recurring charge. The setup figure depends on the number of users and matter types, the add-ons selected, migration volume and the hosting choice. Your proposal states each line separately.

FAQ

Frequently asked questions

How does the conflict check work?

The search runs across contacts, clients, companies, related parties and aliases, including previous names where recorded, and returns possible matches with the matter they relate to. A fee earner records a decision on each match before the matter opens, and that decision stays on the audit trail.

Can we keep client money in it?

The client-money ledger add-on keeps client and office balances separate, requires a request and an approval for each client-account movement, and supports reconciliation against bank statements. The accounting rules the firm follows are its own responsibility; the package provides the controls, not the compliance.

Does it connect to court or registry portals?

Not as a ready feature. Where a portal offers a supported interface, connecting to it is custom work assessed through the law firm management development service, and the assessment may conclude that no interface exists.

What do the reminders do when someone ignores them?

Each key date carries a reminder schedule. If the owner does not mark it in hand, the reminder escalates to the supervisor and then to the compliance officer on the days the firm configures, and every escalation is recorded against the matter.

Can clients see their matters?

With the client portal add-on, yes: status, the team on the matter, documents shared to them and bills. What appears is controlled per matter and per document, so internal notes and drafts stay internal.

Can it migrate from our current practice system?

Contacts, matters, documents and balances are imported from an export of the current system; ledger balances are reconciled before cut-over. How complete the migration can be depends on what the old system exports, and the proposal states that once we have seen a sample.

Is this a finished product I can see running?

Not yet. The readiness badge on this page shows the real state: the package is currently a custom build assembled from our documents, tasks, ledger and billing modules for each firm, and the example on this page is a labelled concept demo rather than a live practice system.
