Readiness: Custom build Concept demo

Who it is for

Built for

A good fit

Independent mediators and mediation services of one to around fifteen mediators offering family, workplace or civil mediation, in person or online. It suits an administrator who handles intake and scheduling all day, mediators who want a case view on a tablet during a session, and parties who need a private way to answer intake questions and receive documents without email.

Also worth knowing

It is less suited to large dispute resolution bodies that run panels of hundreds of neutrals with their own appointment rules, and to arbitration services that need award publication and procedural timetables. It is also not a legal advice service; neither party is advised through the system.

The operational problem it solves

How it runs, step by step

The administrator opens the case list at nine.

  1. A new workplace case was referred yesterday; she creates it, enters both parties' names and emails, and the system sends each their own intake link.

  2. Party A completes the intake that morning; Party B's link shows as sent but not opened, so the administrator schedules a reminder for Thursday.

  3. The screening check runs on both names against past cases and flags that Party B shares a surname and address with a party from three years ago; the mediator reviews it, records that it is a different person, and the case moves to scheduling.

The mediator offers four slots from his calendar; each party picks from their own view and the system confirms the first slot both chose, booking the online meeting room.

  1. Before the session, Party A uploads a grievance letter; it stays visible only to the mediator until he releases it to Party B.

  2. The session is held and recorded as attended by both.

  3. The following week the agreement is drafted from the workplace template, sent to each party for signature separately, and the case closes as agreed in full.

  4. The quarterly report counts it without anyone opening the file.

Features

What the package does

The package ships as modules that follow a case from intake to closure: profiles and mediation types, two-party intake and screening, scheduling and sessions, documents and agreements, and outcome reporting. Each module lists what it does; the comparison table shows which variant includes it.

Directory and reviews

  • Mediator profilesEach mediator has a profile showing accreditation and specialisms, so parties can see who suits their dispute.

Content and editorial

  • Mediation-type pagesPages for each type of mediation explain the process in plain terms before anyone makes contact.

Forms and requests

  • Separate intake for each partyEach party is sent a private link and completes intake on their own, without seeing the other side's answers.

Compliance and records

  • Conflict-of-interest screeningIntake details are checked against past parties so a possible conflict is flagged before the case proceeds.

Scheduling

  • Joint session schedulingFind a time that works for both parties and the mediator, and send the same confirmation to all of them.

Documents and cases

  • Confidential document exchangeShare documents with the mediator, with permissions set party by party so each sees only what they should.
  • Agreement templates with signature capturePrepare agreement documents from templates and collect the signatures of the parties.

Reporting and insights

  • Outcome recordingRecord how a case ended without storing the content of any agreement, for the service's own reporting.

Bookings and diary

  • Online session roomsLink an online session room from the booking so parties join from the confirmation message.

Ownership, maintenance and pricing

After the build

Deployment and ownership

The package runs on your own hosting or on hosting we manage for you; the choice is made in the proposal and can be changed later. The practice owns the code and its data. Cases, documents within their retention period and outcome records can be exported in standard formats, and nothing in the package prevents moving to another provider.

Maintenance

Maintenance is optional and scoped separately. When taken, it covers security updates to the platform and its dependencies, monitoring of party notifications and document storage, backups, and a monthly window for small changes such as new mediation types, template edits or an additional mediator. Larger changes are quoted as change requests.

Pricing model

Priced per proposal.

The package is sold as a one-off setup and customisation with optional monthly maintenance and hosting as separate recurring lines. The setup figure depends on the number of mediators and mediation types, the add-ons chosen, whether past-party data is loaded for screening and whether you host it yourself. Your proposal lists each line separately.

FAQ

Frequently asked questions

Does each party really get a separate login?

Yes. Each party receives their own private link and account. Intake answers, uploads, chosen session times and notes are held per party; the other party sees only what the mediator releases.

How does the screening work?

When a party is added, their name, email and address are checked against parties on past cases, including closed ones within the retention period. Matches are shown to the mediator, who records whether it is the same person and whether it bars them from acting. The decision stays on the case.

Can sessions be online?

With the online session room add-on, a confirmed booking creates a meeting room and sends each party their own link. In-person sessions carry the location instead, and shuttle sessions can use two rooms.

Does the agreement get signed in the system?

With the agreement add-on, the mediator drafts from a template, sends it to each party separately for signature and the signed document is filed with restricted access. Practices that prefer paper can record the outcome without using the signature flow.

Can it enforce a separate first meeting before a joint session?

That is a custom sequencing rule rather than a base feature, scoped through the mediation website development service. The base package lets the administrator hold joint scheduling manually until the first meetings are recorded.

Is this a finished product I can see running?

Not yet. The readiness badge on this page shows the real state: the package is currently a custom build assembled from our forms, bookings and documents modules for each practice, and the example on this page is a labelled concept demo rather than a live mediation system.
