Readiness: Custom build Concept demo

Who it is for

Built for

A good fit

Independent photographers and small studios: a wedding photographer booking thirty dates a year, a portrait studio running several short sessions a day, a commercial photographer delivering to marketing teams, or an event photographer sending galleries to hundreds of guests. It suits the photographer who answers enquiries between edits, the assistant who chases questionnaires and uploads proofs, and clients who want to pick favourites on a phone without downloading anything.

Also worth knowing

It is less suited to stock libraries selling licences across thousands of images, which need a licensing catalogue rather than per-shoot galleries, and to photography studios with hired studio space and equipment rental, where room and kit capacity are the core. Studios with several photographers sharing availability and second-shooter assignment should start with the custom service.

The operational problem it solves

How it runs, step by step

The photographer opens the bookings board on Monday.

  1. An enquiry came in overnight for a wedding on a Saturday in September; the board shows the date is free, so the photographer sends the package options with one click and the date is held for the number of days set in the settings.

  2. On Wednesday the couple pays the deposit through the payment link, the hold becomes a confirmed booking, the contract goes out for signature and the questionnaire is scheduled to send eight weeks before the day.

  3. A second enquiry for the same Saturday is told it is no longer available without the photographer touching it.

After a portrait session on Thursday, the assistant uploads the edited proofs to the gallery for that booking.

  1. The gallery has the password and expiry date the photographer set for portrait work.

  2. The client receives the link, taps favourites on the sofa that evening, submits a selection of twelve, and adds two framed prints to the basket; the order appears on the board and is sent to the lab the next morning.

  3. The booking moves from proofed to selected to delivered as each step happens, and the photographer can see at a glance which of the eleven open shoots are waiting on the client and which are waiting on them.

  4. The signed release for the commercial shoot from last month is one click away on its booking when the client asks for a licence extension.

Features

What the package does

The package is arranged as modules that follow a shoot from enquiry to delivery: portfolio and case studies, enquiries and bookings, questionnaires and documents, galleries and selection, orders, and delivery tracking. Each module below lists what it does; the comparison table shows which package variant includes it.

Content and editorial

  • Portfolio case studies with permission recordsShow shoots as case studies with the brief, your approach and the outcome, each backed by a record of what the client has agreed you may publish.
  • Responsive image setsImages are processed into sizes that suit each screen and load as the visitor scrolls, so large galleries stay quick to open.

Bookings and diary

  • Shoot types with packagesList each type of shoot with its packages, durations and included items as you enter them, so enquirers see what each option covers.
  • Enquiries that hold a dateAn enquiry can hold the requested date until the deposit window passes, then release it if no deposit arrives.
  • Deposits and balance remindersTake the deposit through a connected payment provider and send reminders when the balance falls due.

Forms and requests

  • Pre-shoot questionnairesEach shoot type has its own questionnaire, so you know the venue, the people and the shots wanted before the day.

Portal and access

  • Private galleries with proofingClients open a password-protected gallery that expires, mark their favourites and proof the images.
  • Selections and delivery trackingClients submit their selection, and you see for each shoot what has been chosen, edited and delivered.
  • Event galleries for guestsGuests at an event get access to a shared gallery and can order prints themselves.

Documents and cases

  • Contracts and model releasesStore the signed contract and model releases against the booking, so they are found with the shoot.
  • E-signature for contracts and releasesClients sign contracts and releases electronically instead of printing and scanning them.

Catalogue and checkout

  • Print and download ordersClients order prints or digital downloads from their gallery, with print orders sent to your lab.

Ownership, maintenance and pricing

After the build

Deployment and ownership

The package runs on your hosting or on hosting we manage, as recorded in the proposal and changeable later. You own the code, your images and your client data in either case. Galleries, bookings, questionnaire answers, documents and orders can be exported in standard formats at any time, and the platform can be moved to another provider.

Maintenance

Maintenance is optional and scoped separately. When taken, it covers security updates to the platform and its dependencies, monitoring of payment callbacks and gallery expiry jobs, backups of images and client data, and a monthly window for small configuration changes such as a new package, a changed deposit rule or a new questionnaire. Larger changes are quoted as change requests.

Pricing model

Priced per proposal.

The package is sold as a one-off setup and customisation with optional monthly maintenance and hosting as separate lines. The setup figure depends on the number of shoot types, the add-ons chosen, the payment provider and lab to connect, the volume of past galleries to import and whether you host it yourself. Storage for full-resolution images is stated as its own recurring line so it is never hidden in the build.

FAQ

Frequently asked questions

What happens when two people enquire about the same date?

The first enquiry you accept holds the date for the number of days you set. Anyone else asking is shown that the date is not currently available. If the deposit is not paid before the hold lapses, the date frees itself and the next enquiry can be accepted.

Can a client share a gallery with family?

Yes, within the rules you set per shoot type. A wedding gallery can allow guest access with its own password, so relatives can mark favourites and order prints for themselves, while the couple keeps the only selection that counts for the album.

How do print orders reach the lab?

With the orders add-on, a submitted order appears on your board with the chosen images, sizes and finishes. You send it to your lab from the order screen as a file export, or through a direct connection where your lab supports one and it has been set up during the build.

Do clients need an account?

No. Clients open their gallery with the link and password, and their questionnaire and payment links identify the booking. An account is only created for clients who want to come back to past galleries and orders.

Where are my full-resolution files kept?

Masters are stored with the booking in the storage attached to your hosting. Galleries serve resized copies; the originals are only released through the delivery window you set, or through a connected large-file transfer service for very large commercial deliveries.

Is this a finished product I can see running?

Not yet. The readiness badge shows the real state: the package is a custom build assembled from our portfolio, bookings, documents and orders modules for each photographer, and the example on this page is a labelled concept demo rather than a live studio.

We are two photographers who share bookings. Does the package cover that?

Not as standard. Shared availability, second-shooter assignment and per-image usage rights are custom work, covered by the custom photographer website service.
