Software package

Solar installer package

An installer system built around the project record: book the survey, capture the roof on a tablet, build the proposal from your component library, lock the accepted version, schedule the crew and scaffold, record commissioning and hand the customer their pack from the same screen.

Readiness: Custom build Concept demo

Who it is for

Built for

A good fit

Domestic and small commercial solar, battery storage and EV charger installers from a single-van business where the owner surveys and installs up to a firm with several surveyors, a designer and four or five crews across a region. Daily users are the office coordinator who takes enquiries and books surveys, surveyors capturing roofs and consumer units on site, the designer who turns a survey into a proposal, the installation manager who runs the crew and scaffold diary, crew leads who record commissioning on site, the owner who wants to see the pipeline from enquiry to handover, and customers who want to know what happens next without ringing.

Not the right fit

It is not for lead-generation platforms that sell enquiries to installers rather than installing, for utility-scale developers running planning and grid studies over years, or for electrical contractors who fit the odd charger as a side line; and it does not design systems, model shading or produce generation figures of its own.

The operational problem it solves

How it runs, step by step

Half past eight.

  1. The coordinator opens the pipeline board: fourteen enquiries awaiting a survey date, six surveys done and waiting for design, nine proposals out, four accepted jobs waiting for scaffold, three installations this week.

  2. A new enquiry arrived overnight from the web form with a semi-detached house, a slate roof, south-west facing and a photograph of the consumer unit; she offers Thursday morning slots that match the surveyor's area and the customer picks one by text.

  3. At ten the surveyor on site opens the job on his tablet, sketches the two roof faces, records the chimney shading, photographs the loft and the meter and marks the survey complete; the designer sees it land in her queue before he has left the drive.

By lunchtime version one of the proposal is out with twelve panels, an inverter and the figures she entered from the design tool.

  1. The customer replies asking about a battery; version two goes out, version one is marked superseded, and at four the customer signs version two and pays the deposit online.

  2. The project moves to scheduling, the installation manager books the scaffold company for a date and the crew for the day after, and the grid connection application is logged with its reference number and a reminder for the expected response.

  3. On installation day the crew lead records serial numbers, test readings and photographs from the roof, the customer sees the status move to commissioned on their page, and the handover pack is assembled from the documents the project already holds.

  4. The owner sees proposals outstanding by age, jobs blocked on scaffold or grid approval, and the two existing customers who have raised maintenance enquiries this week.

Features

What the package does

The package ships as modules that follow a project from enquiry to handover: enquiries, survey booking and site capture; the component library, proposal builder and acceptance; and the installation diary, commissioning, customer status and handover layer. Each module below lists what it does; the comparison table shows which package variant includes it.

Forms and requests

  • Enquiry capture with property and roof detailsWeb form and email enquiries arrive with property type, roof construction and recent consumption as the householder reports them, so the office does not have to ring back for basics.
  • Tablet survey captureSurveyors record roof faces, shading and photographs on a tablet and add their component recommendations for the designer. It replaces the notepad and the phone photos that never reach the file.

Bookings and diary

  • Survey booking by area and availabilityHouseholders pick a survey slot that matches the surveyor's area and diary, then confirm by text or email. The coordinator stops phoning round to fix dates.
  • Installation diary with crews, vans and scaffoldCrews, vans and the scaffold supplier sit on one diary as capacity, so the installation manager can see which jobs are ready and which are waiting on scaffold.

Documents and cases

  • Component libraryA list of the panels, inverters, batteries and mounting kits you install, which the designer draws on when building proposals.
  • Proposals with numbered versionsEach change a customer asks for becomes a new numbered version and the earlier one is marked superseded. Figures from your design tool are entered by the designer and labelled with their source.
  • Handover pack from project documentsThe pack the customer receives is assembled from the documents already on the project record, rather than being put together by hand after the crew leaves.

Billing and payments

  • Online proposal acceptance and depositCustomers accept the current proposal version online and pay the deposit, and the accepted version is locked as the record of what was agreed.

Portal and access

  • Customer status pageCustomers see which stage their job has reached, from survey to handover, and what happens next, without the office taking a phone call.

Compliance and records

  • Commissioning recordCrew leads record serial numbers, readings as entered and photographs on site, giving you a dated commissioning record for every installation.
  • Grid connection and certification referencesApplication type, reference number and dates are logged against each project, with reminders for the response you are waiting on. The applications themselves still go through the external portals.

Concept demo

Concept demo of a solar installer project record showing survey photographs, accepted proposal version, crew and scaffold bookings and a commissioning checklist.

The project record as the installation manager sees it: the two roof faces from the survey with photographs, proposal version two marked accepted and version one superseded, the scaffold and crew bookings on the diary strip, the grid connection reference with its submitted date, and the commissioning checklist still to be completed.

Ownership, maintenance and pricing

After the build

Deployment and ownership

Runs on your own hosting or on hosting we manage; the choice is made in the proposal and can change later. You own the code and your data, including enquiries, survey photographs, proposal versions, commissioning records and handover documents, which can be exported at any time in standard formats. Nothing in the package stops a move to another provider.

Maintenance

Maintenance is optional and scoped separately from the build. When taken, it covers security updates, monitoring of customer messages, signature callbacks and payment callbacks, backups of project records and photographs, and a monthly window for small changes such as new components in the library, a new crew or a revised handover template. Larger changes are quoted as change requests.

Pricing model

Priced per proposal.

Sold as a one-off setup and customisation with optional monthly maintenance and hosting as separate recurring lines. The setup figure depends on the number of surveyors and crews, the add-ons selected, the signature and payment providers, whether distributor price files are connected, and how much customer and project history is migrated. The proposal states each line separately so recurring costs are never hidden in the build.

FAQ

Frequently asked questions

What happens when a customer asks for a change after accepting?

The designer issues a new version; the accepted version stays locked as the record of what was agreed, the new one goes out for acceptance, and the project shows both with their dates. Ordering and scheduling work from the version currently accepted, so a crew never installs from a superseded proposal.

Does the package produce performance or savings figures?

No. The proposal carries the component list and any figures your designer enters from the design software you already use, labelled with their source. The package records them; it does not calculate or promise them.

How does the scaffold booking fit in?

Scaffold is a capacity line on the diary alongside crews and vans. The installation manager books the erection date against the scaffold supplier, the crew for the days after, and the strike date at the end; a job without scaffold booked appears in the blocked list.

Can customers see where their job is?

Yes. The status page shows the stage from survey to handover, the next expected step and the documents available so far. It never shows internal notes or other customers. Updates go by text or email when a stage changes.

Can it handle heat pumps or EV chargers as well?

The base package has one survey form shaped for roof-mounted solar and batteries. A second technology with its own survey fields, components and commissioning checklist is a custom option, scoped once we have seen how your surveyors capture it.

Is this a finished product I can see running?

Not yet. The readiness badge on this page shows the real state: the package is a custom build assembled from our forms, bookings, documents and capacity modules for each installer, and the project record above is a labelled concept demo rather than a live client system. Needs beyond the listed options go through custom solar installer development.
