Software package

Sports club package

A club system built around the season: families register online, managers pick from players who are registered and available, fixtures and results reach the public site the moment they change, training pitches are allocated without clashes, and the treasurer sees who has paid.

Readiness: Custom build Concept demo

Who it is for

Built for

A good fit

Amateur and semi-professional clubs with a committee of volunteers, from a single-team club with forty members to a community club with a dozen teams and a junior section. Daily users are the club secretary who owns registration and the public site, team managers who gather availability, pick the side and enter results, coaches who run training, the treasurer who tracks subs and match fees, players who confirm availability and pay, parents who register their children and respond on their behalf, and members who follow fixtures and news.

Not the right fit

It is not for a league or governing body running competitions across many clubs, which the tournament management package covers, for a commercial facility hiring out pitches, or for a gym or studio with memberships and classes. It does not run the club shop or make safeguarding decisions; it records roles, dates and consents for the officers who do.

The operational problem it solves

How it runs, step by step

Tuesday evening.

  1. The under-twelves manager opens the squad on his phone and sends the availability request for Saturday's away fixture, which was imported from the league last week and rearranged to a 10.30 kick-off yesterday; the request carries the new time and the venue.

  2. Parents answer yes or no with one tap, and by Thursday morning twelve have said yes, two no, and one has not replied and is reminded automatically.

  3. One parent who says yes is told the registration for this season is incomplete because the photograph consent was never answered; she completes it in a minute, and the player becomes selectable.

Thursday night the manager picks eleven and three substitutes from the available list; the team sheet is published to the families and the public team page, and the match fee for selected players is recorded against each.

  1. On Friday the coach checks the training grid: the under-twelves have the far half of pitch two on Tuesday from six, the under-fourteens the near half, and the grid shows the clash the secretary fixed last week by moving the under-tens to the hall.

  2. Saturday afternoon the manager enters the result and the scorers from the touchline; the public page and the club league table update, and the result goes to the club social feed.

  3. On Sunday the treasurer opens the subs view: ninety-one per cent of the junior section paid or on instalments, eleven players with match fees outstanding, and three volunteer coaches whose recorded check dates fall due next month, which the safeguarding officer is shown.

Ownership, maintenance and pricing

After the build

Deployment and ownership

Runs on your own hosting or on hosting we manage; the choice is made in the proposal and can change later. The club owns the code and its data, including member records, consents, fixtures and payment history, which can be exported at any time in standard formats. Nothing in the package stops a move to another provider when the committee changes.

Maintenance

Maintenance is optional and scoped separately from the build. When taken, it covers security updates, monitoring of payment callbacks, availability messages and any fixture imports, backups, and a monthly window for small changes such as a new team, a changed subs category or a new season opening. Larger changes are quoted as change requests.

Pricing model

Priced per proposal.

Sold as a one-off setup and customisation with optional monthly maintenance and hosting as separate recurring lines. The setup figure depends on the number of sections and teams, the registration fields and consents, whether fixture import is included, the payment provider and how much member and fixture data is migrated. The proposal states each line separately so recurring costs are never hidden in the build, and committees can see exactly what continues year to year.

FAQ

Frequently asked questions

Can parents answer availability for more than one child?

Yes. A guardian account holds every child they registered, and each availability request names the child and the fixture. One tap per child answers it, and the manager of each team sees only their own squad.

What stops an unregistered player being picked?

Selection draws only from players whose registration for the season is complete, including the consents the club marked as required. A player with something missing shows on the manager's list with the reason, and the guardian is prompted to complete it.

How do rearranged fixtures reach families?

When a manager changes a date, time or venue, the public page, calendar feeds and any open availability request update, and families who had answered are told. With the import add-on, changes published by the league arrive the same way.

Can subs be paid in instalments or in cash?

Both. The treasurer sets instalment plans per category; online payments run through the provider connected at setup, and cash or transfer payments are recorded by hand against the player so the subs view is complete.

Does it handle safeguarding?

It records what the club asks it to: volunteer roles, the dates the club tracks, and the officer contact shown on the public site. Decisions and checks remain with the club's officers and the governing body; the system holds the records and reminders.

Is this a finished product I can see running?

Not yet. The readiness badge on this page shows the real state: the package is a custom build assembled from our memberships, forms, messaging, capacity and orders modules for each club, and the selection screen above is a labelled concept demo rather than a live client system. Needs beyond the listed options go through custom sports club development.
