Estate agency software development

For principals and branch directors of sales and lettings agencies who need the property register, the applicant list, viewings and portal feeds to work as one system shaped around their branches and negotiators rather than a generic agency CRM configured to its limits.

The problem

What goes wrong today

Where it usually starts

An agency runs on a register of instructions and a list of people looking.

  • In practice the register lives in a CRM that was chosen years ago, the website is a separate build fed by an overnight export, and the portals receive a feed that nobody in the branch can see or correct.
  • A vendor rings to ask why the price reduction agreed on Monday is still wrong on one portal on Thursday; the negotiator cannot say, because the feed is a black box between two suppliers.

Where it gets harder

Enquiries arrive from the portals, the website, the phone and the window card, each in a different inbox.

  • The lettings administrator copies them into the CRM by hand, so an applicant who enquired twice gets two records and two sets of alerts.
  • Viewings are booked by whoever answers, written into a shared calendar without the key-holding or access notes, and feedback is chased by text message after the fact and rarely recorded against the property.
  • The branch manager wants to know how many viewings each instruction has had, how long each has been on the market at each price and which negotiator is sitting on unanswered enquiries, and gets a spreadsheet built on Friday afternoons instead.
  • When a second branch opens, the whole arrangement is duplicated rather than shared.

Scope of the service

What the build covers

A custom agency build normally covers:

  • The property register For sales and lettings with a status lifecycle you define (appraised, instructed, available, under offer, let agreed, exchanged, sold, let)
  • Agent assignment per property With branch ownership and reassignment history
  • The public search with filters for price Bedrooms, type and radius and a property page per instruction
  • Enquiry capture from every channel into one applicant record Routed to the assigned negotiator
  • Viewing scheduling against negotiator and key availability With feedback captured afterwards
  • Applicant matching and alert emails when new instructions meet saved requirements
  • Valuation requests from vendors and landlords
  • A vendor and landlord portal showing viewings Feedback and offers on their own property

How discovery works

Discovery works through a branch week with you: how an instruction moves from market appraisal to live listing, who may change a price and what has to happen on the portals when they do, how keys are held and signed out, which portals must receive feeds and in what format, how offers are recorded and progressed, and what landlords and vendors are allowed to see. Each becomes a named stage in the scope document: instruct, list and feed, enquire, view, offer, progress, complete or let.

Deliberately out of scope

  • Conveyancing case management, client accounting for rent and deposit money, and anti-money-laundering checks, which stay in the specialist tools you already use, with integration where it earns its place. Deposit registration and tenancy paperwork are recorded as documents and dates against the tenancy
  • The system does not claim to make the agency compliant with anything

When the scope grows

Scoping scenario

A three-branch agency with eleven negotiators handles sales from two branches and lettings from all three, feeds four portals, and wants applicants matched across branches with a single landlord portal. That is a different build from a single-branch lettings agent with sixty managed properties, and the scope document will say so plainly.

Deliverables

What you receive

  • Discovery notes from a walk-through of a branch week, including the key log and the current feed arrangements
  • A written scope document naming each workflow stage from instruction to completion, the portals in scope and what is excluded
  • Design of the property register, the applicant record, the viewing diary and the public search on phone and desktop
  • The build, deployed to your hosting or ours
  • Migration of live instructions, applicants and archived sales history from your current CRM where the export allows it
  • Feed configuration and test submissions with each portal you name, documented per portal
  • Training for branch managers, negotiators and lettings administrators, with a short written guide
  • Handover material and full ownership of the source code and your data

Process

How a project runs

Each stage maps onto the project view in your client panel. Durations are set in your proposal, never on this page.

  1. Onboarding

Access to your current CRM export, website, portal accounts and the key log; contacts named for each branch.

    Project stage: Onboarding
  2. Planning

Discovery with the principal, a branch manager and a lettings administrator; the lifecycle, the feed list and the scope document are agreed with milestones.

    Project stage: Planning
  3. Design

Clickable designs of the register, the applicant match screen, the viewing diary and the public property page, checked on the devices negotiators carry.

    Project stage: Design
  4. Development

Built in stages: register and public search first, then enquiries and viewings, then matching, feeds and the vendor and landlord portal.

    Project stage: Development
  5. Client review

A branch runs a test fortnight on live-shaped data, checks feed output against each portal and tells us where the lifecycle does not match practice.

    Project stage: Client review
  6. Revisions

Status rules, routing and feed mappings are adjusted from the review and re-checked against the scope document.

    Project stage: Revisions
  7. Ready for launch

Instructions and applicants migrated, feeds switched over portal by portal, alert emails tested on addresses you control, checklist signed off.

    Project stage: Ready for launch
  8. Delivered

The branches run on the new system; optional maintenance and hosting continue under their own agreement.

    Project stage: Delivered

Integrations

Commonly integrated

Systems this kind of business usually asks us to connect. Each integration is confirmed during discovery; none is assumed.

  • Property listing portals through their feed formats, configured and tested per portal
  • Email and SMS providers for enquiry acknowledgements, viewing confirmations and applicant alerts
  • Calendar feeds so negotiators see viewings on their own phones
  • Electronic signature services for terms of business and tenancy documents
  • Referencing and identity-check providers the agency already uses
  • Client accounting and rent collection systems for managed lettings
  • Mapping services for radius search and property location
  • Floor plan, photography and virtual tour suppliers delivering media per instruction

How we would approach it

Worked example

Concept demo

A three-branch agency sharing applicants and one landlord portal

In this scoping scenario, an agency with three branches ran three copies of the same CRM, so an applicant registered in one town was never matched to a suitable flat listed by the branch six miles away, and landlords with properties under two branches received two different statements of what was happening. The scope we would propose: one register with branch ownership per instruction, applicants held once with requirements that span branch areas, matching that runs across the whole register but routes the enquiry to the owning negotiator, viewing diaries per branch with key custody recorded, and a single landlord portal that shows every property regardless of branch.

The reason this needs a custom build is the ownership model: most agency CRMs assume one branch per database, which is exactly the assumption this agency needed to break without losing branch-level accountability.

Pricing

What affects the price

Every proposal is priced on scope. These are the factors that move it most for this kind of build.

  • Sales, lettings or both, and whether managed lettings need tenancy and inspection records
  • Number of branches and whether applicants and keys are shared between them
  • Number of live instructions and the depth of archived history to migrate
  • Which portals receive feeds and whether any require a bespoke format or import of enquiries
  • Online viewing booking against negotiator diaries and key availability
  • Vendor and landlord portal, and what it is allowed to reveal
  • Custom reporting for principals, such as time on market per price change and enquiry response per negotiator
  • Hosting choice: your own hosting or ours

FAQ

Frequently asked questions

How do you decide between a custom build and the package?

Discovery compares your branch week with what the estate agency package does through configuration. A single or two-branch agency with standard portal feeds and a conventional lifecycle usually fits the package. Shared applicants across many branches, unusual offer-progression rules or a portal with a bespoke format point to custom work, and we say which before anything is quoted.

Can you connect us to the property portals?

Portal feeds are an integration, configured and tested per portal using the format each one publishes. We name the portals in the scope document and treat each as its own piece of work. We do not control the portals, so timing and acceptance of listings remain theirs; what we build is the feed, the error log and the view that lets a negotiator see exactly what was sent.

Will the system handle deposits and tenancy paperwork?

It records them: deposit amounts, where they are held, the reference and the dates, alongside tenancy documents and renewal dates with reminders. Which scheme you use and whether your process meets the rules remains your decision and your advisers'. The system gives you the record and the reminder, not a compliance badge.

Can our existing instructions and applicants be moved across?

Usually yes, from an export of your current CRM. Live instructions, applicants with their requirements and archived sales history are mapped into the new register. The scope document states what carries over once we have seen the export, and old enquiry threads are the item most often left behind.

Who owns the system afterwards?

You do. Source code and data are handed over at delivery, portal credentials stay in your name throughout, and hosting and maintenance are optional and agreed separately.
