Membership platform development

For founders and owners of membership businesses, paid newsletters, clubs and private communities who need plans, trials, gated content, recurring billing and retention to be designed around their own offer rather than a subscription plugin with its assumptions baked in.

The problem

What goes wrong today

Where it usually starts

A membership business with two thousand paying members started on a website plugin that gated a few pages behind a monthly plan.

  • Three years on it sells three tiers, an annual option, a founding-member rate that must never change, a corporate plan for teams and a free trial that converts about a third of the time.
  • The plugin cannot prorate an upgrade, so the owner credits the difference by hand.
  • Failed payments produce an email from the payment provider that nobody reads, so members lose access on a Sunday night, complain on Monday and are reinstated by support one at a time; a proportion simply leave.

Where it gets harder

Gated content lives on the main site, a video library sits on a second platform and the community runs on a third, so every member has three logins and the support inbox is mostly access problems.

  • Coupons given to partners cannot be tracked to the partner, so nobody knows which partnership pays.
  • One login is shared around an entire office.
  • The owner knows roughly how many members leave each month and nothing about why, when in their life cycle, or on which tier, because the data is in the provider's dashboard and not in a form anyone can read.
  • Growth has stopped being limited by demand and has started being limited by the plumbing.

Scope of the service

What the build covers

A custom membership platform build normally covers:

  • Plans with monthly and annual billing A benefits matrix that decides which content, features and community areas each tier unlocks, and grandfathered rates for existing members
  • Trials with or without a card With the conversion path and reminders set by you
  • Upgrades and downgrades With proration and a change date the member understands before confirming
  • Recurring billing through the payment adapter with retry schedules Dunning emails in your voice, grace periods and the point at which access is withdrawn
  • Gated content and resources with rules per tier Including drip release by join date
  • A member community or discussion area with tier-based access
  • Coupon and partner codes with attribution and expiry
  • Account and device sharing limits
  • Cancellation flows with reasons Pause offers and win-back
  • Churn and cohort analytics by tier Acquisition source and life-cycle stage
  • A gating integration point Through sign-on or webhooks, for a separate site, app or video platform that must respect the same tiers

How discovery works

Discovery works through the offer with the owner and whoever answers support: what each tier includes, which rates are protected, how trials convert, what a failed payment should trigger and when, what sits on other platforms and must be gated from the same source, which partners send members and how they are rewarded. Each becomes a named stage in the scope document: choose plan, trial, subscribe, access, billing cycle, change plan, cancel or win back.

Deliberately out of scope

  • Producing the content itself, the video hosting platform, the accounting ledger and tax treatment of subscriptions in other jurisdictions. Those stay in the tools that own them and are connected where it earns its place

When the scope grows

Scoping scenario

A paid community with three individual tiers, a team plan billed per seat to a company card, a founding-member rate frozen since launch, content on the site, courses on a learning platform and discussion in a chat tool needs a single source of truth for who may see what, seat management for team administrators, proration on every plan change and a gating connection to two external platforms. That is a different build from a newsletter with one monthly plan, and the scope document says so plainly.

Deliverables

What you receive

  • Discovery notes from a walk through the offer, the tiers, the trial funnel, the failed-payment path and every platform that must be gated
  • A written scope document naming each stage from choosing a plan to cancellation or win-back, with what is out of scope
  • Design of the plan chooser, the member account, the billing and dunning emails and the owner's churn dashboard, checked on phones and desktop
  • The build, deployed to your hosting or ours
  • Migration of members, active subscriptions, protected rates and content access rules from the current plugin and payment provider, where relevant
  • Training for the owner, content managers and support, with a short written guide
  • Handover material and full ownership of the source code and your data

Process

How a project runs

Each stage maps onto the project view in your client panel. Durations are set in your proposal, never on this page.

  1. Onboarding

Access, contacts and a look at the current plugin, the payment provider account, the content platforms and the support inbox.

    Project stage: Onboarding
  2. Planning

Discovery with the owner and support; tiers, benefits, trial rules, retry and dunning schedule, coupons and gating points are agreed in the scope document with a milestone plan.

    Project stage: Planning
  3. Design

Clickable designs of the plan chooser, the proration confirmation, the member account, the dunning emails and the churn dashboard, reviewed with the people who will use them.

    Project stage: Design
  4. Development

Built in stages: plans, benefits and gating first, then billing, retries and dunning, then trials, coupons and plan changes, then community, analytics and external gating.

    Project stage: Development
  5. Client review

The team runs test subscriptions through a trial, a failed payment, an upgrade and a cancellation on real content and tells us where it does not match the offer.

    Project stage: Client review
  6. Revisions

Benefit rules, retry timing, email wording, proration behaviour and reporting are adjusted from the review and re-checked against the scope document.

    Project stage: Revisions
  7. Ready for launch

Members and subscriptions migrated with protected rates intact, webhooks tested against the provider, gating verified on every external platform, checklist signed off.

    Project stage: Ready for launch
  8. Delivered

The business bills its next cycle on the new platform; optional maintenance and hosting continue under their own agreement.

    Project stage: Delivered

Integrations

Commonly integrated

Systems this kind of business usually asks us to connect. Each integration is confirmed during discovery; none is assumed.

  • Card payment providers for recurring billing, retries, refunds and proration
  • Email providers for onboarding sequences, dunning and win-back messages
  • Single sign-on or webhooks to gate a learning platform, video library, chat community or mobile app
  • Accounting software for recognised revenue and refunds
  • Analytics and attribution tools for acquisition source and partner performance
  • Newsletter platforms where the paid edition must follow the subscription state
  • Tax calculation services for members in other jurisdictions

How we would approach it

Worked example

Concept demo

A paid community with three tiers, a team plan and two external platforms to gate

The situation

A paid professional community sold three individual tiers, a per-seat team plan paid on a company card, and kept a founding-member rate frozen since launch. Articles lived on the site, courses on a learning platform and discussion in a chat tool, so access problems filled the support inbox and plan changes were credited by hand.

Why it is a custom build

This needs a custom build because the benefits, the seat logic and the external gating are specific to the offer and sit across several platforms, which a single-site subscription plugin cannot coordinate.

The scope we would propose

  • A plan and benefits matrix as the single source of truth
  • Team administrators who add and remove seats with the bill prorated at the next cycle
  • Grandfathered rates protected at the plan level so a price change never touches them
  • A retry schedule with dunning emails in the community's own voice and a grace period before access is withdrawn
  • Partner codes attributed to the partner for reporting
  • A gating connection that signs members into the learning platform and the chat tool with the right tier, removing them the moment a subscription ends

Pricing

What affects the price

Every proposal is priced on scope. These are the factors that move it most for this kind of build.

  • Number of tiers, billing periods, protected rates and team or seat plans
  • Trial model and the conversion and reminder rules
  • Retry schedule, dunning sequence and grace period behaviour
  • Gating rules across the site and any external platforms, and the sign-on or webhook work each needs
  • Coupons, partner attribution and affiliate reporting
  • Community or discussion area and its moderation
  • Volume of members and active subscriptions to migrate with history intact
  • Hosting choice: your own hosting or ours

FAQ

Frequently asked questions

When is the package enough and when do we need a custom build?

The membership platform package covers tiers, trials, gated content, recurring billing with retries and dunning, coupons and churn reporting with configuration. A custom build is the honest answer for per-seat team plans, gating several external platforms, unusual proration or billing rules, or a migration from a plugin with years of protected rates. Discovery tells you which before anything is quoted.

Can we keep our founding members on their original rate?

Yes. Rates are protected at the subscription level, so a price change creates a new plan version for new joiners and leaves existing subscriptions untouched. The owner sees how many members sit on each version.

What happens when a payment fails?

The retry schedule you set runs through the payment provider, each attempt is recorded, and dunning emails in your wording go out at the points you choose. Access continues through a grace period you define and is withdrawn after it, with a one-click way back for the member. Support sees the whole sequence on the member record.

Can it gate content on a platform we do not control?

Where the platform supports sign-on or receives webhooks, yes: the member is signed in with their tier and removed when the subscription ends. What each platform permits is checked during discovery and stated in the scope document as an integration opportunity, not a promise.

Who owns the system afterwards?

You do. Source code and data are handed over at delivery; hosting and maintenance are optional and separately agreed, and the platform can move to another provider.
