Psychologist website development

For psychologists, counsellors and therapy practice owners who want a website and practice system that handles recurring sessions, associates and outcome measures while keeping booking information and clinical notes in separate, controlled places.

The problem

What goes wrong today

Where it usually starts

A therapy practice sells the same hour every week to the same client for months.

  • Most diary tools are built for one-off bookings, so the practitioner blocks a recurring slot by hand, then unblocks it when the client is away, then forgets to re-block it.
  • Enquiries arrive through a contact form that asks nothing useful, so the first call is spent working out whether the practice is the right fit at all.
  • Assessment questionnaires are emailed as attachments and come back as photographs.

Where it gets harder

When associates join, the owner handles their bookings and takes a percentage, but the only record of who saw whom is a spreadsheet reconciled at month end.

  • Supervision sessions are not in any diary.
  • Session notes are the practitioner's own and should be seen by no one else, yet they often sit in the same cloud folder as invoices.
  • Outcome questionnaires that ought to be repeated every six sessions are repeated when someone remembers.
  • Crisis information that should be visible on every contact route is on one page nobody reads.

Scope of the service

What the build covers

A custom therapy practice build normally covers the public site and the practice layer behind it. On the public side:

  • Practitioner profiles With approach and registration details supplied by the practice, an enquiry route that asks the fit questions the practice actually needs, and crisis information displayed on every contact route. On the practice side: recurring session scheduling with fixed weekly slots and planned breaks
  • An assessment stage With intake questionnaires completed before the first session
  • Outcome questionnaires issued automatically at the intervals the practice chooses
  • Sliding-fee and block-booking support
  • A supervision and associate structure So the owner sees the practice while each associate sees only their own clients
  • Secure messaging
  • Strict separation of booking data from clinical data

Whether session notes are stored in the system at all is the first discovery question. If they are, they sit under elevated access with the client's separate consent, and the scope adds the security item: access limited to the treating practitioner, an audit log of every view, encryption of stored notes, and a retention and deletion schedule set by the practice. We describe those controls and do not claim regulatory compliance or clinical safety certification. Discovery also covers whether sessions default to weekly, which outcome measures are used, whether online therapy is offered and how associates are paid.

Deliberately out of scope

  • Clinical decision support, risk scoring and anything that reads as advice about treatment

When the scope grows

Scoping scenario

A practice with an owner, five associates and a supervisor wants clients matched to an associate at enquiry, a weekly slot held for each client, outcome measures every sixth session, and a month-end statement per associate showing sessions delivered and fees. A solo counsellor with a waiting list needs a far smaller build, and the scope document is explicit about which one is being quoted.

Deliverables

What you receive

  • Discovery notes covering enquiry handling, session patterns, associates and what is stored where
  • A scope document naming each stage from enquiry to discharge, and the security scope if notes are stored
  • Design of the enquiry route, the weekly session diary and the questionnaire flow on phone and desktop
  • The build, deployed to hosting you choose or hosting we manage
  • Migration of client contact records and recurring slots where relevant
  • Training for the owner, associates and any administrator, with a written guide
  • Handover material and ownership of the source code and your data

Process

How a project runs

Each stage maps onto the project view in your client panel. Durations are set in your proposal, never on this page.

  1. Onboarding

Access to the current site and diary, the questionnaires in use and the associate agreement structure, with one named contact.

    Project stage: Onboarding
  2. Planning

Discovery with the owner and one associate; the data separation decisions and the scope document are agreed in writing.

    Project stage: Planning
  3. Design

Clickable designs of the enquiry route, the weekly diary with recurring slots and the restricted notes view, if notes are in scope.

    Project stage: Design
  4. Development

Public site and enquiry first, then recurring sessions and intake, then questionnaires, associates and statements, then the security scope.

    Project stage: Development
  5. Client review

The owner and an associate run a test month: a new enquiry, an assessment, six weekly sessions and a questionnaire cycle.

    Project stage: Client review
  6. Revisions

Findings are corrected and re-checked against the scope and the access rules.

    Project stage: Revisions
  7. Ready for launch

Recurring slots imported, reminders tested, crisis information checked on every contact route, launch checklist signed.

    Project stage: Ready for launch
  8. Delivered

The practice runs on the new system; hosting and maintenance continue under their own agreement if chosen.

    Project stage: Delivered

Integrations

Commonly integrated

Systems this kind of business usually asks us to connect. Each integration is confirmed during discovery; none is assumed.

  • Video platforms for online therapy sessions
  • SMS and email providers for reminders and questionnaire links
  • Card payment providers for session fees and block bookings
  • Calendar feeds so each practitioner sees their own slots on their own phone
  • Accounting software for associate statements and fee reconciliation
  • Secure document storage for assessment reports where scoped

How we would approach it

Worked example

Concept demo

A practice with five associates and a supervisor

The situation

A practice owner matched enquiries to associates by email and reconciled sessions in a spreadsheet each month, while session notes lived in each associate's personal files.

Why it is a custom build

The reason this is a custom build is the access model: each associate sees their own clients only, the owner sees bookings and statements but not notes, and that split is not something a generic practice diary can express.

The scope we would propose

  • An enquiry route that captures fit questions and lets the owner assign an associate
  • A fixed weekly slot per client with planned break handling
  • Outcome questionnaires issued every sixth session automatically
  • Notes stored under elevated access visible only to the treating associate and, with the client's separate consent, the supervisor
  • A month-end statement per associate generated from sessions delivered

Pricing

What affects the price

Every proposal is priced on scope. These are the factors that move it most for this kind of build.

  • Solo practitioner or an associate structure with supervision
  • Whether session notes are stored, which brings the security scope into the build
  • Which outcome questionnaires are used and how often they are issued
  • Recurring slot rules, breaks and waiting list handling
  • Sliding fees, block bookings and the payment provider involved
  • Online therapy and the video platform to connect
  • Associate statements and accounting connection
  • Hosting choice: your own hosting or ours

FAQ

Frequently asked questions

How do you decide between the package and a custom build?

A solo practitioner or a small practice whose week fits recurring slots, assessment intake and questionnaire cycles is usually served by the therapy practice package with configuration. Custom work is the honest route when the associate and supervision structure, the matching rules at enquiry or the statement requirements go beyond what the package models, and discovery is where we say which.

Do you store session notes?

Only if the practice decides to, and with the client's separate consent recorded. When stored, notes sit under elevated access limited to the treating practitioner, every view is logged, stored data is encrypted and the practice sets the retention schedule. We describe those controls and make no claim about regulatory compliance.

Can clients see their own outcome scores?

That is a practice decision made at scoping. The system can show a client their questionnaire history, show it only to the practitioner, or show it to the client once the practitioner releases it.

Who owns the system and the data?

The practice does. Source code and data are handed over at delivery, and hosting and maintenance are optional and separately agreed.
