Spa software development

For spa managers, wellness centre owners and hotel spa directors who need bookings to balance treatment rooms, therapists and facility capacity at the same time, not a salon diary with a pool bolted on.

The problem

What goes wrong today

Where it usually starts

A spa sells two things at once: time with a therapist in a room, and access to facilities that have a hard limit on people.

  • A day package might include a massage, a facial, two hours in the thermal suite and lunch.
  • The treatment side is usually managed in a salon-style diary; the facility side is managed by a receptionist counting robes.
  • When the two are not linked, Saturday fills with treatment bookings while the thermal suite is already at capacity, so guests who paid for the full package queue for a sauna or are quietly asked to come back later.

Where it gets harder

Couples and groups make it worse.

  • A couples massage needs two therapists, one double room and the same start time; a hen party of eight needs rooms staggered through the afternoon, a shared facility session and one bill.
  • Done by phone and spreadsheet, these take an hour each to arrange and are the first thing to go wrong on the day.
  • Health questionnaires arrive on paper at check-in and hold up the first treatment.
  • Gender preference for a therapist is scribbled on the booking and missed when the roster changes.
  • Members with facility access turn up unannounced and are counted against nobody.
  • In a hotel spa, guests book through the hotel system and the spa team find out when they arrive.

Scope of the service

What the build covers

A custom spa build normally covers:

  • A treatment catalogue with duration Room type and therapist requirements
  • Facility sessions with a capacity each (pool Thermal suite, relaxation room) that packages and memberships draw down
  • Day packages That combine named treatments and facility access into one bookable item
  • Linked appointment groups For couples and parties so one booking holds several rooms and therapists at once
  • Therapist gender preference honoured at booking and when the roster changes
  • A health questionnaire sent ahead and checked at arrival
  • Deposits Cancellation windows, reminders and no-shows
  • Memberships with facility entitlements
  • And Where the spa sits inside a hotel, a link that carries guest and room details across

How discovery works

Discovery walks through a Saturday and a quiet Tuesday with you: how a package is assembled, how the facility count is enforced today, how couples and groups are quoted, what the questionnaire must ask, how members check in and whether the hotel's property system needs to see spa charges. Each becomes a named stage in the scope document: choose package, link appointments and facility slot, deposit, arrive and questionnaire, treatments, checkout.

Deliberately out of scope

  • Restaurant table management, hotel room reservations themselves, payroll and accounting
  • These stay in the systems that own them, with connections where they earn their place

When the scope grows

Scoping scenario

A hotel spa with eight treatment rooms, a thermal suite limited to twenty guests per session, a membership base of a few hundred and a hen-party trade needs group bookings with staggered rooms, a facility count that includes members and hotel guests, and charges posted to the guest's room. That is a different build from a four-room day spa with no facilities, and the scope document says so.

Deliverables

What you receive

  • Discovery notes from a walk-through of a full and a quiet day, including the facility capacity map
  • A written scope document naming each stage from package choice to checkout, with what is out of scope
  • Design of the capacity planner, the package booking flow and the arrivals desk on tablet and desktop
  • The build, deployed to your hosting or ours
  • Migration of guest records, memberships and future bookings from your current system, where relevant
  • Training for reception, therapists and the spa manager, with a short written guide
  • Handover material and full ownership of the source code and your data

Process

How a project runs

Each stage maps onto the project view in your client panel. Durations are set in your proposal, never on this page.

  1. Onboarding

Access, contacts and a look at your current diary, facility sign-in sheet, membership list and any hotel system.

    Project stage: Onboarding
  2. Planning

Discovery with the spa manager, a senior therapist and reception; packages, capacity rules and the scope document are agreed with a milestone plan.

    Project stage: Planning
  3. Design

Clickable designs of the capacity planner, the package builder guests see online and the arrivals desk, checked on the devices your team uses.

    Project stage: Design
  4. Development

Built in stages: catalogue, rooms and facility sessions first, then packages and linked bookings, then memberships, questionnaires and any hotel link.

    Project stage: Development
  5. Client review

Your team runs a test weekend on real booking patterns, including a group, and tells us where capacity or linking does not match the floor.

    Project stage: Client review
  6. Revisions

Capacity rules, package logic and desk layout are adjusted from the review and re-checked against the scope document.

    Project stage: Revisions
  7. Ready for launch

Guests, memberships and bookings migrated, questionnaire and reminders tested end to end, hotel link verified, checklist signed off.

    Project stage: Ready for launch
  8. Delivered

The spa runs on the new system; optional maintenance and hosting continue under their own agreement.

    Project stage: Delivered

Integrations

Commonly integrated

Systems this kind of business usually asks us to connect. Each integration is confirmed during discovery; none is assumed.

  • Card payment providers for deposits, packages and memberships
  • Hotel property management systems for guest lookup and room charges
  • SMS and email providers for confirmations, questionnaires and reminders
  • Membership direct-debit and recurring payment providers
  • Accounting software for takings and deferred package revenue
  • Gift voucher platforms the spa already sells through
  • Access control or locker systems at facility entry

How we would approach it

Worked example

Concept demo

A hotel spa balancing members, guests and a thermal suite

The situation

A hotel spa with eight rooms and a thermal suite capped at twenty found Saturdays overbooked because members, hotel guests and package bookings were counted on three separate lists.

Why it is a custom build

This needs a custom build because capacity here is a shared pool consumed by three different kinds of customer, which standard salon software does not model at all.

The scope we would propose

  • One facility session calendar that every entitlement draws down, whether it comes from a package, a membership or a hotel guest's complimentary access
  • Packages that book their treatments and their facility slot in one transaction
  • Linked group bookings that stagger rooms and hold a single shared facility session
  • A desk view that shows live headcount against the cap

Pricing

What affects the price

Every proposal is priced on scope. These are the factors that move it most for this kind of build.

  • Number of treatment rooms, therapists and facilities with capacity limits
  • Complexity of day packages and whether they change seasonally
  • Couples and group booking rules, including staggered rooms and shared bills
  • Memberships: tiers, entitlements and recurring payment handling
  • Whether the spa is inside a hotel and what its property system must exchange
  • Health questionnaire content and whether signatures are needed
  • Volume of guest records, memberships and bookings to migrate
  • Hosting choice: your own hosting or ours

FAQ

Frequently asked questions

When is the package enough and when is a custom build needed?

The spa booking package covers packages, facility capacity, couples bookings and memberships with configuration. A custom build is the honest answer when the spa sits inside a hotel with a property system to integrate, runs several sites, or has group and membership rules the package cannot express. Discovery tells you which before anything is quoted.

Can the system link to our hotel booking system?

Commonly, yes. The integration usually looks up a guest by room, lets the spa book against the stay and posts spa charges to the room bill. What the hotel system allows varies by vendor, so the scope document states exactly what will be exchanged once we have seen it.

How are couples and group bookings handled?

As one linked booking that holds all the rooms, therapists and the facility session it needs. Moving the group moves every part; cancelling one person releases only their slot. The deposit and the bill can be shared or split, as your policy says.

Who owns the system afterwards?

You do. Source code and data are handed over at delivery; hosting and maintenance are optional and separately agreed, and the system can move to another provider.
