Villa rental software development

For villa owners, holiday-let managers and rental agencies who let whole properties by the week and need a system that handles changeover days, per-property seasons, cleaning and damage deposits, calendar sync for each property and honest statements for the owners they manage for.

The problem

What goes wrong today

Where it usually starts

A rental agency managing thirty villas for twenty owners runs on a spreadsheet per property, a shared inbox and a housekeeping group chat.

  • Each villa has its own seasons, its own changeover day and its own minimum stay, and each is listed on two or three third-party sites with their own calendars.
  • When a guest enquires for ten nights starting on a Wednesday at a Saturday-changeover villa, someone works out by hand whether to allow it, what it costs across two seasons and whether the cleaner can turn the property mid-week.
  • The quote goes out by email; by the time the guest accepts, a listing site has sold the first weekend.

Where it gets harder

Money is the slower failure.

  • The deposit is taken, the balance is chased by a reminder someone remembers to send, and the arrival instructions with the key-safe code go out whether or not the balance has arrived.
  • The damage deposit is held and then released from memory, usually late, which produces the angriest emails the agency receives.
  • At the end of the month each owner gets a statement assembled by hand from the spreadsheet: rentals, commission, cleaning fees passed through, a repair invoice and a payout figure, with mistakes that take an hour each to resolve.
  • Housekeepers find out about a changeover from the group chat, and a late checkout agreed by one person is not known by the cleaner standing at the door.

Scope of the service

What the build covers

A custom villa rental build normally covers:

  • Whole-property units with their own calendars Changeover days, weekly or nightly units, minimum stays by season and occupancy rules
  • Seasonal prices per property With a quote engine that prices a stay across season boundaries
  • An enquiry-to-quote flow For flexible or unusual dates that the manager prices and sends, with a hold until the guest accepts
  • Deposits A balance schedule and a cancellation policy from the shared stay capability set
  • Cleaning fees and damage deposits With a release workflow that reminds the manager after departure and records any deductions
  • Arrival instructions and key handover notes That are released only once the balance has cleared
  • External calendar sync per property with each listing site
  • Housekeeping turnaround tasks tied to departures and arrivals
  • Guest messaging before and after the stay with a review request
  • And For managed portfolios, owner statements that itemise rentals, commission, fees and expenses and produce a payout figure per period, with an owner login to read them

How discovery works

Discovery walks through a Saturday changeover and a month-end with the manager, a housekeeper and one owner: how a quote is priced today, which properties break the standard rules, how deposits are held and released, what owners expect to see and which calendars must sync. Each becomes a named stage in the scope document: search or enquire, quote, deposit, balance, arrival details, stay, damage deposit release, owner statement.

Deliberately out of scope

  • Accounting beyond the owner statement, payroll for housekeepers, and the listing sites' own guest messaging. Those stay where they are and the system connects to them where it earns its place. A channel manager is scoped as an integration opportunity once we have seen what it permits

When the scope grows

Scoping scenario

An agency with thirty-five villas across two regions, owners who each take a different commission, cleaners paid per changeover and three listing sites per property.

That needs

  • Per-property calendars and feeds
  • A commission rule per owner
  • A cleaning task list that pays itself out on the statement
  • A monthly payout run

That is a different build from a family letting one villa, and the scope document says so plainly.

Deliverables

What you receive

Process

How a project runs

Each stage maps onto the project view in your client panel. Durations are set in your proposal, never on this page.

  1. Onboarding

Access, contacts and a look at the property spreadsheets, listing accounts, deposit records and the current owner statement format.

    Project stage: Onboarding
  2. Planning

Discovery with the manager, a housekeeper and an owner; property rules, deposit workflow, statement format and the scope document are agreed with a milestone plan.

    Project stage: Planning
  3. Design

Clickable designs of the property calendar, the quote builder, the housekeeping list and the owner statement, checked on phones and the office desktop.

    Project stage: Design
  4. Development

Built in stages: properties, seasons and calendars first, then quotes, deposits and the release workflow, then housekeeping, messaging, calendar sync and owner statements.

    Project stage: Development
  5. Client review

The team runs a test month with real bookings copied in, including a cross-season quote, a damage deduction and a statement run, and tells us where it does not match the agency.

    Project stage: Client review
  6. Revisions

Pricing rules, release reminders, statement lines and layouts are adjusted from the review and re-checked against the scope document.

    Project stage: Revisions
  7. Ready for launch

Properties, bookings and held deposits migrated, calendar feeds verified per property, payments and messaging tested, a parallel statement run reconciled, checklist signed off.

    Project stage: Ready for launch
  8. Delivered

The agency runs bookings, housekeeping and statements on the new system; optional maintenance and hosting continue under their own agreement.

    Project stage: Delivered

Integrations

Commonly integrated

Systems this kind of business usually asks us to connect. Each integration is confirmed during discovery; none is assumed.

  • Calendar feed import and export with each listing site, per property
  • Channel managers, scoped per provider as an integration opportunity
  • Card payment providers for deposits, balances and damage deposit holds
  • Payout and bank transfer providers for owner payments
  • Email and SMS providers for quotes, balance reminders, arrival details and review requests
  • Accounting software for commission income and pass-through expenses
  • Smart lock and key-safe systems for arrival codes released after balance

How we would approach it

Worked example

Concept demo

A thirty-five-villa agency with per-owner commission and paid-per-changeover cleaners

The situation

An agency managing thirty-five villas across two regions kept a spreadsheet per property, priced every cross-season enquiry by hand and produced twenty owner statements each month over three days. Damage deposits were released late often enough to be the main source of complaints.

Why it is a custom build

This needs a custom build because the statement layer ties bookings, fees, expenses and commission together per owner, which booking widgets and listing calendars never attempt.

The scope we would propose

  • A calendar per property with its own changeover day and seasons
  • A quote engine that prices across season boundaries and holds the dates until the guest accepts
  • A damage deposit workflow that prompts the manager two days after departure, records deductions with photographs and releases the rest
  • Arrival instructions unlocked only when the balance clears
  • A cleaning task created for every departure and paid through to the statement
  • Per-owner commission rules
  • A monthly statement run with an owner login to read and download them

Pricing

What affects the price

Every proposal is priced on scope. These are the factors that move it most for this kind of build.

  • Number of properties and whether they are owned or managed for others
  • Variation in changeover days, seasons and minimum stays across properties
  • Damage deposit handling and the payment provider's hold and release options
  • Owner statements: commission rules, expense pass-through and payout runs
  • Housekeeping scheduling and whether cleaners are paid through the system
  • Number of listing calendars per property and any channel manager
  • Volume of bookings, held deposits and owner records to migrate
  • Hosting choice: your own hosting or ours

FAQ

Frequently asked questions

When is the package enough and when do we need a custom build?

The villa rental booking package covers per-property calendars, seasons, quotes, deposits with release, calendar sync and owner statements with configuration. A custom build is the honest answer for large portfolios with unusual commission structures, payouts across several currencies or countries, or a channel manager that needs a deep link. Discovery tells you which before anything is quoted.

Can guests book dates that do not fit our changeover day?

That is your choice per property and season. Standard stays book themselves; flexible or off-pattern dates go through an enquiry-to-quote flow where the manager prices the stay, decides whether a mid-week turnaround is possible and sends a quote that holds the dates until accepted or expired.

How are damage deposits handled?

Either as a card hold or as a payment held in the system, depending on the payment provider. After departure the manager is prompted to inspect, record any deductions with notes and photographs, and release the remainder. The guest sees the history, which removes most disputes.

Who owns the system afterwards?

You do. Source code and data are handed over at delivery; hosting and maintenance are optional and separately agreed, and the system can move to another provider.
