Readiness: Custom build Concept demo

Who it is for

Built for

A good fit

Accounting practices with two or more partners and from a few dozen to a couple of thousand client entities, where the deadline spreadsheet, the shared inbox and the request emails have become the main source of risk. It suits partners who want to see what is due and at risk this month, managers who assign work and chase clients, accountants who need the same checklist for the same job every time, administrators who run onboarding and raise fees, and clients who would rather see one list of what the firm needs from them than find it in a thread.

Not the right fit

It is not for sole practitioners whose need is a website that qualifies enquiries, which the accountant website package covers, nor for bookkeeping clients who want to record their own transactions, which the income and expense tracker covers. Firms that need approvals from several signatories on one entity, staff pools by office or two-way integration with specific accounts production software should look at the custom service first.

The operational problem it solves

How it runs, step by step

On the first Monday of the month the practice manager opens the job board.

  1. Every job due in the next ninety days is listed by deadline with its stage, its accountant and a colour for risk.

  2. Twelve year-end jobs are waiting on documents; the portal shows which items each client has sent and which are outstanding, and the chaser went out automatically on Friday.

  3. She reassigns three jobs from an accountant who is at capacity, which the workload view showed in red, to a senior with room in May.

A client with two companies and a partnership logs in on his phone, sees one list of what the firm still needs across all three entities, photographs the last missing statement and uploads it; the request closes and the accountant is notified.

  1. Later that week the draft accounts for one company are ready; the accountant releases them to the portal, the director reads them, signs on screen and the job moves to approved with the signature, time and version recorded against it.

  2. The administrator onboards a new client from the enquiry: the checklist walks her through the engagement letter, the identity verification whose result and date she records, and the professional clearance letter, and the client appears in the register with year-ends and services.

  3. At month end she runs billing: completed jobs and monthly retainers become invoice lines, which go to the firm’s accounting platform, and the partners see fees raised against work in progress by partner.

Features

What the package does

The package is organised as modules that follow a client from onboarding to billing and a job from scheduling to approval: the client register and engagements, job scheduling and checklists, the client portal with requests and approvals, secure messaging, onboarding, workload and billing. Each module below lists what it does; the comparison table shows which package variant includes it.

Ownership, maintenance and pricing

After the build

Deployment and ownership

The package runs on your own hosting or on hosting we manage for you; the choice is made in the proposal and can change later. In both cases you own the code and your data. The client register, jobs, requests, approval records, messages and documents can be exported at any time in standard formats, and nothing in the package stops you moving it to another provider. Retention for former clients is set by the firm and applied by the system.

Maintenance

Maintenance is optional and scoped separately from the build. When taken, it covers security updates to the platform and its dependencies, monitoring of chasers, portal invitations and the billing export, backups, and a monthly window for small configuration changes such as a new job type, a revised request list or a changed stage. Larger changes are quoted as change requests against the original scope.

Pricing model

Priced per proposal.

The package is sold as a one-off setup and customisation, with optional monthly maintenance and hosting as separate recurring lines. The setup figure depends on the number of entities, staff and job types, the add-ons selected, the accounting, signature and verification systems to connect, how much register and job history is migrated and whether you host it yourself. Your proposal states each line separately.

FAQ

Frequently asked questions

How are recurring jobs created?

Each engagement carries a deadline type, for example a year-end or a quarterly period, and the firm enters the dates. The system creates the next job in advance by the lead time you set, assigns it to the default accountant and places it on the board.

Does the package know statutory deadlines?

No. Deadline dates are entered and maintained by the firm against each engagement. The package schedules, assigns and chases from those dates; their accuracy, and any filing, remain the firm’s professional responsibility.

Can a client with several entities see one request list?

Yes. Requests are issued per engagement and merged in the portal for each authorised contact, grouped by entity, so the client sees one list and the accountant sees which engagement each item belongs to.

How is an approval evidenced?

The portal records the document version, the signing contact, the on-screen signature, the time and the network address, and locks the version. Whether that evidence satisfies your professional body is for the firm to judge.

Can we take payment of fees through the portal?

With the payment add-on, yes: invoices sent from the system carry a payment link or direct debit mandate through a provider chosen in the proposal, and payment status is shown against the invoice.

Is this a finished product I can see running?

Not yet. The readiness badge shows the real state: the package is a custom build assembled from our records, documents, forms, messaging and orders modules for each firm, and the example on this page is a labelled concept demo rather than a live system.

Some of our entities need two directors to approve. Is that included?

The package records one authorised approver per draft. Rules that require several named signatories before a job is approved are custom work handled through the custom accounting practice service.
