Readiness: Custom build Concept demo

Who it is for

Built for

A good fit

Campsites, touring caravan and motorhome parks, glamping sites and farm sites with roughly twenty to several hundred pitches, run by a manager with wardens or seasonal reception staff. It suits sites that sell more than one pitch type, price by party and vehicle rather than a flat nightly rate, open seasonally, take group bookings and want guests to see what they are booking before they arrive. Daily users are the site manager setting seasons and prices, wardens working the arrivals board on a tablet at the hut and a phone in the field, and guests booking from a phone.

Not the right fit

It is not for parks that mainly sell holiday-home ownership and annual pitch licences, which need licence and site-fee management rather than nightly bookings, nor for hotels or guesthouses letting rooms. Sites with metered electricity billing or barrier integration need the custom route for those parts.

The operational problem it solves

How it runs, step by step

Friday of a bank holiday weekend, two in the afternoon.

  1. The warden has the arrivals board open on the hut tablet: forty-one arrivals today, grouped by pitch type, each showing party size, vehicles, hook-up and whether a specific pitch was chosen.

  2. A motorhome with a trailer booked "any hardstanding" online last month; the price it paid was built from two adults, one child, the van, the trailer and a hook-up, and the warden allocates pitch H17 because it is long enough, which the attributes confirm.

  3. A family arrives who chose pitch G4 by the stream on the map for a supplement; it is marked theirs and nobody else was offered it.

At three a scout group of twelve tents arrives on a group booking that held an adjacent block in the top field under one leader, paid as one bill; the board shows the block and the warden walks them up.

  1. A couple ask to arrive after the gate closes tonight; the booking already shows the arrival rule and the late-arrival pitch near the entrance, and the gate code went out in yesterday's message.

  2. The glamping pods turn tomorrow, so each has a cleaning and hot-tub task on the list with a block before the next guest.

  3. Online, a guest tries to book for February and is told the site reopens at Easter, with the date.

  4. At six the manager checks occupancy by pitch type for the weekend, add-on sales of firewood and bike hire, and the balance of deposits due for August.

  5. A review request will go to each departing party on Tuesday.

Ownership, maintenance and pricing

After the build

Deployment and ownership

Runs on your own hosting or on hosting we manage; the choice is made in the proposal and can change later. You own the code and your data in both cases. Pitches, bookings, guest records and payments can be exported at any time in standard formats, and nothing in the package stops a move to another provider.

Maintenance

Maintenance is optional and scoped separately from the build. When taken, it covers security updates, monitoring of payment callbacks, arrival messaging and any calendar feeds, backups, and a monthly window for small changes such as next season\'s prices and opening dates, a new add-on or a change to the map. Larger changes are quoted as change requests.

Pricing model

Priced per proposal.

Sold as a one-off setup and customisation with optional monthly maintenance and hosting as separate recurring lines. The setup figure depends on the number of pitches and pitch types, whether a pitch map is drawn, the pricing components, the add-ons selected, the payment provider and the bookings migrated. The proposal itemises each line so recurring costs are never hidden in the build.

FAQ

Frequently asked questions

Do guests have to choose a pitch on the map?

No. You decide per pitch type. Guests can take "any pitch" of the type at the standard price and the warden allocates on arrival, or choose a specific pitch for a supplement you set. Both can run side by side.

Can we price per person and per vehicle rather than per night?

Yes. The price is built from the components you define: pitch type and season, adults, children and infants, cars, trailers and motorhomes, hook-up, awnings, dogs and add-ons. The guest and the warden see the same breakdown.

What happens outside our opening season?

The opening calendar stops bookings for closed dates and tells the guest when the site reopens. Different pitch types can have different seasons, so pods can stay open in winter while the grass fields close.

How do group bookings work?

An organiser holds a block of adjacent pitches under one booking and chooses one bill or split bills with a shared payment link. Parties can be added or removed until a date you set, and the warden sees the block on the arrivals board.

We have a barrier and metered hook-ups. Can it handle those?

Those are custom work rather than package features, because each barrier and metering system is different. They are scoped once we have seen your equipment, through custom campsite booking development.

Is this a finished product I can see running?

Not yet. The readiness badge shows the real state: the package is a custom build assembled from our availability, capacity, orders and messaging modules for each site, and the arrivals board on this page is a labelled concept demo rather than a live client system.
