Who it is for

Built for

A good fit

Charities, foundations, community interest companies and other non-profits with a staff team of two to around fifty, raising money through appeals, regular giving, events and supporter fundraising, and in some cases giving it out through grant programmes. It suits organisations that want every gift, declaration and supporter conversation on one record, that launch several appeals a year, that have supporters who fundraise on their behalf, and that roster volunteers. Daily users are the fundraising manager working the giving dashboard, the communications officer publishing appeals and stories, the finance lead reconciling income and preparing the reclaim export, the grants officer running a round, the volunteer coordinator filling shifts, and supporters giving, fundraising and updating their details.

Not the right fit

It is not for membership bodies whose income is subscriptions by grade, which have the association membership package, nor for large national charities with a dedicated CRM team and a contact centre. A foundation whose grant process has many review stages, several funds with restrictions or monitoring over several years needs the custom route for that side.

The operational problem it solves

How it runs, step by step

Nine in the morning in spring appeal week.

  1. The fundraising manager opens the giving dashboard: the appeal stands at sixty-two per cent of target with nine days to go, split by one-off gifts, new regular gifts and the supporter pages that are feeding it.

  2. A donor gives online, ticks the declaration and chooses a regular monthly gift; the supporter record is created, the declaration is stored with its wording and timestamp, the recurring collection is set up with the provider, and the thank-you email goes out with the appeal's own wording.

  3. A cheque arrives in the post from a supporter of fifteen years; the finance lead records it against her existing record and sees her declaration from years ago still attached.

A supporter running a sponsored swim updates her page with a photo and enters two offline donations from colleagues; her page total moves and so does the appeal.

  1. At eleven the communications officer publishes a beneficiary story and attaches the consent record before the page can go live.

  2. In the grants module the second round closed last night: 184 applications, 171 passed the eligibility check, and the grants officer assigns them to reviewers by theme, each reviewer seeing only their own batch and their own scores.

  3. The volunteer coordinator fills Saturday's collection shifts from the volunteers who marked themselves available, and the shift reminders are scheduled.

  4. At the end of the day the finance lead runs the month's export of gifts and declarations in the layout the reclaim process needs, and the chief executive sees the appeal, the regular giving programme and the volunteer hours on one page for the trustees' meeting.

Ownership, maintenance and pricing

After the build

Deployment and ownership

Runs on your own hosting or on hosting we manage; the choice is made in the proposal and can change later. The charity owns the code and its data in both cases. Supporter records, gifts, declarations, applications and volunteer records can be exported at any time in standard formats, and nothing in the package stops a move to another provider.

Maintenance

Maintenance is optional and scoped separately from the build. When taken, it covers security updates, monitoring of payment and collection callbacks, thank-you and reminder emails, backups, and a monthly window for small changes such as new suggested amounts, a new appeal template or next round's application questions. Larger changes are quoted as change requests.

Pricing model

Priced per proposal.

Sold as a one-off setup and customisation with optional monthly maintenance and hosting as separate recurring lines. The setup figure depends on the giving types in use, the declaration and export requirements, whether grants and volunteers are included, the payment and collection provider, and the supporter history migrated. The proposal itemises each line so recurring costs are never hidden in the build.

FAQ

Frequently asked questions

Does the package claim Gift Aid for us?

No. It records the declaration with your wording and timestamp against the supporter and each gift, and exports the records in the layout your finance team or adviser needs. Whether a gift qualifies and how the claim is made remain decisions for the charity and its advisers.

How do regular gifts work?

A supporter chooses a monthly amount, the recurring collection is created with the connected provider, and each collection, failure and cancellation is recorded on the supporter record. The fundraising manager sees the live state of the programme without reconciling a bureau report by hand.

Can supporters fundraise for us with their own pages?

Yes. A supporter creates a page with a target and a story, which the fundraising manager approves. Donations to the page land on the supporter record of each giver, the page total updates, and the organiser can enter offline donations and form a team page.

We are a foundation. Can it run our grant rounds?

With the grants add-on, yes: rounds with open and close dates, an application form built from your questions, an eligibility check, reviewer assignment with scores hidden until moderation, decisions and outcome letters. Review processes with many stages or monitoring over several years are custom work through custom charity development.

What does the consent record on stories do?

A beneficiary story cannot be published until a consent record is attached, naming who consented, when and to what use. When consent is withdrawn, the story is unpublished and the record keeps the history.

Can volunteers choose their own shifts?

Volunteers state their availability and roles; the coordinator fills shifts from that or lets volunteers claim open shifts themselves. Reminders go out before each shift and hours are recorded for reporting.

Is this a finished product I can see running?

Not yet. The readiness badge shows the real state: the package is a custom build assembled from our orders, forms, memberships, documents and capacity modules for each charity, and the giving dashboard on this page is a labelled concept demo rather than a live client system.
