Readiness: Custom build Concept demo

Who it is for

Built for

A good fit

Dental practices, orthodontic clinics and implant clinics with two to eight surgeries, run by a principal with a practice manager, reception, nurses and one or more hygienists. It suits practices that want a plan written in the surgery to become appointments at the desk without re-typing, want recalls to run on each patient's own interval, and want to see from one screen which surgery can take an emergency.

Not the right fit

It is not for practices that want charting and radiography inside the same product; those stay in the clinical system you already use. Nor is it a fit for single-chair practices with no nurse or hygienist, where a simpler diary and the doctor practice package would be closer.

The operational problem it solves

How it runs, step by step

The receptionist opens the surgery diary at eight: four surgeries across the top, each with its dentist or hygienist and the nurse paired to it for the session, and a reserved emergency slot at eleven that will release at half past ten if unused.

  1. A patient telephones in pain.

  2. The receptionist offers the emergency slot in surgery two, where the dentist takes emergencies, and the patient is asked to update their medical history from the link in the confirmation before arriving.

At ten a dentist finishes an examination and writes a plan with five items.

  1. The receptionist sees it appear with an estimate generated from the practice fee list; the patient accepts, chooses the payment plan the practice offers, and the five items are staged: two fillings this month in the dentist's surgery, a crown preparation next month, and a fit appointment that cannot be confirmed until the lab order is marked received.

  2. A hygiene recall is set at the four-month interval the dentist chose, not the practice default.

At one the lab delivery arrives, the nurse marks three orders received, and the three fit appointments that were waiting become confirmable. At four the practice manager runs the recall list for next month, sees which patients have not responded to two invitations, and hands the short list to reception to telephone.

Ownership, maintenance and pricing

After the build

Deployment and ownership

The package runs on the practice's own hosting or on hosting we manage; the practice owns the code and the data either way. Patient contact records, plans, estimates, recall dates, lab orders and the audit log can be exported in standard formats at any time. Stored data is encrypted at rest, clinical content is limited to clinical roles, and the retention schedule agreed at set-up is applied by the system.

Maintenance

Maintenance is optional and agreed separately from the set-up. It covers security updates to the platform and dependencies, monitoring of reminders, recall runs and payment callbacks, backups with a tested restore, and a monthly window for small changes such as a fee list update or a new surgery session pattern. Larger changes are quoted as change requests.

Pricing model

Priced per proposal.

The package is sold as a one-off set-up and customisation with optional recurring hosting and maintenance. The set-up figure depends on the number of surgeries, clinicians and sites, the add-ons chosen, the payment provider and any lab portal connected, the volume of open plans and recall data migrated, and whether the practice hosts it. The proposal shows every line separately.

FAQ

Frequently asked questions

Can a plan item be booked before its lab work is back?

The appointment can be pencilled but not confirmed until the nurse marks the lab order received, if the item has a lab dependency. Items without one are unaffected. The practice manager can allow an override, which is written to the audit log.

How are recall intervals set?

The practice sets defaults for examination and hygiene, and the dentist or hygienist can set a different interval for an individual patient. Recall runs invite patients by their own date, not by a monthly batch.

Does it handle payment plans?

As an add-on. Instalments are scheduled against the accepted estimate and collected through the payment provider connected at set-up; the package records what has been paid and what remains.

Can reception see medical history answers?

No. Reception sees whether the current version is complete and can send a link to update it. The answers are visible to clinical roles only, and every view is recorded in the audit log.

Will it connect to our charting software?

That is custom work and depends on what your charting system exposes. It is scoped through the dental clinic software development service rather than included in the package.

Is this a finished product I can trial?

Not yet. The readiness badge on this page shows the true state: the package is assembled as a custom build from our plan, diary, recall and lab modules for each practice, and the example screen is a labelled concept demo rather than a live system.
