Dental clinic software development

For principals and practice managers of dental, orthodontic and implant clinics who need a system that understands treatment plans, recalls, surgeries and lab work rather than a generic diary with a tooth icon.

The problem

What goes wrong today

Where it usually starts

A dental practice does not book appointments; it books stages of a plan.

  • A patient is examined, a plan with six items is written, an estimate is printed, and the items are supposed to become a sequence of appointments in the right surgeries with the right clinician and nurse.
  • In most practices that sequence lives in the dentist's head and the receptionist's notebook.
  • The second appointment is booked, the third is forgotten until the patient telephones, and the crown that was sent to the lab three weeks ago is due back on a day when the dentist is not in.

Where it gets harder

Recalls are run from a printed list once a month.

  • Hygiene intervals differ by patient but the list treats everyone the same, so the diary fills with six-month recalls for patients who were told three.
  • Medical history forms are completed on a clipboard, updated by crossing things out, and nobody can say which version the patient signed before a procedure.
  • An emergency patient in pain arrives at nine and the receptionist has no way of seeing which surgery could absorb a twenty-minute slot without moving three other people.

Scope of the service

What the build covers

A custom dental build normally covers the clinical-administrative core of the practice:

  • A treatment plan with items Each carrying duration, clinician type and surgery needs, which becomes a set of staged appointments
  • Estimates generated from the practice's own fee list and Where used, payment plans against them
  • Recall scheduling with per-patient hygiene and examination intervals
  • Dentist and hygienist pairing With surgery allocation so a session is only bookable when clinician, nurse and surgery are all free
  • A medical history form With versioning so the practice can show which version was completed before which appointment
  • Emergency slot handling That reserves capacity and releases it on the day
  • Lab work tracking from sent to due to received Linked to the appointment that needs it

How discovery works

Discovery walks the practice from examination to recall with the principal and the practice manager: how many surgeries and clinicians, whether estimates and plans are to be managed in the system or stay in an existing clinical package, the recall intervals that are actually used, whether lab work is tracked and whether payment plans are offered. Where clinical data is stored, the security scope is added as a named item covering access roles that separate reception from clinical notes, an audit log, encryption of stored data and a retention schedule; it is described as the controls built and not as a regulatory status.

Deliberately out of scope

  • Charting and radiography, which stay in the clinical system the practice already uses, as do dental plan or insurer claims unless a connection is scoped

When the scope grows

Scoping scenario

An implant clinic that treats patients referred by other dentists.

That needs

  • A plan that spans months
  • A lab timeline per implant stage, deposits taken against the estimate
  • A referral-back letter at the end

That is a different build from a family practice focused on recalls and hygiene, and the scope document says which the practice is buying.

Deliverables

What you receive

  • Discovery notes from a walk-through of a plan from examination to recall
  • A scope document naming each stage and listing what stays in the existing clinical system
  • Design of the surgery diary, the treatment plan view and the recall list on phone and desktop
  • The build, deployed to hosting you choose or hosting we manage
  • Migration of patient contact records, open plans, recall dates and outstanding lab work where relevant
  • Training for reception, nurses, hygienists and dentists, with a short written guide
  • Handover material and ownership of the source code and your data

Process

How a project runs

Each stage maps onto the project view in your client panel. Durations are set in your proposal, never on this page.

  1. Onboarding

We gather access to the current diary and clinical system exports, the fee list and the recall list, and agree a lead contact.

    Project stage: Onboarding
  2. Planning

Discovery with the principal, the practice manager and a senior nurse; the scope document and milestone plan are agreed.

    Project stage: Planning
  3. Design

Clickable designs of the surgery diary, the plan-to-appointments view and the lab tracker, reviewed in a surgery and at the desk.

    Project stage: Design
  4. Development

Surgeries, clinicians and the fee list first, then plans and estimates, then recalls, lab tracking and emergency slots.

    Project stage: Development
  5. Client review

The team runs a test fortnight with real plan patterns, lab timings and a staged recall run, and reports what does not fit.

    Project stage: Client review
  6. Revisions

Findings are corrected and re-checked against the scope document and the security scope.

    Project stage: Revisions
  7. Ready for launch

Open plans and recall dates imported, reminders tested on practice numbers, launch checklist signed by the practice manager.

    Project stage: Ready for launch
  8. Delivered

The practice runs plans, recalls and lab work in the new system; hosting and maintenance continue under their own agreement if chosen.

    Project stage: Delivered

Integrations

Commonly integrated

Systems this kind of business usually asks us to connect. Each integration is confirmed during discovery; none is assumed.

  • Card payment providers for deposits, balances and payment plans
  • SMS and email providers for reminders and recall invitations
  • Dental laboratory ordering portals where the practice already uses one
  • Existing clinical charting systems, read-only where possible
  • Accounting software for fee and plan reconciliation
  • Calendar feeds for associates who work at several practices

How we would approach it

Worked example

Concept demo

An implant clinic taking referrals from other dentists

The situation

A referral-only implant clinic with two surgeons and one hygienist needed plans that ran across four or five months, with lab stages whose due dates set when the next appointment could be. Their diary kept booking the fit appointment before the lab had confirmed delivery.

Why it is a custom build

The dependency between lab status and bookability is the reason this clinic needed a custom build; a standard dental diary treats the two as unrelated.

The scope we would propose

  • Plan items with a lab dependency, so the fit appointment cannot be confirmed until the lab order is marked received
  • Deposits taken against the estimate at plan acceptance
  • A surgery diary that pairs surgeon and nurse
  • A referral-back letter generated from the completed plan for the referring dentist

Pricing

What affects the price

Every proposal is priced on scope. These are the factors that move it most for this kind of build.

  • Number of surgeries, clinicians and sites
  • Whether treatment plans and estimates live in the new system or in the existing clinical package
  • Payment plans and the payment provider involved
  • Recall intervals to automate and the channels used to invite patients
  • Lab work tracking and any lab portal to connect
  • Medical history versioning and the security scope where clinical data is stored
  • Volume of open plans, recall dates and contact records to migrate
  • Hosting choice: your own hosting or ours

FAQ

Frequently asked questions

How do you decide between a custom build and the package?

If the practice runs plans, recalls and surgeries in a way the dental clinic package models out of the box, we quote for that and say so. Custom work is the honest answer when plans depend on lab timelines, when the system must connect to an existing charting package, or when a multi-site group needs reporting the package does not ship. Discovery is where we tell you which.

Will it replace our charting software?

No. Charting and radiography stay where they are. The custom build covers plans, staging, estimates, recalls, surgeries and lab work, and connects to the existing system only where a connection is scoped and the system allows it.

Can medical history forms be versioned?

Yes. Each completed form is stored as a version with its date, and the appointment record shows which version was current at the time. Reception sees that a form is complete; the content is visible to clinical roles only, under the security scope.

Who owns the system afterwards?

The practice. Source code and data are handed over at delivery, hosting and maintenance are optional and separately agreed, and the system can be moved to another provider.
