Readiness: Custom build Concept demo

Who it is for

Built for

A good fit

Private GPs, consultants and independent practitioners who see patients under their own name, usually with a medical secretary or practice administrator handling the diary. It suits a practitioner who holds sessions at one or two locations, offers telephone or video follow-ups and wants new patients to arrive registered, with a referral on file and an intake form already read.

Not the right fit

It is not for multi-practitioner clinics with rooms and departments, which need the clinic booking package, nor for practices that want a full clinical record system with prescribing and results. Those are different products, and if your day depends on them we will say so rather than stretch this one.

The operational problem it solves

How it runs, step by step

The secretary logs in at nine and sees three new requests from overnight.

  1. The first is a new patient asking for a first consultation about a condition listed on the site; the request form has already asked for a GP referral, and the letter is attached.

  2. The secretary checks the practitioner's Thursday session, confirms a slot, and the system sends the confirmation and a link to the intake form.

  3. The second request is a follow-up; the patient chose a video appointment type, so it is booked directly without the secretary touching it and appears in the diary with a video link attached.

The third is a request for a condition the practitioner does not see.

  1. The secretary replies through the secure message channel with a short note rather than exposing the practice email.

  2. By Wednesday the new patient has completed the intake form; the practitioner opens it on their phone the evening before clinic.

  3. Reception never sees its clinical content, only that it is complete.

  4. After the appointment the practitioner marks a follow-up interval and the secretary books it from a list of patients due, instead of relying on anyone's memory.

Features

What the package does

Ownership, maintenance and pricing

After the build

Deployment and ownership

The package runs on hosting you choose or on hosting we manage; either way the practice owns the code and the data. Patient contact records, appointments, intake responses and uploaded documents can be exported in standard formats, and the audit log exports with them. Stored data is encrypted at rest and access is limited by role, and the retention schedule agreed at set-up is applied by the system rather than by hand.

Maintenance

Maintenance is optional and agreed separately from the set-up. When taken, it covers security updates to the platform and dependencies, monitoring of reminders, uploads and message delivery, backups with a tested restore, and a monthly window for small changes such as a new appointment type or an edited condition page. Larger changes are quoted against the original scope.

Pricing model

Priced per proposal.

The package is priced as a one-off set-up and customisation, with hosting and maintenance as separate optional recurring lines. What moves the set-up figure: the number of locations and session patterns, whether clinical notes are stored and the security scope therefore applies, the add-ons chosen, the providers connected for video, messaging and payments, and whether you host it yourself. The proposal lists each line on its own.

FAQ

Frequently asked questions

Does the secretary see the intake form answers?

No. The secretary role sees that a form is complete or outstanding and can resend the link, but the answers are visible only to the practitioner role. The practice administrator can change that if the practice genuinely needs it, and every change to roles is written to the audit log.

Can we run video consultations through it?

Video is an appointment mode. The package connects to a video platform chosen during set-up and places the link in the confirmation and the diary entry; it does not host the video itself.

What happens to a did-not-attend?

The secretary marks the appointment as not attended, the record is kept on the patient's history, and the practice's own policy text is sent if one is configured. Whether a fee is charged is a practice decision the system records rather than decides.

Is it a replacement for our clinical records system?

No. It handles the public site, requests, intake, uploads and messaging. Storing notes is an add-on with its own security scope, and connecting to an existing clinical system is custom work described on the doctor website development service page.

Is this a finished product I can log into today?

Not yet. The readiness badge on this page shows the real state: the package is assembled as a custom build from our practice modules for each practitioner, and the example screen is a labelled concept demo, not a live system.
