Service

Doctor website development

For private GPs, consultants and independent practitioners who want a website that takes booking requests, collects intake before the first visit and keeps the diary and the notes in separate hands.

The problem

What goes wrong today

Where it usually starts

A single-practitioner private practice usually runs on a brochure website, a mobile number and a diary kept by a part-time medical secretary.

  • Enquiries arrive as voicemails and emails asking whether the doctor "does" a particular condition, what a first consultation involves and whether a referral letter is needed.
  • The secretary answers each one by hand, then telephones to offer slots, then emails a registration form as an attachment that the patient prints, fills in and photographs back.

Where it gets harder

The diary is the doctor's own calendar, so when a clinic session moves or a private hospital list changes, requests keep arriving for times that no longer exist.

  • New patients turn up without the form, and the first ten minutes of a forty-minute consultation are spent on history that could have been read in advance.
  • Referral letters sit in an email inbox that the doctor and the secretary both use, so nobody is sure who has filed what.
  • Follow-ups are promised verbally and rely on someone remembering to book them.

Scope of the service

What the build covers

A custom doctor website build normally covers the public site and the operational layer behind it as one piece. On the public side: condition and treatment pages, each linked to the appointment type a patient should request; a registration and qualifications section maintained by the practice; and clear routes for new-patient registration requests. On the operational side: the practitioner's working pattern and leave, appointment types with duration and lead time, including telephone and video consultation types, booking requests with confirmation and reminders, intake forms completed before the first visit, referral letter upload, a minimal patient record and a secure message channel to the patient.

How discovery works

Discovery starts with how the practice week actually looks: which sessions are at which location, whether the doctor wants requests to be confirmed by the secretary or booked directly, which conditions need a referral letter before a first appointment, and whether any clinical notes will be stored in the system at all. That last question decides whether the sensitive-data security scope is included: encryption of stored records, access roles that keep the secretary out of clinical content, an audit log of every view and change, and a retention schedule. We describe the controls built rather than claiming any regulatory status.

Deliberately out of scope

  • Prescribing, pathology ordering and results reporting, invoicing insurers, and anything that reads as clinical decision support

When the scope grows

Scoping scenario

A consultant who holds sessions at two private hospitals and one clinic room wants patients to request a slot by location, upload a GP referral at the same time, and complete a condition-specific questionnaire before attending. That is a different scope from a GP offering same-week video appointments with direct booking, and the scope document names the difference.

Deliverables

What you receive

  • Discovery notes covering sessions, locations and how requests are handled today
  • A scope document naming each stage from request to follow-up, including the security scope if notes are stored
  • Design of the condition pages, the request flow and the secretary view on phone and desktop
  • The build, deployed to hosting you choose or hosting we manage
  • Content set-up for the condition and treatment pages from text the practice supplies
  • Training for the practitioner and the secretary, with a short written guide
  • Handover material and ownership of the source code and your data

Process

How a project runs

Each stage maps onto the project view in your client panel. Durations are set in your proposal, never on this page.

  1. Onboarding

We collect access to your current site, domain and calendar, and agree who speaks for the practice during the build.

    Project stage: Onboarding
  2. Planning

A discovery session with the practitioner and the secretary; the scope document and milestones are written and agreed.

    Project stage: Planning
  3. Design

Clickable designs of the condition pages, the request form, the intake form and the secretary diary view.

    Project stage: Design
  4. Development

Built in order: public pages and appointment types, then requests and confirmations, then intake, uploads and messaging.

    Project stage: Development
  5. Client review

The secretary processes a week of test requests and the practitioner reads intake forms on the device they will really use.

    Project stage: Client review
  6. Revisions

Review findings are changed and checked back against the scope document and the security scope.

    Project stage: Revisions
  7. Ready for launch

Reminder messages tested against practice-controlled numbers, redirects from the old site mapped, launch checklist signed.

    Project stage: Ready for launch
  8. Delivered

The practice takes requests through the new site; hosting and maintenance continue under their own agreement if chosen.

    Project stage: Delivered

Integrations

Commonly integrated

Systems this kind of business usually asks us to connect. Each integration is confirmed during discovery; none is assumed.

  • Video consultation platforms for remote appointment types
  • SMS and email providers for confirmations and reminders
  • Card payment providers for private consultation fees
  • Calendar feeds so the practitioner sees sessions on their own phone
  • Document storage for referral letters and reports
  • Accounting software for fee reconciliation

How we would approach it

Worked example

Concept demo

A consultant with sessions at three locations

The situation

A consultant holds a Monday evening clinic at one private hospital, a Thursday afternoon list at another and ad hoc video appointments from home. Patients were emailing to ask which location they should attend.

Why it is a custom build

The reason this is a custom build rather than a generic booking widget is the session pattern: most widgets assume one location with a weekly availability grid, and this practice needed three with different rules.

The scope we would propose

  • Appointment types tied to a location and a session pattern, so a request for a face-to-face first consultation only offers the two hospital sessions while a follow-up offers video as well
  • Referral upload at the point of request
  • A secretary view that shows requests awaiting confirmation separately from confirmed appointments

Pricing

What affects the price

Every proposal is priced on scope. These are the factors that move it most for this kind of build.

  • Number of locations and session patterns the diary must model
  • Direct booking versus request-and-confirm, and the reminder channels needed
  • Whether clinical notes are stored, which brings the security scope into the build
  • Number of condition and treatment pages and who writes the content
  • Video consultation and payment providers to connect
  • Intake forms: a single registration form or condition-specific questionnaires
  • Migration of existing patient contact records from a spreadsheet or old system
  • Hosting choice: your own hosting or ours

FAQ

Frequently asked questions

Do we need a custom build, or would the package do?

If your practice has one practitioner, one or two locations and a standard request-confirm-intake flow, the doctor practice package usually covers it with configuration. Custom work is the honest answer when the session pattern, the intake questionnaires or the way referrals are handled do not fit those assumptions, and discovery is where we tell you which it is.

Will the system store clinical notes?

Only if you ask it to. Many practices keep notes in their existing clinical system and use the website for requests, intake and messaging. If notes are stored, the scope document adds the security item: encryption of stored data, role-based access, an audit log and a retention schedule. We describe those controls plainly and do not claim regulatory compliance on your behalf.

Can patients book directly without the secretary confirming?

Yes, per appointment type. A practice can allow direct booking for follow-ups and video calls while keeping first consultations as requests that the secretary confirms once a referral has been checked.

Who owns the site and the data afterwards?

The practice does. Source code and data are handed over at delivery, and you can move hosting elsewhere. Maintenance is a separate optional agreement.
