Readiness: Custom build Concept demo

Who it is for

Built for

A good fit

Driving schools from an independent instructor with one car up to a regional school with a few dozen franchised or employed instructors, and small groups of instructors who share an office and a brand. It suits an owner who wants the whole diary and the money in one view, office staff who match learners and move lessons all day, instructors who want their diary and the learner's progress record on their phone in the car, and learners who want to book, pay and see how close they are to test-ready.

Also worth knowing

It is less suited to large fleet or commercial driver training operations with classroom theory and vehicle types beyond cars, which need a training-centre style system, and to schools that only want a brochure website with a phone number. It does not book official tests; it tracks the dates you enter.

The operational problem it solves

How it runs, step by step

Monday morning.

  1. The office opens the diary and sees every instructor's day as a column, with pick-up postcodes on each lesson and a gap on Dan's afternoon.

  2. A learner books online for automatic lessons in the east of town on Tuesday and Thursday evenings; the system offers only the two automatic instructors whose pick-up areas cover her postcode and who have evening slots, she picks one, buys a block of ten and the first two lessons go straight into his diary with travel time respected.

  3. He gets the notification on his phone.

After each lesson the instructor opens the learner's progress record in the car and taps the skills covered, moving roundabouts from introduced to prompted, and adds a line of notes.

  1. The learner sees it that evening and the block balance drops to eight.

  2. On Wednesday a different learner cancels forty minutes before his lesson; the school's two-day window applies, the lesson is charged against his block, and the instructor sees the slot freed and marked as a late cancellation.

  3. The office fills it from the waiting list.

  4. Another learner enters her test date for three weeks' time; the system schedules a mock test reminder and a message about what to bring on the day, and the office books the school car for the test slot.

  5. On Friday the owner runs the weekly franchise statements: lessons delivered, learner payments received by the school, franchise fee and car charge per instructor, each statement sent and the totals exported to accounts.

Features

What the package does

The package ships as modules that follow a learner from enquiry to test and an instructor from booking to statement: instructors and areas, diaries and booking, blocks and payments, progress records, tests and reminders, and franchise statements. Each module lists what it does; the comparison table shows which variant includes it.

Directory and reviews

  • Instructor profiles with areas and hoursEach instructor profile shows transmission, vehicle, pick-up areas and working hours, which learners and staff can rely on.

Bookings and diary

  • Diaries with online booking and waiting listLearners book from live diaries that allow for travel time, and a waiting list catches anyone who cannot be placed yet.
  • Learner matching by area and preferenceMatch a new learner to an instructor by area, transmission, availability and preference.
  • Map-drawn pick-up areasDraw pick-up areas on a map and match learners by travel time. Available as an add-on.

Billing and payments

  • Lesson blocks, single lessons and intensive coursesLearners buy single lessons, blocks or intensive courses and pay online.
  • Cancellation window rulesThe cancellation window is applied and recorded automatically, so charges follow your rules rather than memory.
  • Franchise statements with accounting exportStatements with per-instructor fee levels and an export to your accounts. Available as an add-on.

Documents and cases

  • Progress record against a skills listInstructors record progress against a skills list you configure, so each learner sees what is left to cover.

Scheduling

  • Test-date tracking and remindersTrack test dates with reminders for the mock test and the test day.

Accounts and permissions

  • Guardian accounts for learners under eighteenLink a guardian to a learner under eighteen so they can follow lessons and payments. Available as an add-on.

Ownership, maintenance and pricing

After the build

Deployment and ownership

The package runs on your own hosting or on hosting we manage for you; the choice is made in the proposal and can be changed later. The school owns the code and its data. Learners, diaries, blocks, progress records and statements can be exported at any time in standard formats, and the package does not lock you to a provider.

Maintenance

Maintenance is optional and scoped separately from the setup. When taken, it covers security updates to the platform and its dependencies, monitoring of payment callbacks and reminders, backups with restore tests, and a monthly window for small configuration changes such as a new instructor, a changed cancellation window or an updated skills list. Larger changes are quoted as change requests.

Pricing model

Priced per proposal.

The package is sold as a one-off setup and customisation with optional monthly maintenance and hosting as separate recurring lines, or as a subscription that bundles hosting and maintenance where the school prefers one recurring charge. The setup figure depends on the number of instructors, the add-ons selected, the payment provider, how many diaries and balances are migrated and the hosting choice. Your proposal states each line separately.

FAQ

Frequently asked questions

How does matching choose an instructor?

The learner gives a pick-up postcode, transmission, preferred days and any preference such as instructor gender. The package offers only instructors whose pick-up areas cover the postcode, who teach that transmission and who have matching free slots, and the learner or the office picks from them.

What happens when a learner cancels late?

The owner sets a cancellation window and what happens inside it. The package applies the rule, charges the block or records the fee, frees the slot in the instructor's diary and marks it as a late cancellation so the office can fill it from the waiting list.

Can a learner change instructor and keep their progress?

Yes. The progress record belongs to the learner, so a new instructor sees every skill status and note from the start. Moving an unused block balance to the new instructor is handled by the office in the base package; automatic transfers with franchise accounting are custom work.

Does it book driving tests?

No. The learner or the office enters the test date, and the package runs mock test and test-day reminders and lets the office reserve the car. Connecting to an official booking service is assessed as custom work through the driving school development service and may conclude that no permitted interface exists.

How do franchise statements work?

With the add-on, each instructor has a fee level and optional deductions such as a car charge. The owner runs statements for a period listing lessons delivered, payments the school received for that instructor's learners, fees and the net figure, and exports the totals to accounts.

Can parents see a young learner's lessons?

With the guardian add-on, a parent linked to the learner sees the diary, progress record and payments and can buy blocks. Access is limited to linked learners and logged; the school decides its own policy on learners under eighteen.

Is this a finished product I can see running?

Not yet. The readiness badge on this page shows the real state: the package is currently a custom build assembled from our bookings, orders and multi-vendor modules for each school, and the example on this page is a labelled concept demo rather than a live client system.
