Education

Schools, training providers, language and driving schools, tutoring agencies, course businesses and assessment bodies whose work runs on enrolment, timetables, attendance, progress and the record of who learnt what.

How these businesses run their work

Every education business, from a nursery to a professional certification body, is organised around the same spine: a learner is enrolled onto something, attends or consumes it on a timetable, is assessed, and leaves with a record. What differs is the shape of each step. A school enrols once a year and lives by the term calendar; a language school enrols every Monday for a number of weeks; a training centre enrols into a cohort with places and prerequisites; an online course enrols at the moment of purchase and runs at the learner's own pace. Software that assumes one of these shapes will fight the others, which is why so many providers end up with a booking tool, a spreadsheet of who is in which class and a paper register that someone counts at the end of the week.

Capacity in this sector is rooms, instructors and places, and it is spent in time. A classroom holds twelve, an instructor can be in one car at a time, a cohort has twenty places and a tutor has four evenings. Timetabling is therefore a capacity problem as much as a calendar problem, and attendance against that timetable is the record that funding bodies, employers, parents and the provider's own policies all ask for. Attendance thresholds, absence reasons and the warning steps a provider takes when a learner drifts need to be configurable rules with a trail, not a policy remembered by one administrator.

Money arrives in instalments, packs, blocks, employer invoices and subscriptions rather than one payment. A learner's balance, what has been drawn down against it and what happens when a lesson is cancelled late are operational questions every topic in this sector shares, and the rules are the provider's own. Progress and assessment close the loop: a skills list ticked after a driving lesson, a progress report at the end of a language level, a quiz that unlocks the next module, a timed exam marked by two markers. Certificates then need to be verifiable by whoever is shown them.

Finally, much of this sector works with children and young people, and the rest holds personal data about adults who are often paying with money they cannot easily spare. Access to a learner's record is therefore scoped tightly by role: a parent sees their own children, a tutor sees their own students, a trip leader sees their own trip, and every view is logged. Checks a provider carries out on its staff are recorded as status and renewal dates, and the system can act on them, for example by blocking a booking when a renewal is overdue. The responsibility for safeguarding policy and data protection stays with the provider; the software supplies the controls and the records to operate them. The topics below share these capabilities and each adds its own, from the school's consent and payment flow for trips to the examination platform's versioned question bank.
