Readiness: Custom build Concept demo

Who it is for

Built for

A good fit

Independent hair salons and small salon groups, from a single salon with three or four chairs up to a handful of sites that share stylists and a client base. It suits owners who want online booking to reflect the real floor, receptionists who manage the diary all day, and stylists who want their own column on their phone without seeing anyone else's takings.

Also worth knowing

It is less suited to walk-in-only barbershops, which need a live queue rather than a diary, and to spas with facility capacity such as pools and thermal suites. Both have their own packages.

The operational problem it solves

How it runs, step by step

The receptionist opens the day view at eight-thirty.

  1. Every column is a stylist on today's roster; stylists on leave or on a break are greyed out, so nothing can be dropped onto them.

  2. A client calls to book a full head of colour with Priya for Saturday: the system knows the treatment is a three-stage appointment, blocks Priya for the colour application, frees her for the forty-minute processing window so a trim can be slotted in, and books her again for the cut and finish.

The client has never had colour here, so the booking is flagged for a patch test and the receptionist books that in first.

  1. Because colour carries a deposit, the booking is only confirmed once the deposit is paid online or on the card machine.

  2. A reminder goes out the day before.

  3. On Saturday the client is checked out with two retail products added to the bill and a rebooking in six weeks.

  4. If she had cancelled inside the window, the cancellation rule the owner set would have applied automatically, with the deposit history visible on her record.

Features

What the package does

The package ships as modules that mirror the salon day: the diary and booking engine, staff and chair capacity, and the payment and policy rules that protect your time. Each module below lists what it does; the comparison table shows which package variant includes it.

Bookings and diary

  • Online bookingClients choose a treatment and a time online; the diary is the single source of availability.
  • Stylist selectionChoose a named stylist at booking, or "any available".
  • Treatment duration and processing timeEach treatment carries a duration and processing time set by the business; multi-stage appointments free the stylist during processing.

Staff and capacity

  • Chair and room capacityChair, room or bed capacity per time slot so bookings never exceed the floor.
  • Staff rotas, breaks and leaveRosters, breaks and leave drive what is bookable for each stylist.

Payments and policies

  • Service bundles and packagesBundle treatments and sell packages; gift vouchers sit alongside.
  • Deposits at bookingTake a deposit when the booking is made, with the amount set by the business.
  • Cancellation window and fee rulesA configurable window after which cancellation and no-show rules apply.

Ownership, maintenance and pricing

After the build

Deployment and ownership

The package runs on your own hosting or on hosting we manage for you; the choice is made in the proposal and can change later. In both cases you own the code and your data. Client records, appointments and payment history can be exported at any time in standard formats, and nothing in the package stops you moving it to another provider.

Maintenance

Maintenance is optional and scoped separately from the build. When taken, it covers security updates to the platform and its dependencies, monitoring of reminders and payment callbacks, backups, and a monthly window for small configuration changes such as new treatments or stylist levels. Larger changes are quoted as change requests against the original scope.

Pricing model

Priced per proposal.

The package is sold as a one-off setup and customisation, with optional monthly maintenance and hosting as separate recurring lines. The setup figure depends on the number of sites and stylists, the add-ons selected, the payment provider, how much client data is migrated and whether you host it yourself. Your proposal states each line separately so recurring costs are never hidden in the build.

FAQ

Frequently asked questions

Can clients choose a specific stylist when booking online?

Yes. Each treatment can be booked with a named stylist or with "any available", and the owner decides per stylist whether they appear online at all.

How does the processing window on colour appointments work?

A multi-stage treatment carries separate durations for application, processing and finishing. During processing the stylist is shown as free for short bookings, while the client keeps the chair. Owners who prefer not to double up can switch the behaviour off per stylist.

What happens when a client cancels late?

The cancellation window and what happens inside it are set by the owner per treatment category. The system applies the rule, records it against the client and shows the deposit history to the receptionist so there is no argument at the desk.

Can chair-renting stylists use it without seeing the salon takings?

Yes. The chair-rental role keeps a separate diary and takings inside the shared floor view, so the front desk sees the whole floor while the renter sees only their own clients and payments.

Does it take payments itself?

Payments run through a card payment provider connected during setup; the package records deposits, balances and refunds against the appointment and the client. The provider is chosen with you in the proposal.

Is this a finished product I can see running?

Not yet. The readiness badge on this page shows the real state of the package: it is currently a custom build assembled from our booking, capacity and payment modules for each salon, and the example on this page is a labelled concept demo rather than a live client system.
