Hair salon software development

For salon owners and small salon groups who need a booking, diary and client system designed around their stylists, chairs and treatments rather than a generic appointment app bent to fit.

The problem

What goes wrong today

Where it usually starts

Most salons run on a mixture of a paper or shared-calendar diary, a card machine, a stack of client record cards and a group chat for rota changes.

  • It works until the salon is busy.
  • A colour client books a 9am slot that blocks the stylist for three hours when the stylist is only hands-on for ninety minutes of it; the chair sits full while a cut-and-finish client is turned away.
  • Deposits are taken over the phone and written on the booking, so when a no-show argues, nobody can prove what was agreed.

Where it gets harder

Rotas live on a whiteboard, so online bookings arrive for a stylist who is on leave.

  • Patch-test dates sit in a drawer and a new colour client is booked without one.
  • Chair-renting stylists keep their own diary on their own phone, so the front desk cannot see the real picture of the floor.
  • The result is double bookings, idle processing time, lost deposit income and clients who drift away because nobody noticed they had not rebooked.

Scope of the service

What the build covers

A custom hair salon build normally covers the operational core of the salon:

  • A treatment catalogue with durations Processing time and stylist price levels set by you
  • Staff rosters with breaks and leave that decide what is bookable
  • Chair capacity per time slot so the floor is never oversold
  • Online booking with a named stylist or "any available"
  • Deposits taken at booking and a cancellation window With your own fee rules
  • Reminders and no-show tracking
  • Client records with treatment history Colour formulas and notes

We work through the salon's real week with you first: how walk-ins are handled, how a colour appointment is staged across colour, processing and cut, whether patch tests gate a first colour, how chair-rental stylists share the floor, and whether retail products are sold at checkout. Each of those becomes a named workflow stage in the scope document rather than a vague feature line.

What a custom salon build deliberately leaves out: payroll, stock purchasing beyond retail sales at checkout, and accounting. Those stay in the tools you already use, and we connect to them where the connection earns its place.

When the scope grows

Scoping scenario

A three-site salon group needs one client record across sites, per-site chair capacity, stylists who float between sites on different days, and a group-level view of deposits and no-shows. That is a different build from a single salon with four chairs, and the scope document says so plainly.

Deliverables

What you receive

  • Discovery notes from a walk-through of your salon week
  • A written scope document naming each workflow stage and what is out of scope
  • Design of the booking flow, day view and client record on mobile and desktop
  • The build, deployed to your hosting or ours
  • Migration of client records and future bookings from your current diary or app, where relevant
  • Training for the front desk, stylists and the owner, with a short written guide
  • Handover material and full ownership of the source code and your data

Process

How a project runs

Each stage maps onto the project view in your client panel. Durations are set in your proposal, never on this page.

  1. Onboarding

Access, contacts and a look at your current diary, card machine and any booking app you already use.

    Project stage: Onboarding
  2. Planning

Discovery sessions with the owner and a senior stylist; the scope document and milestone plan are agreed.

    Project stage: Planning
  3. Design

Clickable designs of the day view, the booking flow and the client record, reviewed on the devices your team actually uses.

    Project stage: Design
  4. Development

The system is built in stages: catalogue and rotas first, then booking and deposits, then client history and reminders.

    Project stage: Development
  5. Client review

Your team runs a test week on real appointment patterns and tells us what does not match how the salon works.

    Project stage: Client review
  6. Revisions

Changes from the review are made and re-checked against the scope document.

    Project stage: Revisions
  7. Ready for launch

Data migrated, reminders tested against real phone numbers you control, launch checklist signed off.

    Project stage: Ready for launch
  8. Delivered

The salon runs on the new system; optional maintenance and hosting continue under their own agreement.

    Project stage: Delivered

Integrations

Commonly integrated

Systems this kind of business usually asks us to connect. Each integration is confirmed during discovery; none is assumed.

  • Card payment providers for deposits and checkout
  • SMS and email providers for reminders and confirmations
  • Accounting software for daily takings and deposit reconciliation
  • Calendar feeds so stylists see their column on their own phone
  • Gift voucher and loyalty systems the salon already sells through
  • Retail product barcode scanners at the till

How we would approach it

Worked example

Concept demo

A two-site salon with floating colourists

In this scoping scenario, a salon with two sites and nine stylists wanted its two colour specialists to work alternate days at each site without the front desks double-booking them. The scope we would propose: one roster covering both sites with a site assigned per shift, chair capacity defined per site, a shared client record so a colour formula written at one site is visible at the other, and deposits set per treatment category so colour work carries a higher deposit than a dry trim.

The reason this needs a custom build rather than an off-the-shelf app is the roster: most salon apps treat a stylist as belonging to one location, which is exactly the assumption this salon needed to break.

Pricing

What affects the price

Every proposal is priced on scope. These are the factors that move it most for this kind of build.

  • Number of sites and whether stylists work across them
  • Number of stylists and chairs, and whether chair-rental stylists keep separate takings
  • Multi-stage colour appointments and patch-test rules
  • Deposits, cancellation windows and the payment provider involved
  • Volume and quality of client records and future bookings to migrate
  • Retail sales at checkout and any stock the till must track
  • Custom reporting for the owner, such as rebooking rates per stylist
  • Hosting choice: your own hosting or ours

FAQ

Frequently asked questions

How do you decide whether we need a custom build or the package?

During discovery we compare how your salon actually runs against what the hair salon booking package does out of the box. If the package covers your week with configuration alone, we say so and quote for that. If your rotas, sites or appointment staging break its assumptions, the custom route is the honest recommendation.

Can you move our existing client records and bookings?

Usually yes. We export from your current diary or app, map the fields to the new client record and import future bookings so the switch happens between one working day and the next. The scope document states what can and cannot be carried over once we have seen the data.

Who owns the system afterwards?

You do. The source code and your data are handed over at delivery. Hosting and maintenance are optional and separately agreed, and you can move the system to another provider.

Do stylists need training?

Stylists mostly need the day view and the client record, which we design to be learnt in a few minutes on a phone. The front desk and the owner get a longer session covering rotas, deposits and reports, plus a short written guide.
