Readiness: Custom build Concept demo

Who it is for

Built for

A good fit

Language schools teaching adults or juniors with rolling or frequent start dates, exam preparation centres running fixed-length courses towards external exams, and schools that combine both with summer programmes. It suits a director of studies who allocates classes every week, a registrar who handles enrolments, extensions and letters, teachers who take the register and write progress reports, students who want their timetable and reports on their phone, an accommodation officer matching students to host families, and agents who want to see their own students and statements.

Also worth knowing

It is less suited to vocational training centres running cohort courses with employer invoicing, which have their own package, and to fully online course businesses with no classes or rooms. It does not teach the language; it runs the school around the teaching.

The operational problem it solves

How it runs, step by step

Thursday.

  1. A student in another country completes the online placement test her agent sent her; the objective sections are scored at once, a teacher marks her writing sample on Friday morning and confirms upper-intermediate.

  2. The registrar enrols her on twelve weeks of general English, intensive, starting in ten days, with a host-family request for the same dates.

  3. The agent sees the booking appear in his account.

  4. The accommodation officer matches her to a family with a room free for exactly those weeks and the arrival details go to the student and the family.

The following Friday the director of studies opens the allocation board for Monday.

  1. Three students are leaving, five are arriving, one is moving up a level after her progress report.

  2. The board shows each class with its capacity, flags one upper-intermediate class at thirteen against a maximum of twelve, and she moves a student to the parallel class.

  3. On Monday teachers take the register on a tablet.

  4. By Wednesday one student has missed four lessons in two weeks and crosses the first threshold the school set, so the registrar receives the warning and sends the letter from the template; the escalation step is recorded on his file.

  5. At the end of the month the owner runs agent statements and each agent receives one listing their students and weeks taught.

  6. The new student's enrolment letter is generated from her record in a minute when she asks for it.

Features

What the package does

The package ships as modules that follow a student from placement to progress report: placement and enrolment, courses and classes, allocation and capacity, attendance and thresholds, reports and letters, accommodation, and agents. Each module lists what it does; the comparison table shows which variant includes it.

Forms and requests

  • Online placement test with scoringProspective students sit a placement test online and it is scored automatically, ready for a teacher to confirm the level.
  • Course enquiries and booking requests onlineVisitors request a place on a course through the public site and the request lands in the school records.

Content and editorial

  • Courses by language, level and intensityCourses are listed by language, level and intensity with weekly start dates, so students choose a start that suits them.

Workflow and tasks

  • Enrolment with extensions, transfers and level movesHandle extensions, transfers between classes and moves up a level on the student record, rather than on separate spreadsheets.

  • Junior programme featuresGuardian contacts, group leaders and activity schedules for junior groups. Available as an add-on.

Documents and cases

  • Progress reports per levelTeachers write a progress report for each level with comments, kept on the student record.

Ownership, maintenance and pricing

After the build

Deployment and ownership

The package runs on your own hosting or on hosting we manage for you; the choice is made in the proposal and can be changed later. The school owns the code and its data. Students, enrolments, attendance, reports, letters and agent statements can be exported at any time in standard formats, and the package does not lock you to a provider.

Maintenance

Maintenance is optional and scoped separately from the setup. When taken, it covers security updates to the platform and its dependencies, monitoring of payment callbacks and notifications, backups with restore tests, and a monthly window for small configuration changes such as a new course intensity, a changed threshold or a revised letter template. Larger changes are quoted as change requests.

Pricing model

Priced per proposal.

The package is sold as a one-off setup and customisation with optional monthly maintenance and hosting as separate recurring lines, or as a subscription that bundles hosting and maintenance where the school prefers one recurring charge. The setup figure depends on the number of centres and classrooms, the add-ons selected, the payment provider, migration volume and the hosting choice. Your proposal states each line separately.

FAQ

Frequently asked questions

How does the placement test decide a level?

Objective sections are scored automatically against bands the school sets per level. Writing or speaking samples are marked by a teacher. The director of studies confirms the final level, and the test result stays on the student record so a later re-test can be compared.

Can students start any Monday?

Yes. Courses carry start dates as frequently as you run them, enrolments are for a number of weeks, and extensions add weeks to the same enrolment. The allocation board works week by week so arrivals and leavers are handled together.

What happens when attendance falls below the threshold?

The school sets thresholds and steps. When a student crosses one, the registrar is notified, the letter template for that step is available, and the step is recorded on the student's file with the date. What the school does next is its own decision; the package provides the record.

Does it produce visa letters?

It generates enrolment and attendance letters from the student record using templates the school writes, with the dates, course and attendance figures filled in. The school is responsible for the wording and for any obligations it has as a sponsor; the package does not assess or submit anything on the school's behalf.

Can agents see their students?

With the agent add-on, each agent logs in to see only the students they referred, their bookings and arrivals, and commission statements for the period. The school controls what each agent may download.

Can it handle a junior summer programme?

With the junior add-on, students carry guardian contacts, arrive in groups with a group leader, and have an activity schedule alongside lessons. Access to a junior's record is limited by role and logged.

Can it propose Monday's classes for us?

The base board shows capacity and lets the director place students by hand. Automatic proposals built from level, intensity and capacity are custom work scoped through the language school development service.

Is this a finished product I can see running?

Not yet. The readiness badge on this page shows the real state: the package is currently a custom build assembled from our enrolment, capacity, forms and documents modules for each school, and the example on this page is a labelled concept demo rather than a live client system.
