Parcel tracking package

A consignment tracking system for delivery operators that gives every parcel a tracking number, a scan history, a proof of delivery and a recipient page, with an exception queue for the ones that did not go to plan, ready to set up around your depot and drivers.

Readiness: Custom build Concept demo

Who it is for

Built for

A good fit

Independent couriers, fulfilment houses and delivery operators running their own drivers from one or two depots, from a handful of vans up to a few dozen routes a day. It suits operations managers who want to see where every consignment is without ringing a driver, drivers who want a scan page that works with one thumb on a cold doorstep, customer service staff who need an exception queue instead of a pad of sticky notes, and shippers who want to upload a file in the morning and see delivered counts by evening.

Not the right fit

It is not for businesses that only send parcels through national carriers and want to watch those parcels; a carrier tracking page already does that. It is not a route optimiser, not a courier booking site and not a warehouse system, although it connects to all three. Operators with several depots and carrier feeds to map usually need the custom route instead.

The operational problem it solves

How it runs, step by step

Six in the morning at the depot.

  1. The inbound trunk arrives and the goods-in operator scans each consignment as received; anything on the manifest that does not scan is flagged before the drivers arrive.

  2. Routes are built and every parcel is scanned to its route, so a consignment sorted to the wrong cage is caught at the sort, not at four in the afternoon.

  3. Each driver opens the scan page on their own phone, sees their consignments in stop order, and taps out-for-delivery as the van leaves; the recipients receive a message that the parcel is on its way today with a link to their tracking page.

At the door the driver taps delivered, takes a photo of the parcel on the step or a signature on the screen, and the record is closed with time and location.

  1. Nobody answers at the fourth stop: the driver taps card-left, the consignment moves into the exception queue and the recipient gets a message with a link to choose redelivery on a day the route runs or collection from the depot.

  2. Customer service sees the queue fill through the day and clears it with two taps per item rather than a phone call.

  3. A shipper logs in at midday to check a disputed delivery and finds the photo and timestamp themselves.

  4. At seven the operations manager looks at the day: delivered on first attempt by route, exceptions by reason, and which driver still has three stops open.

Features

What the package does

The package ships as modules that follow the parcel: consignment creation and import, the depot and driver scan events, proof of delivery and recipient notifications, and the exception queue and reports. Each module below lists what it does; the comparison table shows which package variant includes it.

Payments and policies

  • Consignment records with tracking numbersEvery consignment has a tracking number, the number of pieces and its shipper and recipient, forming the record all later scans attach to.
  • Shipper accounts with import and labelsShippers upload a file of consignments and print labels, instead of sending the depot a spreadsheet to key in.

Workflow and tasks

  • Depot scansScan parcels as received, sorted to route and out for delivery, so the history shows where each one has been.
  • Driver scan page with proof of deliveryDrivers use a page on their phone to scan and capture a photo or a signature as proof of delivery.
  • Exception queueParcels that did not go to plan land in a queue where staff choose redelivery, return or collection.
  • Multi-depot routesRun routes across several depots, with each exception owned by the depot responsible.

Portal and access

  • Public tracking pageRecipients see a privacy-safe status, and proof of delivery once the parcel has arrived.
  • Recipient redelivery and collection choiceRecipients choose redelivery or collection themselves instead of phoning customer service.

Messaging and notifications

  • SMS and email notificationsRecipients are notified by SMS or email at each status change.

Reporting and insights

  • First-attempt, exception and driver reportsReports on first-attempt delivery, exceptions and driver activity help the operations manager see where the round is slipping.

Integrations

  • Consignments from a shop or order systemConsignments are created automatically from a connected shop or order system, removing double entry.

Ownership, maintenance and pricing

After the build

Deployment and ownership

The package runs on your own hosting or on hosting we manage; drivers use the browser on their own or company phones, so no dedicated scanner hardware is required to start. You own the code and your data in either case. Consignment history, scan events, proof of delivery files and shipper records can be exported at any time in standard formats, and nothing in the package stops you moving it to another provider.

Maintenance

Maintenance is optional and scoped separately. When taken, it covers security updates, monitoring of the driver page, notification delivery and any carrier feeds, backups of consignment and proof records, and a monthly window for small changes such as a new exception reason or a notification rewording. Anything larger is quoted as a change request against the original scope.

Pricing model

Priced per proposal.

Sold as a one-off setup and customisation with optional monthly maintenance and hosting as separate recurring lines. The setup figure depends on the number of depots and drivers, the notification channels, whether shippers import and print labels, the proof of delivery requirements and any order-system connection. Each line is itemised in the proposal so recurring costs are never hidden in the setup.

FAQ

Frequently asked questions

Do drivers need special scanners?

No. The driver page runs in the browser on an ordinary phone and uses the camera for barcodes, photos and signatures. Dedicated hand-held scanners can be connected as custom work if your volumes justify them.

What does the recipient see on the tracking page?

The current status, the expected delivery day, the scan history in plain words and, once delivered, the proof of delivery photo. Shipper details, driver names and other parcels on the route are never shown.

How are failed deliveries handled?

The driver records a reason, the consignment enters the exception queue and the recipient is told. Customer service or, with the self-service add-on, the recipient chooses redelivery on a day the route runs, a return to the shipper or collection from the depot, and the outcome is recorded against the consignment.

Can shippers upload their own consignments?

Yes. A shipper account can create consignments one by one or import a file in an agreed column layout, and print labels carrying your tracking number. Shippers see only their own consignments.

Does it track parcels we hand to national carriers?

In the base package customer service records their status by hand. Pulling carrier status feeds in automatically and mapping them to your own scan names depends on what each carrier exposes and is scoped as custom work.

Is this a finished product I can see running?

Not yet. The readiness badge shows the real state: the package is a custom build assembled from our consignment, scan, notification and exception modules for each operator, and the screen on this page is a labelled concept demo rather than a live client system. Anything beyond the listed options is scoped as custom parcel tracking development.
