Software package

Studio class booking package

A studio system built around the class and the pack: students buy a pack or membership, book a bed or a mat, cancel within the window or lose the class, join a waiting list, and hear from the studio when a teacher is covered, while the owner sees what fills and what expires.

Who it is for

Built for

A good fit

Pilates, yoga and barre studios from a single room with one teacher-owner up to two or three rooms with a dozen teachers and a workshop programme. Daily users are the studio owner who edits the timetable, sets pack and cancellation rules and watches fill rates, the front desk or the owner at the desk selling packs and checking students in, teachers who see their classes, mark attendance and accept cover, and students who book from their phone, manage their pack and join waiting lists.

Not the right fit

It is not for a gym selling access plans with a turnstile, which has its own package, for a personal trainer running one-to-one packs without a timetable, or for a leisure centre with dozens of rooms and casual pay-as-you-go. It does not give exercise or health advice; the intake questionnaire records what a student writes and nothing more.

The operational problem it solves

How it runs, step by step

Sunday evening.

  1. The owner opens the week on her phone.

  2. Monday's 7am reformer flow shows eight of eight booked and a waiting list of three; the mat room at 9.30 has seven of twelve.

  3. A message arrives from a teacher who cannot take Tuesday's lunchtime class.

  4. The owner marks it for cover; the two teachers on the reformer cover list are offered it and one accepts within the hour.

  5. The system messages the nine booked students with the substitute's name, and the class stays open for the last place.

Monday, 6.38am.

  1. A student cancels the 7am class from her phone.

  2. The window closed at 6am, so the class is deducted from her pack under the studio rule and her record shows why.

  3. The first student on the waiting list is promoted and messaged; she has twenty minutes and makes it.

  4. At the desk, a new student buys a ten-class pack with a three-month expiry and completes the intake questionnaire on the tablet before her first class; the teacher sees that she has noted a recent knee operation and reads it as information, nothing more.

  5. At lunchtime a student with a membership and an old five-class pack books Thursday; the booking takes the membership class first, as the owner configured, so the pack is saved.

  6. In the afternoon a Saturday workshop sells its last of fourteen places with a deposit.

  7. At the end of the week the owner opens the pack report: nineteen packs expire this month with classes unused, which classes ran under half full, and which teachers' students rebook most often.

Features

What the package does

The package ships as modules that follow the studio week: packs and memberships, the timetable with equipment capacity and waiting lists, and the cover, workshop and private-session layer. Each module below lists what it does; the comparison table shows which package variant includes it.

Bookings and diary

  • Class types with equipment capacityEach class type takes its capacity from the reformers or mats in the room, so a Pilates class never books more places than there are machines.
  • Recurring timetableThe weekly timetable repeats automatically with a teacher on each class and booking windows that open and close when you decide.
  • Student booking from the phoneStudents book, cancel and join waiting lists themselves and can see remaining classes and the date their pack expires.
  • Waiting list and late-cancellation ruleThe next student on the list is promoted and messaged when a place opens, and a late-cancellation rule per class type decides whether a class is deducted.
  • Teacher cover listsWhen a teacher cannot take a class, cover is requested and offered from a list, and booked students receive a substitution message.
  • Private and duet sessionsStudents book private or duet sessions against the teacher's own availability.

Memberships

  • Class packs and membershipsStudents buy packs that expire or take a membership, with a set order in which packs and membership classes are used up.
  • Intake questionnaireNew students complete a questionnaire that is recorded against their profile and shown to the teacher before a first class.
  • Front-desk sales and check-inStaff sell packs, take payments, check students in and book on their behalf, and can apply or waive a late-cancellation deduction.
  • Workshops and multi-week coursesSell one-off workshops and courses that run over several weeks, taking a deposit at booking.

Reporting and insights

  • Fill-rate, pack usage and expiry reportsSee which classes fill, how packs are being used and which are about to expire, to adjust the timetable and pack sizes.

Content and editorial

  • Livestream and recorded class accessLivestream or recorded classes sold alongside packs, so students who cannot attend in person still have a way to practise with the studio.

Ownership, maintenance and pricing

After the build

Deployment and ownership

Runs on your own hosting or on hosting we manage; the choice is made in the proposal and can change later. You own the code and your data, including student records, pack balances, questionnaires and bookings, which can be exported at any time in standard formats. Nothing in the package stops a move to another provider.

Maintenance

Maintenance is optional and scoped separately from the build. When taken, it covers security updates, monitoring of payment callbacks, promotion and substitution messages, backups, and a monthly window for small changes such as a new class type, a changed expiry period or a new cover list. Larger changes are quoted as change requests.

Pricing model

Priced per proposal.

Sold as a one-off setup and customisation with optional monthly maintenance and hosting as separate recurring lines. The setup figure depends on the number of rooms and class types, the pack and membership structure, whether workshops, privates or livestream are included, the payment provider and how many student records and pack balances are migrated. The proposal states each line separately so recurring costs are never hidden in the build.

FAQ

Frequently asked questions

Can a student hold a membership and a pack at the same time?

Yes. The owner sets the deduction order, for example membership first, then the pack expiring soonest. The student sees which balance a booking used and how many classes remain on each.

What stops a reformer class being overbooked?

Capacity comes from the equipment assigned to the room for that class type, not from the room itself. Eight beds means eight places, and the ninth student goes on the waiting list.

Do expired packs disappear?

An expired pack can no longer be booked against, but it stays on the record with its history. The owner can extend an expiry for an individual student, and the pack report shows expiries coming up so the studio can remind people.

How do students find out about a substitute teacher?

When cover is accepted, every booked student receives a message naming the substitute, and the class page updates. Students who book afterwards see the substitute from the start.

Does it take payments itself?

Payments run through a card payment provider connected during setup; the package records packs, memberships, workshop deposits and any late fees against the student. The provider is chosen with you in the proposal.

Is this a finished product I can see running?

Not yet. The readiness badge on this page shows the real state: the package is a custom build assembled from our memberships, capacity, bookings, forms and orders modules for each studio, and the week view above is a labelled concept demo rather than a live client system. Needs beyond the listed options go through custom studio development.
