Software package

Tournament management package

A competition system built around the fixture: teams enter and pay, the draw is made and published, fixtures are placed into venues and slots, results are reported by both sides and confirmed, standings and brackets update, officials are appointed and sanctions are enforced on the next team sheet.

Who it is for

Built for

A good fit

Leagues, cup competitions, one-day and weekend tournament organisers, school and university sport associations and small governing bodies, from a single local league with ten teams to an organiser running a dozen events a year. Daily users are the organiser who sets up competitions, closes entries, makes the draw and generates fixtures, officials who see their appointments and submit results, team managers who enter, pay, report results and check their next fixture, participants who follow their own bracket, and spectators who watch public tables and live scores on their phones at the venue.

Not the right fit

It is not for a club running its own squads and subs, which the sports club package covers, for a facility letting pitches by the hour, or for a professional league with broadcast and data-feed obligations. It does not register players with a governing body or run venues; it references the former and books into the latter where an interface exists.

The operational problem it solves

How it runs, step by step

The Thursday before a one-day youth tournament.

  1. The organiser opens the entries screen: forty-eight teams across three age groups, every fee paid online, two on the waiting list.

  2. One team withdraws; the first on the waiting list is offered the place and pays within the hour.

  3. At eight that evening she runs the group draw with the seeds protected, publishes it, and every team manager receives their group and first fixture time.

  4. Fixture generation places the morning group games across six pitches in twenty-minute slots with a ten-minute gap, keeps each team off consecutive slots and leaves the two main pitches free from two o'clock for the knockout rounds.

  5. The referee coordinator assigns officials to every fixture from the availability they entered, and each referee sees their list for the day.

Saturday, half past nine.

  1. The desk is a laptop; the pitches are phones.

  2. A referee submits 2-1 from pitch four, the home manager confirms it and the group table updates on the public page before the players have left the pitch; parents at pitch six see that their team now needs a draw to qualify.

  3. On pitch two the referee records a red card; the sanction is one match under the competition rules, and when that team's manager opens the team sheet for the afternoon the player is blocked with the reason.

  4. At twelve a result is disputed: the referee entered 3-3 and the away manager says 3-2.

  5. The fixture holds as disputed, the organiser checks with the referee, rules 3-3 with a note, and the table confirms.

  6. At two the knockout bracket is generated from the final group standings and published; the quarter-finals are placed on the two main pitches.

  7. By five the final is played, the bracket closes, and the organiser exports the results and the disciplinary record for the governing body before the car park empties.

Features

What the package does

The package ships as modules that follow a competition from entry to final: competitions, entries and draws, fixtures and results with standings and brackets, and the match-day layer of officials, discipline and live scores. Each module below lists what it does; the comparison table shows which package variant includes it.

Workflow and tasks

  • Competition formatsLeague, knockout and group-then-knockout competitions with points and tie-break rules you configure.
  • Entries, fees and waiting listTeams or individuals enter online and pay the fee, with a waiting list once a competition is full.
  • Draw tool with seedingRun the draw with seeds and protected pairings, then publish the result on the public competition pages.
  • Result reporting and disputesResults reported by both sides or an official, confirmed before they count, with disputes held for the organiser to rule on.
  • Disciplinary records and sanctionsCards and sanctions recorded per player and enforced on team sheets, so a suspended player cannot be selected.
  • Multi-organiser accounts and shared registerSeveral organisers run their own competitions against a shared register of clubs and grounds.

Scheduling

  • Fixture generationFixtures placed into venues and time slots while respecting rest periods and blackout dates, and adjustable by hand afterwards.
  • Officials availability and assignmentOfficials enter their availability and are assigned to fixtures, then submit results and cards from the pitch.

Reporting and insights

  • Standings and bracketsTables and brackets recalculate every time a result is confirmed, so nobody maintains them by hand.

Content and editorial

  • Public competition pagesFixtures, results, tables and brackets published for players and spectators to follow.
  • Manual live scoresScores entered by hand during play and shown on match-day pages for spectators.

Concept demo

Concept demo of a tournament match-day desk showing six pitches, results awaiting confirmation, a disputed result, a live group table and a recorded sanction.

Ownership, maintenance and pricing

After the build

Deployment and ownership

Runs on your own hosting or on hosting we manage; the choice is made in the proposal and can change later. You own the code and your data, including entries, fixtures, results, standings and disciplinary records, which can be exported at any time in standard formats. Nothing in the package stops a move to another provider.

Maintenance

Maintenance is optional and scoped separately from the build. When taken, it covers security updates, monitoring of payment callbacks and fixture and result notifications, backups, and a monthly window for small changes such as a new format variant, a changed tie-break rule or a new season. Larger changes are quoted as change requests.

Pricing model

Priced per proposal.

Sold as a one-off setup and customisation with optional monthly maintenance and hosting as separate recurring lines. The setup figure depends on the number and variety of competitions, whether officials, discipline and live scores are included, the fixture constraints you need, the payment provider and how much club and fixture history is migrated. The proposal states each line separately so recurring costs are never hidden in the build.

FAQ

Frequently asked questions

Which formats does it support?

Leagues with single or double rounds, knockouts with seeding and byes, and groups followed by a knockout. Points for a win, draw and loss, bonus points and the order of tie-breaks are configuration per competition, so two competitions can use different rules on the same system.

Can we change the fixture list after it is generated?

Yes. The generator produces a first list that respects your constraints, and the organiser can then move any fixture by hand. The system shows the clash it would create, if any, and the affected teams and officials are notified when the change is published.

How do live scores work?

With the live scores add-on, an official or desk volunteer enters the score as it changes on their phone, and the public match page and table update. There is no automatic feed; what spectators see is what someone at the pitch typed.

What stops a suspended player appearing on a team sheet?

With the discipline add-on, a recorded sanction blocks the player on team sheets in the competitions it covers until the matches are served. The manager sees the reason and the organiser sees what remains of the suspension.

Can a team enter and pay without an account?

The manager creates a light account at entry so they can report results and see fixtures later; the fee is paid online through the provider connected at setup, and the entry is confirmed when payment clears. Refunds for withdrawals follow the rule the organiser set.

Is this a finished product I can see running?

Not yet. The readiness badge on this page shows the real state: the package is a custom build assembled from our forms, orders, capacity and multi-vendor modules for each organiser, and the match-day desk above is a labelled concept demo rather than a live client system. Needs beyond the listed options go through custom tournament management development.
