Readiness: Custom build Concept demo

Who it is for

Built for

A good fit

Airport transfer firms, chauffeur companies and minibus operators with a small to medium fleet, from an owner-driver with two cars and a people carrier up to a firm with a dozen or so vehicles across a few classes, serving one or two airports and the local area. It suits owners who want online bookings priced from their own route table, controllers who need a diary that shows vehicle availability by class, drivers who want the job, the flight and the passenger name on one phone screen, and corporate bookers who want a login and a monthly invoice.

Not the right fit

It is not for on-demand metered taxi work or ride-hailing, which needs live supply and surge pricing. It is not for coach hire with itineraries and quotes per day, nor for operators who need automated flight-delay shifting across several airports with driver rest enforcement and agent commission; those usually need the custom route.

The operational problem it solves

How it runs, step by step

Thursday evening.

  1. A passenger lands on the website, enters the airport, the hotel postcode, a landing time on Saturday and a flight number, chooses an executive saloon for two people with three cases, adds meet-and-greet and a return on Tuesday with a flight time, and sees the price for both legs from the route table.

  2. She pays by card, and the booking appears in the dispatch diary as two linked legs with the pick-up time derived from landing plus the thirty-minute meet-and-greet allowance the owner set.

  3. The diary shows the controller that two of the three executive saloons are already allocated on Saturday morning, so he assigns the third to a driver who finishes a station run nearby.

On Saturday the driver opens the job on her phone: terminal, flight number, passenger name, luggage, the meet-and-greet point and the hotel address.

  1. The controller checks the flight board, sees a twenty-five-minute delay and amends the landing time; the pick-up shifts and the driver and passenger both receive a message.

  2. At the new time the driver taps arrived and holds up the phone as a name board; the passenger has already received a message with the driver name, vehicle and registration.

  3. Taps for on board and completed close the leg, and the waiting time field is left empty because nobody waited.

  4. On Tuesday the return leg is still linked, so when the passenger emails to move the return flight the controller amends one record and the pick-up time follows.

  5. A corporate booker from a local firm logs in the same day, books three transfers against two cost centres, and at month end downloads one invoice listing all of them.

Features

What the package does

The package ships as modules that follow the journey: quoting and booking, the dispatch diary with vehicles and drivers, the driver page and passenger messages, and accounts and invoicing. Each module below lists what it does; the comparison table shows which package variant includes it.

Bookings and diary

  • Online quote and booking by routeCustomers get a price by route and vehicle class, including surcharges, and book online.
  • Flight or train details on each bookingBookings capture the flight or train number, terminal, passengers, luggage and meet-and-greet choice, so the driver knows what to expect.
  • Linked returns and multi-passenger bookingsA return journey is linked to the outward one, and a booking can cover several passengers.

Staff and capacity

  • Dispatch diary by vehicle classThe diary knows how many vehicles of each class you have and allocates drivers, so you cannot book more than you can cover.
  • Driver page with name boardDrivers see a name board and tap through statuses, including waiting time, from their phone.
  • Driver rest rules and warningsAllocation warnings flag a driver who would breach the rest rules you set.

Messaging and notifications

  • Passenger messages with driver detailsPassengers receive the driver and vehicle details before pick-up.

Integrations

  • Flight data pick-up time shiftingConnect a flight data source so pick-up times move automatically when a flight changes.

Billing and payments

  • Card payment at bookingCustomers pay by card when they book, and controllers can enter phone bookings in the same system.

Accounts and permissions

  • Corporate accounts with monthly invoicingCorporate customers have cost centres and receive one monthly invoice.
  • Partner agent logins with commissionGive partner agents their own login with a rate card and commission statements.

Ownership, maintenance and pricing

After the build

Deployment and ownership

The package runs on your own hosting or on hosting we manage; the diary is a browser on the controller screen and drivers use the browser on their phones, so no special hardware is required. You own the code and your data in either case. Bookings, route tables, accounts, driver records and invoices can be exported at any time in standard formats, and nothing in the package stops you moving it to another provider.

Maintenance

Maintenance is optional and scoped separately. When taken, it covers security updates, monitoring of the booking flow, the diary, the driver page, payment callbacks and passenger messages, backups, and a monthly window for small changes such as a new route in the table or a revised night surcharge. Anything larger is quoted as a change request against the original scope.

Pricing model

Priced per proposal.

Sold as a one-off setup and customisation with optional monthly maintenance and hosting as separate recurring lines; there is no charge per booking. The setup figure depends on the number of vehicles and classes, the size of your route tables, the add-ons selected, the payment provider and any flight data or accounting connection. Each line is itemised in the proposal so recurring costs are never hidden in the setup.

FAQ

Frequently asked questions

How is a transfer priced?

From your route table: airport, station or port to postcode zone, per vehicle class, with your surcharges for night hours, child seats, extra stops and waiting. Anywhere not in the table falls back to a per-mile rate you set. Online, phone and corporate bookings all use the same rules.

What does meet-and-greet change?

The booking carries the meeting point you define for that airport, the pick-up time is derived from landing time plus your allowance, the passenger receives the meeting instructions and the driver page shows a name board. A kerbside pick-up uses a shorter allowance and different instructions.

Does it watch flights for delays?

In the base package the controller amends the landing time and the pick-up, driver and passenger messages follow. The flight data add-on does the amendment automatically from a flight status provider and alerts the controller when a shift causes a conflict.

How do return journeys work?

A return is a linked leg on the same booking with its own flight or time. Amending the outbound does not disturb the return, and each leg is allocated separately in the diary, so one driver can do both or two can share.

Can the diary stop us overbooking a vehicle class?

Yes. The diary knows how many vehicles of each class you own and shows availability per class for any time, with a warning when a booking would exceed it. The controller can still accept and subcontract if they choose.

Is this a finished product I can see running?

Not yet. The readiness badge shows the real state: the package is a custom build assembled from our quoting, booking, dispatch and account modules for each operator, and the screen on this page is a labelled concept demo rather than a live client system. Anything beyond the listed options is scoped as custom transfer booking development.
