Readiness: Custom build Concept demo

Who it is for

Built for

A good fit

Tutoring agencies and tuition centres that place their own tutors with families, from a one-owner agency with a dozen tutors to a centre with coordinators, classrooms and online delivery. It suits an agency admin who matches, books and bills all day, tutors who want their diary, lesson notes and payout statement on their phone, parents who want to see what was covered and what is left on the pack, and students old enough to see their own homework.

Also worth knowing

It is less suited to open marketplaces where tutors register themselves and set their own prices, which have a package of their own, and to schools or training centres running timetabled group courses. It records the status of a tutor's checks but does not carry them out, and it does not replace the agency's contracts with its tutors.

The operational problem it solves

How it runs, step by step

Tuesday afternoon.

  1. A parent enquires for her son, who needs A-level chemistry on weekday evenings, in person, in the north of the city.

  2. The agency admin opens the matching view, filters by subject, level, evening availability and travel area, and sees three tutors with their internal notes and current safeguarding status.

  3. She proposes one, the parent accepts, and a trial lesson is booked for Thursday at the family's address.

  4. After the trial the parent buys a ten-lesson pack by card from her account, and the tutor's Thursday slot becomes a recurring booking that redeems one credit per lesson.

Each Thursday evening the tutor marks the lesson delivered on his phone and writes a short note: what was covered, how it went, homework set.

  1. The parent gets a notification and reads the note; the student sees the homework in his own account.

  2. On the sixth week the family cancels inside the window, and the cancellation rule the agency set applies and is recorded against the pack.

  3. When three credits remain, the parent receives a top-up reminder.

  4. On the first of the month the admin runs payout statements: every delivered lesson for every tutor, the agency share applied, the statement sent to each tutor and the totals posted to accounts.

  5. One tutor's check is due for renewal next month, and the admin sees the reminder on the dashboard before it becomes a problem.

Ownership, maintenance and pricing

After the build

Deployment and ownership

The package runs on your own hosting or on hosting we manage for you; the choice is made in the proposal and can be changed later. The agency owns the code and its data. Tutors, families, lessons, notes, packs and statements can be exported at any time in standard formats, and the package does not tie you to a provider.

Maintenance

Maintenance is optional and scoped separately from the setup. When taken, it covers security updates to the platform and its dependencies, monitoring of payment callbacks, reminders and video link generation, backups with restore tests, and a monthly window for small configuration changes such as a new subject, a changed cancellation window or a new note template. Larger changes are quoted as change requests.

Pricing model

Priced per proposal.

The package is sold as a one-off setup and customisation with optional monthly maintenance and hosting as separate recurring lines, or as a subscription that bundles hosting and maintenance where the agency prefers one recurring charge. The setup figure depends on the number of tutors and coordinators, the add-ons selected, the payment and video providers, how much history is migrated and the hosting choice. Your proposal states each line separately.

FAQ

Frequently asked questions

Can lessons be online and in person on the same platform?

Yes. Each booking carries a mode. Online lessons generate a meeting link through the connected video tool and show it to tutor and student; in-person lessons carry the address and respect the tutor's travel area in matching.

How do packs work when a lesson is cancelled?

The agency sets a cancellation window per lesson type. A cancellation outside the window returns the credit to the pack; inside the window the rule you configure applies, for example the credit is kept, and the outcome is recorded on the pack so the parent can see it.

What does the platform hold about safeguarding?

A record per tutor of the checks the agency has carried out: type, date, status and renewal date, with reminders to the admin. The platform does not perform checks or judge suitability; those remain the agency's own processes and responsibility.

Can parents with two children use one account?

Yes. A parent account links to any number of students, each with their own tutors, packs and notes, and the parent switches between them. A second parent or guardian can be linked to the same students.

How are tutors paid?

With the payout add-on, the admin runs a statement per tutor for a period listing delivered lessons and the agency share, sends it to the tutor and exports totals to accounts. Payment itself is made by the agency through its bank or payroll arrangements.

Can payout shares differ per tutor or per family?

The package applies one share per tutor. Shares that depend on who introduced the family, or on lesson type, are custom work scoped through the tutoring platform development service.

Is this a finished product I can see running?

Not yet. The readiness badge on this page shows the real state: the package is currently a custom build assembled from our bookings, orders, documents and multi-vendor modules for each agency, and the example on this page is a labelled concept demo rather than a live client system.
