Readiness: Custom build Concept demo

Who it is for

Built for

A good fit

Video production companies, animation studios and documentary makers from a two-person outfit to around a dozen staff with a regular freelance crew. It suits the producer who builds call sheets and chases sign-off, the director who wants the shoot day in one document, the editor who wants client notes with timecodes instead of paragraphs, and the client who wants to review a cut on a laptop and download the final file without asking twice.

Also worth knowing

It is less suited to broadcasters and channels publishing a schedule of programmes, which have their own package, and to wedding videographers whose work is booking-led and better served by the photographer package with video added. Companies with a large freelance pool needing their own accounts, or review rounds with several commenting parties and one approver, should start with the custom service.

The operational problem it solves

How it runs, step by step

The producer opens the production board on Monday.

  1. Six projects are shown by stage: two in pre-production, one shooting Thursday, two in review, one awaiting delivery.

  2. An enquiry came in over the weekend asking for a two-minute brand film for a website and social, needed in eight weeks, with a budget band the company works at, so the producer books a call from the enquiry rather than asking questions by email.

  3. For the Thursday shoot, the call sheet is generated from the project: two locations, four crew with call times, the shooting order and the contacts, issued as version one to everyone on the sheet.

  4. The camera and the gimbal are booked against the dates so they cannot be promised to the other pre-production job.

On Wednesday evening the first location falls through.

  1. The producer updates the location, the call sheet reissues as version two with a change note and the crew are notified.

  2. In review, a client has watched the second cut of a recruitment film and left seven timecoded comments; two team members on the client side have commented too, but only the marketing lead can sign off.

  3. The editor resolves five comments, carries two to the next round with a note, and uploads cut three.

  4. The marketing lead signs off cut three on Friday and the project moves to delivery, where the masters in two aspect ratios are released through a link that expires in the period the producer set, with each download recorded.

  5. The permission record for publishing the film on the showreel is set at the same time, with a publish-from date after the client launch.

Ownership, maintenance and pricing

After the build

Deployment and ownership

The package runs on your hosting or on hosting we manage, as recorded in the proposal and changeable later. You own the code, your project records and your masters in either case. Projects, call sheets, review history, comments and delivery records can be exported in standard formats at any time, and the platform can be moved to another provider.

Maintenance

Maintenance is optional and scoped separately. When taken, it covers security updates to the platform and its dependencies, monitoring of call sheet notifications, review alerts and delivery link expiry, backups of records and masters metadata, and a monthly window for small configuration changes such as a new call sheet field, a changed link period or a new deliverable format. Larger changes are quoted as change requests.

Pricing model

Priced per proposal.

The package is sold as a one-off setup and customisation with optional monthly maintenance and hosting as separate lines. The setup figure depends on the number of concurrent projects, the crew pool, the add-ons chosen, the hosting and transfer services to connect and whether you host it yourself. Storage for masters is stated as its own recurring line so it is never hidden in the build.

FAQ

Frequently asked questions

How does a client leave a comment at the right moment?

They pause or click the cut where they mean and type. The comment stores the timecode and appears in the list beside the player, where the editor marks it resolved or carried forward and the client can see which.

Can more than one person on the client side comment?

Yes. Anyone invited to the project can comment, but only the person named as approver can sign off a round. Where two client parties with different authority need separate treatment, that is custom work.

What happens when a delivery link expires?

The producer sets the link period per delivery and can extend or reissue it from the delivery page. Every download is recorded, so you can see whether the client has the files before a link expires.

Do crew need to log in?

In the base package crew receive call sheets by email or message and do not need an account. With the crew accounts add-on, each freelancer confirms availability and sees only their own sheets and call times.

Does the package store our rushes?

No. Raw footage stays on your own storage. The package stores review cuts through your video hosting provider and final masters in the storage attached to your hosting or a connected transfer service, with the record of versions and downloads kept in the platform.

Is this a finished product I can see running?

Not yet. The readiness badge shows the real state: the package is a custom build assembled from our portfolio, documents, capacity and messaging modules for each production company, and the example on this page is a labelled concept demo rather than a live production platform.

We have twenty freelancers and agency clients. Is that covered?

Freelancer accounts are an add-on. Review rounds with several commenting parties of different authority, kit hire inventories and deliverables per territory are custom work covered by the custom video production website service.
