Advertising agency website development

For managing partners and new-business leads at advertising, branding and marketing agencies who need a website built around campaign work, brief intake and hiring rather than a showreel page with a contact address.

The problem

What goes wrong today

Where it usually starts

An agency wins work by showing campaigns and then answering a brief.

  • Most agency websites do the first badly and the second not at all.
  • The work page is a grid of hero images with a one-line caption; the actual campaign, with its film, its out-of-home, its social cut-downs and the thinking behind it, lives in a pitch deck that only the new-business lead has.
  • Adding a campaign means asking a designer to export stills, a producer to find the right video link, and the account director to confirm the client is happy to be named, a conversation that happens in a corridor and is recorded nowhere.
  • Six months later the client changes marketing director and asks for the case study to come down, and nobody can say who agreed to it going up.

Where it gets harder

New business arrives as an email saying there is a brief and asking for a call.

  • The brief document itself is attached as the third reply, after a chase.
  • Nothing captures the sector, channels, timeline or budget band in a comparable way, so the pipeline is a spreadsheet the new-business lead updates from memory on Friday.
  • Careers is a page saying the agency is always hiring, and applications go to a general inbox where portfolios and reels sit beside invoices.
  • Press coverage of a campaign is shared on social and then lost.

Scope of the service

What the build covers

A custom agency build is organised around the campaign and the brief. Campaign case studies carry the brief, the idea and the outcome as written by the agency, with video and motion embedded from a hosting provider, channel tags for film, out-of-home, social, print and digital, and sector tags for the client. Each case study carries a permission record stating whether the client can be named, whether the logo can appear, and the agreed publish window, and the client list page is built only from case studies whose permission allows it. Capabilities pages describe disciplines without superlatives; team and culture pages show the people who want to be shown. Press is a list with dates and links.

The new-business enquiry asks what the agency needs to qualify a brief: sector, channels under consideration, timeline, budget band, decision process and a brief upload. Each enquiry becomes a record the new-business lead works through with a status and notes, and the pitch itself happens offline in your own tools. Careers lists roles with their own application forms, so a creative role asks for a portfolio or reel link and an account role does not, and applications are reviewed in the platform rather than in an inbox.

Deliberately out of scope

  • Project management, timesheets and client billing, which stay in your agency management software, and media buying and reporting, which stay with your trading tools

When the scope grows

Scoping scenario

A forty-person agency with film, social and brand teams wants separate work indexes per discipline, a client list page governed by permission records, two enquiry routes for brands and for production partners, and careers forms that differ by department with hiring managers reviewing their own applications. That is a different build from a six-person studio with one work index, and the scope document names which parts apply.

Deliverables

What you receive

  • Discovery notes from reviewing your last pitch deck, your work page and the last twenty new-business emails
  • A written scope document naming each module from case study to careers and what is left out
  • Designs of the campaign case study, the work index with channel filters and the brief intake flow on phone and desktop
  • The build, including careers and permission-governed client list where in scope, deployed to your hosting or ours
  • Import of existing case studies, team pages and press items with a redirect map for current URLs
  • Training for the new-business lead, marketing and anyone adding work, with a short written guide for permission records
  • Handover material and full ownership of the source code and your content

Process

How a project runs

Each stage maps onto the project view in your client panel. Durations are set in your proposal, never on this page.

  1. Onboarding

Access to the current site, the video hosting account, recent pitch decks and the new-business spreadsheet.

    Project stage: Onboarding
  2. Planning

Discovery with a partner, the new-business lead and marketing; channels, sectors, permission rules and brief intake questions go into the scope document.

    Project stage: Planning
  3. Design

The campaign case study and work index are designed around your own brand and your film, with video performance checked on mobile data.

    Project stage: Design
  4. Development

Built in layers: case studies, channels and media, then brief intake and pipeline, then careers and applications, then press and client list.

    Project stage: Development
  5. Client review

Your team loads three campaigns with permission records and routes one live brief through intake, then reports what does not match how new business works.

    Project stage: Client review
  6. Revisions

Changes from the review are made and re-checked against the scope document.

    Project stage: Revisions
  7. Ready for launch

All case studies imported with permissions set, redirects tested, video playback checked across devices, launch checklist signed off.

    Project stage: Ready for launch
  8. Delivered

The site is live and the next brief arrives through intake; hosting and maintenance continue under their own agreement if taken.

    Project stage: Delivered

Integrations

Commonly integrated

Systems this kind of business usually asks us to connect. Each integration is confirmed during discovery; none is assumed.

  • Video hosting providers for campaign film and motion
  • Email providers for brief notifications and application acknowledgements
  • Calendar links for chemistry meetings following a brief
  • Agency management and pipeline tools for enquiry export
  • Applicant tracking systems where the agency already uses one
  • Newsletter platforms for agency updates
  • Analytics and consent management platforms

How we would approach it

Worked example

Concept demo

A forty-person agency with discipline teams

The situation

An agency with film, social and brand teams wants each team to present its own work while the agency keeps one front door.

Why it is a custom build

The custom route is needed because the agency wants one content model shown three ways, and hiring reviewed by department, which a single-index agency template cannot provide.

The scope we would propose

  • One case study model with channel and discipline tags feeding a work index per team and an agency-wide index, permission records that drive the client list page so a logo appears only where the client has agreed
  • A brand enquiry route asking for sector, channels, timeline and budget band with brief upload
  • A separate route for production partners asking for capability and reel, and careers forms per department with each hiring manager reviewing only their own applications

Pricing

What affects the price

Every proposal is priced on scope. These are the factors that move it most for this kind of build.

  • Number of campaigns to build as case studies and the state of the source media
  • Video volume and the hosting provider involved
  • Channel and discipline structure and whether teams need their own indexes
  • Enquiry routes and the qualification questions on each
  • Careers section, the number of application forms and who reviews them
  • Permission records and a client list page governed by them
  • Existing content and press items to import
  • Hosting choice: your own hosting or ours

FAQ

Frequently asked questions

When is the package enough and when do we need a custom build?

An agency with one work index, one brief intake route and a careers page with a few roles is usually served by the agency website package through configuration. Several discipline indexes, more than one enquiry route or department-level hiring review point to the custom route, and we say which during discovery.

How do you handle whether a client can be named?

Each case study carries a permission record stating whether the client can be named, whether the logo can appear and the publish window. The client list page and the case study template both read that record, so a change of permission in one place changes the whole site.

Can prospects upload a brief document?

Yes. The enquiry includes a brief upload alongside the qualification questions, and the file is stored against the enquiry record where the new-business lead works on it rather than in an inbox.

Does the site host our films?

No. Campaign film is embedded from a video hosting provider you choose, which handles encoding and delivery. The platform stores the reference, poster frame and chaptering where the provider supports it.

Who owns the site afterwards?

You do. The source code, case studies, enquiry records and applications are handed over at delivery and can be exported at any time. Hosting and maintenance are optional and separately agreed.
