Clinic directory development

For directory operators, insurer networks and professional bodies who want to run a clinic and practitioner directory where profiles are claimed and verified, searched by speciality and location, and turned into enquiries that reach the right clinic.

The problem

What goes wrong today

Where it usually starts

A healthcare directory usually starts as a spreadsheet of clinics loaded into a generic listings template.

  • The profiles are thin and nobody at the clinic knows the listing exists, so the data goes stale within a year: practitioners move, specialities change, a clinic opens a second site.
  • When a clinic does want to update its entry it emails the operator, who edits the record by hand.
  • Searchers filter by town and get a list sorted by nothing in particular, with no way to narrow to a speciality or to clinics that accept their insurer.

Where it gets harder

Enquiries are the point of the directory and the weakest part.

  • A "contact this clinic" form sends an email to an address nobody checks, with no record of whether the clinic replied, so the operator cannot show clinics the value of being listed, let alone charge for it.
  • Reviews arrive unmoderated or not at all.
  • Insurer networks have the opposite problem: a rich internal list of approved providers that members cannot search, so the call centre answers the same "who near me takes my policy" question all day.

Scope of the service

What the build covers

A custom clinic directory build normally covers the platform from the starting dataset to the clinic's own dashboard. The scope usually includes:

  • Clinic and practitioner profiles with services Specialities, sites and registration numbers shown exactly as supplied by the profile owner
  • A claim-and-verify process So a clinic takes ownership of its profile through a check the operator defines, such as a code sent to the clinic's published address or a document upload reviewed by a moderator
  • Location and speciality search with insurer-acceptance filters
  • Appointment request forwarding that records each enquiry Passes it to the clinic and tracks whether it was answered
  • Reviews with a moderation queue
  • Featured placements or paid listing tiers sold through the operator's own checkout

How discovery works

Discovery starts with the dataset and the business model: where the initial profiles come from and how clean they are, which specialities and filters matter to searchers, whether clinics will pay for listings or placements, whether reviews are wanted and who moderates them, and whether booking should happen on the platform or stop at forwarding the enquiry. Searcher enquiries contain health-related information, so the enquiry store is treated as the sensitive-data item in this topic: access limited to the operator roles and the receiving clinic, an audit log of who opened each enquiry, encryption of stored enquiries and a retention period after which they are deleted. We describe those controls and claim no regulatory status for the platform or the clinics listed.

Deliberately out of scope

  • Verifying clinical qualifications ourselves, running appointments on behalf of clinics unless a booking module is separately scoped, and anything that ranks clinics by clinical quality

When the scope grows

Scoping scenario

An insurer network wants a members-only directory of approved providers, filtered by policy type, with enquiries forwarded to the provider and a monthly report of enquiry volumes per provider back to the network. That is a different build from a public directory monetised through featured placements, and the scope document names which is being delivered.

Deliverables

What you receive

  • Discovery notes on the starting dataset, specialities, filters and the revenue model
  • A scope document naming each platform stage from import to enquiry reporting, and the enquiry-data security scope
  • Design of the search results, the clinic profile, the claim flow and the clinic dashboard on phone and desktop
  • The build, deployed to hosting you choose or hosting we manage
  • Import and de-duplication of the starting dataset with a report of what could not be matched
  • Training for operator staff and moderators, with written guidance for clinics claiming a profile
  • Handover material and ownership of the source code and your data

Process

How a project runs

Each stage maps onto the project view in your client panel. Durations are set in your proposal, never on this page.

  1. Onboarding

We receive the starting dataset, the speciality taxonomy and any existing site, and agree a product owner on your side.

    Project stage: Onboarding
  2. Planning

Discovery with the operator; the data model, claim process, revenue model and scope document are agreed.

    Project stage: Planning
  3. Design

Clickable designs of search and filters, the profile page, the claim and verification flow and the clinic dashboard.

    Project stage: Design
  4. Development

Profiles and import first, then search and filters, then claim and verification, then enquiries, reviews and placements.

    Project stage: Development
  5. Client review

Operator staff claim test profiles, moderate test reviews and trace an enquiry from search to clinic reply.

    Project stage: Client review
  6. Revisions

Findings are corrected and re-checked against the scope document and the enquiry access rules.

    Project stage: Revisions
  7. Ready for launch

Full dataset imported, search indexed, enquiry forwarding tested against operator-controlled addresses, launch checklist signed.

    Project stage: Ready for launch
  8. Delivered

The directory is live and clinics begin claiming; hosting and maintenance continue under their own agreement if chosen.

    Project stage: Delivered

Integrations

Commonly integrated

Systems this kind of business usually asks us to connect. Each integration is confirmed during discovery; none is assumed.

  • Payment providers for featured placements and listing tiers
  • Email and SMS providers for claim codes, enquiry forwarding and reply notifications
  • Mapping and geocoding services for location search
  • Insurer provider lists supplied as feeds or files
  • Accounting software for placement and subscription invoicing
  • Clinic booking systems where on-platform booking is separately scoped

How we would approach it

Worked example

Concept demo

An insurer network opening its provider list to members

In this scoping scenario, an insurer network held an approved-provider list in an internal system and answered location questions through its call centre. The scope we would propose: a members-only directory populated from the provider feed, search by location and speciality with a filter by policy type, provider profiles claimable by each clinic so they maintain their own practitioners and sites, enquiry forwarding with a record of whether the provider replied, and a monthly report to the network of enquiries per provider. Reviews were left out of scope by the network's choice.

The policy-type filter driven by a live provider feed is why this is a custom build; a public listings template has no way to tie search results to a member's cover.

Pricing

What affects the price

Every proposal is priced on scope. These are the factors that move it most for this kind of build.

  • Size and cleanliness of the starting dataset and the de-duplication needed
  • Speciality taxonomy depth and the filters searchers need, including insurer acceptance
  • Claim and verification method, and whether moderators review uploads
  • Enquiry forwarding, reply tracking and the enquiry-data security scope
  • Reviews and the moderation workflow around them
  • Paid placements or listing tiers and the payment provider involved
  • Members-only access and provider feeds for insurer networks
  • Hosting choice: your own hosting or ours

FAQ

Frequently asked questions

When is the package enough and when is custom work needed?

A public directory with profiles, claim and verification, search, enquiry forwarding, moderated reviews and placements is what the clinic directory package already does. Custom work is the honest route for members-only access tied to policy types, provider feeds from an insurer system, on-platform booking or reporting back to a network. Discovery is where we tell you which applies.

Do you verify practitioners' qualifications?

No. Registration numbers and qualifications are shown as supplied by the profile owner, and the claim process verifies that the person claiming controls the clinic, not that any registration is valid. Operators who want a document check can have moderators review uploads, and the profile shows what was reviewed.

How are enquiries protected?

Enquiries can contain health-related detail, so they are the sensitive-data item in this build: access limited to operator roles and the receiving clinic, an audit log of who opened each one, encryption of stored enquiries and deletion after the retention period you set. We describe those controls and claim no regulatory status.

Who owns the platform and the data?

The operator. Source code, profiles, enquiries and reviews are handed over at delivery, and hosting and maintenance are optional and separately agreed.
