Service

Clinic website development

For practice managers and owners of multi-practitioner clinics and private health centres who need a public site and a booking engine that understands departments, rooms and equipment as well as people.

The problem

What goes wrong today

Where it usually starts

A clinic with eight practitioners across three departments runs on a shared diary that only knows about people.

  • An ultrasound appointment is booked for a sonographer who is free, but the scanning room is in use by someone else; a minor procedure is booked without the treatment room that it needs.
  • Reception discovers the clash on the morning and starts telephoning.
  • The clinic's website lists services by department but booking happens by telephone, so the receptionist translates "I need a mole checked" into the right practitioner, duration and room every time, from memory.

Where it gets harder

Cancellations are the other leak.

  • A practitioner's afternoon opens up, a list of patients who asked to be seen sooner exists only as sticky notes, and the slot goes unfilled.
  • When the clinic opens a second site, the diary is copied, practitioners who split their week between sites are double-entered, and nobody can say from one screen where a given practitioner is on Tuesday.
  • Results come back and the phone call to say "your results are ready, please book a follow-up" is made by whoever is free.

Scope of the service

What the build covers

A custom clinic build normally covers the public site organised by department and service, and behind it a booking engine where an appointment only exists when a practitioner, a room and any required equipment are all available. The scope usually includes:

  • A service catalogue by department with duration and preparation notes
  • Practitioner working patterns With leave and per-practitioner booking rules, such as which services they offer and whether new patients may book them directly
  • Room and equipment allocation alongside practitioner availability
  • Online booking By service with "choose a practitioner" or "next available"
  • Intake forms before the first visit
  • A waiting list That offers freed slots to patients who asked to be seen sooner
  • Multi-site support with a practitioner's week split across sites
  • A results-ready notification that tells the patient to book Without transmitting any result content unless that is separately scoped

How discovery works

Discovery works through a real clinic week with the practice manager: which services need which rooms, which practitioners refuse walk-in new patients, how far ahead each department books, and whether any clinical information will be stored. If it will, the security scope is added as its own item, with access roles that keep reception out of clinical content, an audit log, encryption of stored data and a retention schedule, described as controls rather than as a regulatory status.

Deliberately out of scope

  • Clinical record keeping beyond what is scoped, laboratory interfaces, prescribing and insurer billing

When the scope grows

Scoping scenario

A two-site clinic with a shared ultrasound suite at one site wants patients to book a scan online only when both the sonographer and the suite are free, and wants the second site's reception to see the first site's diary read-only. The scope document names each of those as a stage and says what is not included.

Deliverables

What you receive

  • Discovery notes mapping departments, practitioners, rooms and equipment at each site
  • A scope document naming the booking stages and the out-of-scope items, plus the security scope where clinical data is stored
  • Design of the service pages, the booking flow and the multi-column clinic diary on phone and desktop
  • The build, deployed to your hosting or hosting we manage
  • Migration of practitioner patterns, future appointments and the waiting list where relevant
  • Training for reception at each site, the practice manager and practitioners, with a written guide
  • Handover material and ownership of the source code and your data

Process

How a project runs

Each stage maps onto the project view in your client panel. Durations are set in your proposal, never on this page.

  1. Onboarding

Access to the current site, diaries and any practice management system, and a named contact at each site.

    Project stage: Onboarding
  2. Planning

Discovery with the practice manager and a lead from each department; the resource model and scope document are agreed.

    Project stage: Planning
  3. Design

Clickable designs of the service pages, the booking flow by service and the diary showing practitioners and rooms side by side.

    Project stage: Design
  4. Development

Resources and rules first, then booking and the waiting list, then intake, notifications and multi-site views.

    Project stage: Development
  5. Client review

Reception at each site runs a test week with real clash patterns and the manager checks the reports they need.

    Project stage: Client review
  6. Revisions

Findings are corrected and re-tested against the scope document.

    Project stage: Revisions
  7. Ready for launch

Future appointments imported, reminders tested, old site redirects in place, launch checklist signed off per site.

    Project stage: Ready for launch
  8. Delivered

The clinic books through the new system; hosting and maintenance continue if chosen.

    Project stage: Delivered

Integrations

Commonly integrated

Systems this kind of business usually asks us to connect. Each integration is confirmed during discovery; none is assumed.

  • SMS and email providers for confirmations, reminders and results-ready notices
  • Card payment providers for deposits and consultation fees
  • Video consultation platforms for remote appointment types
  • Calendar feeds for practitioners who work across sites
  • Existing practice management or clinical systems, read-only where possible
  • Accounting software for fee reconciliation by department

How we would approach it

Worked example

Concept demo

A two-site clinic with one shared scanning suite

In this scoping scenario, a clinic with two sites had one ultrasound suite, two sonographers who split their week between sites, and a steady stream of double bookings when a scan was booked for a sonographer who was at the site without the suite. The scope we would propose: rooms and equipment modelled per site, services that declare the room they need, practitioner patterns that carry a site per session, and online booking that only offers a scan when all three line up. A waiting list fills freed scan slots automatically, and the second site's reception sees the suite diary read-only.

A generic booking widget could not do this because it has no concept of a room; the clash this clinic suffered from was invisible to it.

Pricing

What affects the price

Every proposal is priced on scope. These are the factors that move it most for this kind of build.

  • Number of sites, practitioners, departments and rooms
  • Equipment and room rules per service, and how many services need them
  • Per-practitioner booking rules and new-patient restrictions
  • Waiting list and results-ready notifications, and the messaging channels used
  • Whether clinical data is stored, bringing in the security scope
  • Connection to an existing practice management system
  • Volume of future appointments and practitioner patterns to migrate
  • Hosting choice: your own hosting or ours

FAQ

Frequently asked questions

When is the package enough and when is custom work needed?

The clinic booking package models practitioners, rooms and equipment at one or more sites with configuration. Custom work becomes the honest route when the clinic needs integration with an existing practice management system, unusual booking rules per department, or reporting that the package does not ship with. Discovery is where we tell you which applies.

Can the system tell patients their results are ready?

Yes, as a notification that results are ready and a follow-up should be booked. No result content is sent unless that is separately scoped with its own security controls, and even then the clinic decides what is transmitted.

How do you handle practitioners who work at more than one site?

Each session in a practitioner's pattern carries a site, so online booking only offers the right site on the right day and reception at either site can see the whole week.

Will the clinic own the code?

Yes. Source code and data are handed over at delivery. Hosting and maintenance are optional and separately agreed, and the system can move to another provider.

Do you store clinical notes?

Only when scoped. Many clinics keep notes in their existing clinical system and use the new build for the public site, booking, intake and notifications. If notes are stored, the security scope describes exactly which controls are built: role-based access, audit logging, encryption of stored data and a retention schedule.
