Pet grooming software development

For salon owners and mobile groomers who need a booking, diary and client system designed around breeds, coat conditions, tables and vans rather than a generic appointment app that treats every dog as the same forty minutes.

The problem

What goes wrong today

Where it usually starts

A grooming salon runs on a paper diary, a phone full of photographs and a groomer's memory.

  • A new client books a "wash and tidy" online and arrives with a matted doodle that needs three hours and two people; the groomer behind them waits, the table is blocked and the afternoon collapses.
  • The same dog comes back in eight weeks and nobody remembers that it bit when its feet were touched, because the note was on a sticky label that fell off the card.
  • Prices depend on size and coat, so quoting over the telephone means guessing from a breed name and arguing at the desk afterwards.

Where it gets harder

Mobile groomers have the same problems with a van.

  • A booking is accepted at the far edge of the area straight after one at the opposite edge, so the day is spent driving.
  • Deposits are taken by bank transfer and matched by hand, and a no-show on a Saturday morning slot cannot be refilled.
  • Clients who should rebook on a six-week cycle drift away because the reminder never went out.
  • The before-and-after photographs that win new business sit in a camera roll instead of on the record.

Scope of the service

What the build covers

A custom grooming build normally covers the operational core of the salon or van:

  • An animal record under an owner account with breed Size band, coat type, temperament and handling notes, vaccination details and consent forms
  • A service catalogue Where duration and price are driven by size and coat condition rather than a flat menu
  • Groomer rotas and table or bath capacity so the floor is never oversold
  • Online booking That asks the right questions about the dog before offering a slot
  • Deposits taken at booking and no-show rules the owner sets
  • Before-and-after photographs attached to each visit
  • Recurring appointments on the cycle each coat needs
  • Reminders when a cycle is due

For mobile groomers we add travel zones with days of the week, a route-aware diary that groups bookings by area, and a van as the capacity unit instead of a table. Discovery works through a real week with the owner: how an unknown coat condition is handled at booking, whether a matted coat is quoted on arrival, how two-person dogs are staffed, which groomers refuse which breeds, and how far the van will travel on each day. Each becomes a named stage in the scope document.

Deliberately out of scope

  • Retail stock control beyond products sold at checkout, payroll and accounting
  • Those stay in the tools you already use and we connect to them where it earns its place

When the scope grows

Scoping scenario

A salon with four tables and a van wants one client base across both, salon bookings by table and van bookings by zone and day, and groomers who work in the salon three days and the van two. That is a different build from a single groomer with one table, and the scope document says so plainly.

Deliverables

What you receive

  • Discovery notes from a walk-through of your grooming week, salon and van
  • A scope document naming each workflow stage, the size and coat pricing rules and what is out of scope
  • Design of the booking flow, the day view by table or van and the animal record on phone and desktop
  • The build, deployed to your hosting or hosting we manage
  • Migration of client, animal and future booking records from your current diary or app where relevant
  • Training for the front desk, groomers and the owner, with a written guide
  • Handover material and ownership of the source code and your data

Process

How a project runs

Each stage maps onto the project view in your client panel. Durations are set in your proposal, never on this page.

  1. Onboarding

Access to the current diary, price list and any booking app or payment account you already use.

    Project stage: Onboarding
  2. Planning

Discovery with the owner and a senior groomer; size and coat pricing, capacity units and the scope document are agreed.

    Project stage: Planning
  3. Design

Clickable designs of the booking questions, the table or van day view and the animal record with photographs and notes.

    Project stage: Design
  4. Development

Catalogue and capacity first, then booking and deposits, then photographs, notes, recurring appointments and reminders.

    Project stage: Development
  5. Client review

Your groomers run a test week on real dogs and real travel patterns and report what does not match the floor.

    Project stage: Client review
  6. Revisions

Changes from the review are made and re-checked against the scope document.

    Project stage: Revisions
  7. Ready for launch

Records migrated, reminders tested against numbers you control, launch checklist signed off.

    Project stage: Ready for launch
  8. Delivered

The salon or van runs on the new system; hosting and maintenance continue under their own agreement if chosen.

    Project stage: Delivered

Integrations

Commonly integrated

Systems this kind of business usually asks us to connect. Each integration is confirmed during discovery; none is assumed.

  • Card payment providers for deposits and checkout
  • SMS and email providers for confirmations, reminders and ready-for-collection messages
  • Mapping and routing services for mobile travel zones and daily routes
  • Calendar feeds so groomers see their table or van on their own phone
  • Accounting software for daily takings and deposit reconciliation
  • Photo storage for before-and-after galleries shared to the website or social accounts

How we would approach it

Worked example

Concept demo

A four-table salon adding a van

In this scoping scenario, a salon with four tables and five groomers bought a van and found that its booking app could not tell a van slot from a table slot or ask how far the client lived. The scope we would propose: tables and the van modelled as separate capacity units, travel zones mapped to days of the week, booking questions about size, coat and matting that set the duration before a slot is offered, groomer rotas that carry a salon or van per shift, and one animal record so a temperament note written in the salon is on the tablet in the van.

The reason this needs a custom build is the capacity model: most grooming apps assume one groomer equals one slot, which is exactly the assumption a van and a two-person dog break.

Pricing

What affects the price

Every proposal is priced on scope. These are the factors that move it most for this kind of build.

  • Salon only, mobile only, or both, and the number of tables, baths and vans
  • Number of groomers and whether they move between salon and van
  • Complexity of size, coat and matting rules that set duration and price
  • Deposits, no-show rules and the payment provider involved
  • Travel zones, routing and the mapping service used
  • Photographs, temperament notes and how much client history is migrated
  • Recurring appointments, reminders and the messaging channels used
  • Hosting choice: your own hosting or ours

FAQ

Frequently asked questions

How do you decide between the package and a custom build?

During discovery we compare how your salon or van actually runs against what the pet grooming booking package does with configuration alone. If size and coat pricing, tables and a single van cover your week, we say so and quote for that. If your groomers float between salon and van, you need routing across several vans or your pricing rules are unusual, the custom route is the honest recommendation.

Can the system quote a price before it sees the dog?

It can quote from the size band, coat type and the answers the owner gives about matting, and it can show the quote as a starting figure that the groomer confirms on arrival. Whether the final price is fixed at booking or adjusted on the table is a rule you set.

Can you move our client and dog records?

Usually yes. We export from your current diary or app, map owners, animals, notes and future bookings to the new record and import them so the switch happens between one working day and the next. Photographs can be attached in bulk where the current system exports them.

Who owns the system afterwards?

You do. Source code and data are handed over at delivery. Hosting and maintenance are optional and separately agreed, and the system can be moved to another provider.
