Removals software development

For owners and move coordinators of removal companies who need a system built around the survey, the inventory, the quote that follows from it, and the move day on which crews, vehicles and storage all have to line up.

The problem

What goes wrong today

Where it usually starts

A removals business quotes before it knows the job, and everything after depends on how good that guess was.

  • A customer rings about a three-bedroom house; the surveyor visits, walks the rooms with a clipboard, estimates cubic feet in his head and leaves the figure in a notebook.
  • The quote is typed up two days later from that notebook and from a mileage check, and the options for packing and storage are a paragraph the customer has to read carefully.
  • When the customer accepts, the move date goes on a wall planner, and only on the Friday before does anyone notice that two large moves that day need five crew and three vehicles when the company has four and two.

Where it gets harder

On the move day the inventory the surveyor took is in the office, the crew lead works from memory, and the signed condition record is a sheet in a van that may or may not come back.

  • Storage is the quiet problem.
  • A customer puts forty boxes into a container for what was meant to be a month; the monthly invoice is raised when someone remembers, the container contents are listed on a label on the door, and when the customer asks for one box back the crew opens three containers to find it.

Scope of the service

What the build covers

A custom removals build takes the shared trade core and applies it to a job that is quoted from a survey:

  • A service area By postcode district or radius with the long-distance rules you set
  • A quote request that collects the property details The move date range and photos
  • Job records moving through enquired Surveyed, quoted, booked, in progress, complete and invoiced
  • Quotes and invoices with options and deposits approved online
  • A review request after the move
  • The documents a move generates

The removals layer begins with the inventory. A room-by-room inventory form, usable by the customer online or by the surveyor on a tablet, holds items with volumes from a catalogue you maintain and produces a volume estimate. Survey appointments are booked at the home or as a video call. The quote is built from volume, distance and crew size using the rate structure you define, with options for packing, dismantling and storage presented as separate lines the customer can tick. Crew and vehicle allocation treats each move day as a capacity problem: vehicles with their volumes and crew members with their skills are assigned so no day is oversold. Storage container records hold what went in, when and for whom, with monthly billing that runs until the goods leave. A move-day checklist on the crew lead's phone carries the inventory, the condition record and the customer's signature at loading and delivery.

Deliberately out of scope

  • Vehicle telematics and fuel cards, accounting and payroll beyond invoice export, and international shipping documentation unless a specific freight partner is scoped

When the scope grows

Scoping scenario

A company with twelve crew and six vehicles runs domestic and office moves, offers video surveys, and holds eighty storage containers billed monthly, and wants the allocation screen to stop a coordinator booking a third large move onto a day that has no vehicle left. A man-and-van operator who.

That needs

  • An online estimator
  • A quote with options
  • A signed inventory needs a much smaller build
  • The scope document names which is being made

Deliverables

What you receive

  • Discovery notes from a walk-through of a surveyed domestic move and a storage customer lifecycle
  • A scope document naming each stage from enquiry to storage billing and what stays outside the system
  • Design of the online inventory estimator, the quote with options, the allocation board and the crew lead move-day screen
  • The build, deployed to your hosting or hosting we manage
  • Migration of customers, booked moves, storage records and the item volume catalogue from spreadsheets or an existing app where relevant
  • Training for the office, surveyors and crew leads, with a written guide
  • Handover material and ownership of the source code and your data

Process

How a project runs

Each stage maps onto the project view in your client panel. Durations are set in your proposal, never on this page.

  1. Onboarding

Access to your rate structure, item volume list, wall planner or diary, storage register and the list of crew and vehicles, with one named contact.

    Project stage: Onboarding
  2. Planning

Discovery with the owner, a surveyor and the move coordinator; the quote formula, the allocation rules and the storage billing cycle are agreed in the scope document.

    Project stage: Planning
  3. Design

Clickable designs of the room-by-room estimator for customers, the surveyor tablet form, the allocation board and the crew lead signature screen.

    Project stage: Design
  4. Development

Requests, inventory and quoting first; then surveys and bookings; then crew and vehicle allocation; then storage records, billing and move-day documents.

    Project stage: Development
  5. Client review

Your team runs a test fortnight quoting real enquiries alongside the current method and allocating a busy Friday, including a storage invoice run.

    Project stage: Client review
  6. Revisions

Findings are corrected and re-checked against the scope document and your rate structure.

    Project stage: Revisions
  7. Ready for launch

Booked moves and storage records imported, quote outputs compared against recent real quotes, messages tested, launch list signed.

    Project stage: Ready for launch
  8. Delivered

Enquiries, moves and storage run through the system; hosting and maintenance continue under their own agreement if chosen.

    Project stage: Delivered

Integrations

Commonly integrated

Systems this kind of business usually asks us to connect. Each integration is confirmed during discovery; none is assumed.

  • Card payment providers for deposits, balances and monthly storage billing
  • SMS and email providers for survey confirmations, quote delivery and move-day updates
  • Video call platforms for remote surveys
  • Mapping and routing services for distance in quotes and the move-day plan
  • Accounting software for invoices, storage billing and payments
  • Calendar feeds for surveyors and crew leads on their own phones

How we would approach it

Worked example

Concept demo

A twelve-crew, six-vehicle company with eighty storage containers

The situation

A removals company was overselling Fridays from a wall planner and billing storage from memory.

Why it is a custom build

The allocation board treating a day as vehicle volume and crew capacity is what makes this a custom build; trade diaries book a slot and have no idea whether a lorry is left.

The scope we would propose

  • An online room-by-room estimator that gives the customer a volume and a provisional quote, with a video survey booked to confirm it
  • Quotes built from volume, distance and crew size with packing and storage as tickable options
  • An allocation board for each move day that shows vehicle volume and crew remaining and refuses a booking that exceeds either unless the owner overrides
  • Storage container records with the items and boxes inside and a monthly billing run that stops the day the goods leave
  • A crew lead screen that carries the inventory and takes the customer's signature at both ends

Pricing

What affects the price

Every proposal is priced on scope. These are the factors that move it most for this kind of build.

  • Number of crew and vehicles and how allocation rules and overrides should work
  • The quote formula: volume bands, distance, crew size and the options offered
  • Online estimator for customers and the item volume catalogue to load
  • Video surveys and the platform used for them
  • Storage containers, their records and the monthly billing cycle
  • Move-day documents, condition records and signatures
  • Volume of booked moves and storage records to import
  • Hosting choice: your own hosting or ours

FAQ

Frequently asked questions

How do you decide between a custom build and the package?

If your quoting, allocation and storage fit the way the removals quote package works with configuration, we quote for the package and say so. Custom work is the honest route when the rate structure is unusual, when international moves need freight partner documents or when allocation must follow rules specific to your fleet. Discovery is where we tell you which.

Can customers estimate their own move online?

Yes. The room-by-room estimator uses your item catalogue and volumes to give a provisional figure from your rate structure, clearly marked as subject to survey. You decide whether a survey is required above a certain volume.

How does storage billing work?

Each container record holds the customer, the contents and the date in. Billing runs monthly from that date until the goods leave, with the payment provider collecting the charge and the invoice recorded against the customer. Partial returns are recorded against the items taken out.

Can the system stop us overbooking a move day?

Yes. The allocation board knows each vehicle's volume and each crew member's availability; a booking that exceeds the day's remaining capacity is blocked unless the owner records an override, such as a hired vehicle.

Who owns the system afterwards?

You do. Source code, the item catalogue and all records are handed over at delivery. Hosting and maintenance are optional and separately agreed.
