Veterinary clinic software development

For practice owners and practice managers of veterinary clinics and small animal hospitals who need patient records, diaries and reminders designed around animals, owners, vets and rooms rather than a generic calendar.

The problem

What goes wrong today

Where it usually starts

A busy practice runs on one shared diary that only knows about time.

  • A spay is booked into the morning without checking that the single operating theatre is free, so two surgeries collide and one owner is telephoned to come back another day.
  • Consults are booked with any vet, but one of the three vets does not see exotics and the receptionist has to remember that.
  • The animal record is a paper file or a line in a spreadsheet under the owner name, so a household with two dogs and a cat has three vaccination histories mixed together on one card.

Where it gets harder

Reminders go out when someone finds time to run the list, so boosters lapse, worming cycles slip and the practice loses the visit it would have had.

  • Repeat prescription requests arrive by telephone and are written on a pad; the vet signs them off between consults and nobody knows which were collected.
  • Estimates for surgery are typed into a word processor and the agreed figure is not on the record when the invoice is raised.
  • Health plan members pay monthly through a separate system that reception has to cross-check by hand before every visit.

Scope of the service

What the build covers

A custom veterinary clinic build normally covers the patient record and everything that hangs from it:

  • An animal record with species Breed, date of birth, microchip number, weight history, vaccinations, behaviour notes and consent forms, grouped under an owner account that can hold several animals
  • Appointment types such as consult Vaccination, nurse clinic and surgery, each with a duration and a requirement for a vet, a nurse, a consulting room or the theatre
  • A diary that only offers a slot when every required person and room is free
  • Vaccination and treatment reminders generated From due dates on the record
  • Repeat prescription requests submitted online and worked through an approval queue
  • Estimates that become invoices
  • Health plans With a monthly payment and a record of what the plan has already covered

How discovery works

Discovery works through a real week at the practice with the practice manager and a senior vet: how many consulting rooms and theatres there are, which vets see which species, whether clinical notes will live in this system or stay in an existing practice management system that we connect to, how out-of-hours cover is presented on the public site, and whether referral records need to travel to a specialist. Each becomes a named stage in the scope document.

Deliberately out of scope

  • Laboratory analyser interfaces, drug stock control beyond what is dispensed on an invoice, payroll and insurance claim submission. Where the practice already has a clinical system, the record of truth stays there and the build reads from it rather than duplicating it

When the scope grows

Scoping scenario

A two-branch practice with one theatre shared between branches on alternate days wants surgery bookable only when the operating vet, a nurse and the theatre are all at the same branch, with reminders and health plan status visible from either front desk. That is a different build from a single-branch practice with two vets, and the scope document says so plainly.

Deliverables

What you receive

  • Discovery notes mapping vets, nurses, rooms, theatres and species rules at each branch
  • A scope document naming each workflow stage, the record of truth for clinical notes and what is out of scope
  • Design of the animal record, the diary with vet and room columns and the owner portal on phone and desktop
  • The build, deployed to your hosting or hosting we manage
  • Migration of owner and animal records, vaccination histories and future appointments from the current system where relevant
  • Training for reception, nurses, vets and the practice manager, with a written guide
  • Handover material and ownership of the source code and your data

Process

How a project runs

Each stage maps onto the project view in your client panel. Durations are set in your proposal, never on this page.

  1. Onboarding

Access to the current diary, record system and reminder lists, and a named contact at each branch.

    Project stage: Onboarding
  2. Planning

Discovery with the practice manager and a senior vet; the resource model, the record-of-truth decision and the scope document are agreed.

    Project stage: Planning
  3. Design

Clickable designs of the animal record, the diary with vet and room columns and the owner portal, reviewed on the devices your team uses.

    Project stage: Design
  4. Development

Records and resources first, then the diary and appointment types, then reminders, prescription requests, estimates and health plans.

    Project stage: Development
  5. Client review

Reception and the nursing team run a test week on real appointment patterns and surgery lists and report what does not match the practice.

    Project stage: Client review
  6. Revisions

Findings are corrected and re-checked against the scope document.

    Project stage: Revisions
  7. Ready for launch

Records migrated, reminder runs tested against contacts you control, launch checklist signed off per branch.

    Project stage: Ready for launch
  8. Delivered

The practice runs on the new system; hosting and maintenance continue under their own agreement if chosen.

    Project stage: Delivered

Integrations

Commonly integrated

Systems this kind of business usually asks us to connect. Each integration is confirmed during discovery; none is assumed.

  • Existing veterinary practice management systems, read-only where the clinical record stays there
  • Microchip registration databases for look-up and registration transfer
  • Card payment providers for consult fees, deposits on surgery and health plan collections
  • SMS and email providers for reminders, confirmations and ready-for-collection notices
  • Accounting software for daily takings and health plan reconciliation
  • Pet insurance claim portals where the practice submits claims on behalf of owners
  • Online pharmacy or wholesaler ordering for dispensed items

How we would approach it

Worked example

Concept demo

A two-branch practice sharing one operating theatre

The situation

A practice with two branches had one theatre, three vets who rotated between branches and a surgery list that regularly clashed because the diary knew nothing about rooms.

Why it is a custom build

A generic booking tool could not do this because it treats a vet as belonging to one place and has no concept of a theatre; the clash this practice suffered from was invisible to it.

The scope we would propose

  • Rooms and the theatre modelled per branch, appointment types that declare the people and room they need, vet rotas that carry a branch per session
  • A diary that only offers a surgery slot when the operating vet
  • A nurse and the theatre line up at the same branch. Reminders run from the animal record regardless of which branch last saw the animal, and health plan status is shown on the record at either front desk

Pricing

What affects the price

Every proposal is priced on scope. These are the factors that move it most for this kind of build.

  • Number of branches, vets, nurses, consulting rooms and theatres
  • Whether clinical notes are stored in the system or read from an existing practice management system
  • Appointment types with people and room requirements, and species rules per vet
  • Reminder cycles, repeat prescription approval and the messaging channels used
  • Estimates, invoicing and health plans with recurring collection through a payment provider
  • Volume and quality of owner, animal and vaccination records to migrate
  • Referral records, insurance claim support and other integrations
  • Hosting choice: your own hosting or ours

FAQ

Frequently asked questions

When is the package enough and when is a custom build the honest answer?

The veterinary clinic package covers animal records, a diary with vet and room allocation, reminders, prescription requests and health plans with configuration. Custom work becomes the right route when the practice must integrate with an existing clinical system, runs surgery across branches, or needs reporting the package does not ship with. Discovery is where we say which applies.

Do you replace our practice management system?

Only if that is the decision at discovery. Many practices keep clinical notes and dispensing in the system they already have and use the new build for the owner-facing side: booking, reminders, prescription requests, health plans and the public site. Where the existing system exposes a connection, the build reads from it so records are not entered twice.

Can owners request repeat prescriptions online?

Yes. A request is submitted against a named animal, lands in an approval queue for a vet, and the owner is told when it is ready for collection. What the vet may approve and when a recheck is required are rules the practice sets; the system records the decision rather than making it.

Who owns the system afterwards?

You do. Source code and data are handed over at delivery. Hosting and maintenance are optional and separately agreed, and the system can be moved to another provider.

Can you migrate our existing records?

Usually yes. We export owners, animals, vaccination histories and future appointments from the current system, map them to the new record and import them so the switch happens between one working day and the next. The scope document states what can and cannot be carried over once we have seen the data.
