Readiness: Custom build Concept demo

Who it is for

Built for

A good fit

Independent schools, academies, free schools and nurseries, from a single-form nursery up to a school with several phases on one or two sites. It suits office administrators who handle enquiries and bookings all day, a communications lead who publishes notices and the newsletter, teachers who run a club or lead a trip, parents who want one place for notices and consent, and prospective parents arriving from a search for the first time.

Also worth knowing

It is less suited to multi-academy trusts that need a central site with many school sites and trust-level reporting, which is a larger custom project, and to universities and colleges whose needs centre on course catalogues and applicant portals. It does not replace the management information system; it reads from it where a connection is configured.

The operational problem it solves

How it runs, step by step

It is the first week of September.

  1. The office administrator opens the notices screen, posts the autumn term dates to the calendar, and the change appears on the website and in the parents' subscribed calendars.

  2. The communications lead drafts the welcome newsletter, chooses the year groups it goes to, and schedules it for Friday.

  3. A Year 5 teacher sets up the autumn chess club: twelve places, Tuesdays after school, a small charge.

  4. Parents receive the notice, sign their child up from their phone, pay, and the teacher sees the list fill in real time with a waiting list forming once the twelve places are gone.

Later that month the Year 6 residential goes live.

  1. The trip leader publishes the letter and the consent form, with a medical information section and a deposit.

  2. A parent reads the letter in the portal, completes the consent, and pays the deposit; the place is confirmed only when both are recorded, and the trip leader's list shows at a glance who has consented, who has paid and who has not responded, with a reminder she can send to the last group.

  3. Meanwhile the admissions secretary sees an enquiry for a Reception place next September land in her queue, replies from a template and books the family onto the October open morning, which still has four places.

  4. In the background the policies library flags that the behaviour policy reaches its review date next month, and the bursar gets the reminder.

Features

What the package does

The package ships as modules that follow the school year: the public site and calendar, admissions and open days, policies and documents, clubs and trips with consent and payment, communications, and the parent portal. Each module lists what it does; the comparison table shows which variant includes it.

Content and editorial

  • Public website with news and departmentsNews, staff directory and department pages that office staff can edit without a developer, so parents and applicants find current information in one place.
  • Policies library with review remindersEach policy has an owner, a version and a review date, and the owner is reminded before it falls due so the published copy stays current.
  • Vacancy listings with closing datesPost teaching and support vacancies with closing dates; each listing leaves the site automatically once the date passes.

Scheduling

  • Term dates and events calendarTerm dates, closures and events published in one calendar, with feeds parents can subscribe to from their own phone or diary.
  • Open-day booking with capacityFamilies book a place on an open day or tour and the session closes when it is full, giving the office an accurate list of who is coming.

Forms and requests

  • Admissions enquiry form with routingProspective families send an enquiry that is routed to the right person in the admissions office, so none sits in a shared inbox unanswered.
  • Clubs and trips sign-up with consent and paymentParents sign up for clubs and trips, give consent and pay in one step, and the office sees consents and payments against each child.

Messaging and notifications

  • Newsletter and notices to year groupsSend a newsletter or urgent notice to chosen year groups only, rather than the whole school, and keep a record of what went out.

Portal and access

  • Secure parent portalA secure login where families see their records, notices and consent history. Available as an add-on to the school package.

Integrations

  • Management information system connectionClass lists and contact details are brought across from your management information system so staff do not re-type them. Offered as an add-on.

Ownership, maintenance and pricing

After the build

Deployment and ownership

The package runs on your own hosting or on hosting we manage for you; the choice is made in the proposal and can be changed later. The school owns the code and its data. Family records, consent history, payments and published content can be exported at any time in standard formats, and nothing in the package ties you to one provider.

Maintenance

Maintenance is optional and scoped separately from the setup. When taken, it covers security updates to the platform and its dependencies, monitoring of payment callbacks and notice delivery, backups with restore tests, and a monthly window for small configuration changes such as a new year group, a new consent template or additional editors. Larger changes are quoted as change requests.

Pricing model

Priced per proposal.

The package is sold as a one-off setup and customisation, with optional monthly maintenance and hosting as separate recurring lines. The setup figure depends on the number of sites and year groups, whether the parent portal and the management information system connection are selected, the payment provider, how much content is migrated and the hosting choice. Your proposal states each line separately so recurring costs are never hidden in the build.

FAQ

Frequently asked questions

Do parents need an account to see the website?

No. The public site, calendar, news and policies are open. Accounts are only needed for the parent portal add-on, where notices, consent and payments are tied to a family, and the office controls who is invited.

How does consent for a trip work?

The trip leader attaches a consent form to the trip. A guardian completes it in the portal or from a link in the letter, and the response is stored against the child with the date and the guardian who gave it. A place is confirmed only when the rules the school sets, typically consent and payment, are both met.

Who can see a child's record?

Only guardians linked to that child, the office roles the school configures and the leader of a club or trip the child is on, and only for that club or trip. Access is logged. The school decides its own data protection arrangements; the package provides the controls to operate them.

Can it take payments for clubs, trips and uniform?

Yes, through a card payment provider connected during setup. The package records each payment against the child and the activity, shows the office who has paid, and supports partial payments where the school allows a deposit and balance.

What happens when a policy is due for review?

Each policy carries an owner and a review date. The owner receives a reminder ahead of the date, uploads the revised version, and the library keeps the previous version with its dates so you can show what was published when.

Can we connect it to our management information system?

With the add-on, where the system offers a supported export or interface, class lists and parent contacts can be read into the package so the office does not maintain them twice. Anything beyond that is assessed as custom work through the school website development service.

Is this a finished product I can see running?

Not yet. The readiness badge on this page shows the real state: the package is currently a custom build assembled from our content, calendar, forms, bookings and payment modules for each school, and the example on this page is a labelled concept demo rather than a live school site.
